District Officer Descriptions and Responsibilities
Adult Officers
President: (This position has a vote on the state board)
- Attend MANDATORY 4 State Board meetings
- Appoint 1 alternate Adult Rep (must be from district board) to fill in if necessary
- Check in with State President with any issues or concerns
- Secure Ambulance for Rodeos/EMT for Fundraisers
- Secure judges for rodeo events
- (Cutting and RCH director can secure their judges)
- Make sure judges have NHSRA Rulebook and understand NHSRA rules
- Submit District Policies to State Secretary by July 15
- Make sure current sponsor banners are in arena
- Coordinate with Queen and Student officers to ensure Grand Entry is on Schedule at each rodeo
- Work with student president to create district board meeting agendas
- Help student president run meetings if needed
- Work with State Board for state rodeo jobs: confirm help before the rodeo begins
Vice President:
- Support President or any officer if necessary
- Fill in for president in his/her absence
- Districts may have additional responsibilities
Treasurer:
- Attend August Treasurer Meeting
- Have experience and knowledge to work with Quickbooks
- Provide financials at District Meetings
- Quarterly reports to State
- Year End Financials to State
- Make deposits of cash and checks received
- Pay invoices for each rodeo
- Pay State Per Run fee within 10 days of completed rodeo
- Post and pay jackpot payout (if mandatory jackpot is used)
- Send out 1099s in January from District level (stock contractor, judges, paid help, etc)
- Submit Budget to State by September 15 of each year
- Work with ATV Ticket coordinator to send checks WITH stubs by February 1
Membership Secretary:
Recommended to have 2, especially with combined membership over 100 members
- Attend August Membership Secretary Meeting
- Check National, State and District Paperwork before submitting to State
- Maintain Grade Eligibility spreadsheet to share with district and state
- Check grade eligibility and report to rodeo secretary and state secretary those ineligible
- Work with State secretary on Associate member list
- If your district has a report card monitor, Membership secretary is still responsible to check that documents are uploaded to National Portal and all ineligible members are given to state secretary
Rodeo Secretary:
- Attend August Rodeo Secretary Meeting
- Provide District Calendar to State by August 1
- File Rodeo Approvals with State Secretary 60 days prior to event
- Notify state secretary of any changes to dates or venues
- Send out entry form for each rodeo
- Provide stock contractor with count once entries close
- Post date and time of draw on entry
- Have 3 timers for each event at rodeos
- Post hard copy of official draw 1 hour before performance
- Post copy of head timer sheet after completed event (must be posted at end of go)
- This can be stapled to a board or in a binder
- Post copy of results after completed event (must be posted at end of go)
- This can be stapled to a board or in a binder with copy of timer sheets)
- Post points after each rodeo
- Send State Rodeo Qualifier Forms to State Secretary
- Send State Rodeo Information to Qualifiers
High School Adult Representative: (This position has a vote on the state board)
- This is a TWO-YEAR term
- Attend District Board Meetings
- Attend MANDATORY 4 State Board Meeting
- High School Student’s Representative if a disciplinary issue arises at district or state level
Junior High Adult Representative: (This position has a vote on the state board)
- Attend District Board Meetings
- Attend MANDATORY 4 State Board Meetings
- Junior High Student’s Representative if a disciplinary issue arises at district or state level
Publicity Officer:
- Attend District Board Meetings
- Run Social Media Accounts
- Keep Website Updated
- Work with rodeo secretary to have results posted on Social Media and in local media outlets
Arena Director:
- Attend District Board Meetings
- Make sure arena is safe for competition
- Gates open and close
- Event directors have checked health of stock
- Confirm judges know rules of events they are judging, have rule book on hand for reference
- Event directors and help are ready to run event
