Information Readme

About the Event

Bali Spirit Festival is a 7 day non-camping yoga and music event located at the Yayasan Bali Purnati (south of Ubud). It has a wide array of workshops and classes during the day, fantastic world music at night, and some special events in Ubud. We are no longer using the ARMA venue for nights. This year we have added an extra day to the festival! It will now be a FULL 7 days of workshops and music.

About Being A Spirit Team Volunteer

We have reduced the average volunteer time per day (during event) for volunteers. For 2020 shifts will be 4.5 hours or less.

You can expect to give around 32 hours of your time (¼ of the festival) during the festival and greater than 50 hours if you are doing a pre-festival position.  There are going to be four shift times – morning, mid-afternoon, late afternoon and evening. Each Spirit Team Volunteers will be given one of these shift times to repeat daily. We will ask for your preferred shift time and role but we do not guarantee you will receive your preferences. We accept the majority of our Spirit Team Volunteers between December and February, though will continue to accept volunteer applications as we often need a few last minute people in March. If you are interested, fill out the application, as this will be the first place we go when we need people.

Requirements to be a Spirit Team Volunteer:

  1. A positive attitude.
  2. Attend all shifts on time, check-in and out for each shift
  3. You must arrive to Ubud, Bali by March 27th, be available for the ENTIRE festival, and stay until April 6th.
  4. Attend Orientation on March 28th
  5. Pay the Non-refundable Impact Fee.
  6. Meet Passport and Tourist Visa Immigration requirements for Indonesia
  7. Have a Smartphone with a WhatsApp number.

The process to join the Spirit Team

  1. Apply: Do you meet the requirements above?
  1. Great, fill out the Spirit Team application (Link below)
  2. Wait. We will review your application and contact you if you are accepted
  1. Acceptance: If you are accepted to join the Spirit Team
  1. You will receive an email with instructions to confirm your spot by aying the impact fee.
  1. Confirmation: After you pay the impact fee, you are confirmed! Yeaaah ☺
  1. You can now book your flights and other travel needs.
  2. Join our Facebook group to connect with other Spirit Team Volunteers
  3. Wait. While we select your role.
  1. Role Announcement: We will select your Team, Role and Shift-Time/Date in March. We aim to let you know about your role one week before the festival. Shift times will be announced at or just before Orientation
  1. This happens after you have paid your impact fee/confirmed you are a Spirit Team Volunteer.
  2. You do not get to choose your Role/Position or Shift Time, we will do our best to choose based on your preferences.
  3. Please be patient- roles sometimes come out very close to the festival start date- needs of different teams are changing right up to the last minute.
  1. Orientation: This is our chance to meet each other and get on the same page before the festival starts. You must attend orientation or your spot will be forfeit.

Application Questions

How do I know if you received my application?

You should receive an automatic email from noreply[AT]festek.org when you submit your application. If you don’t see it, wait a few minutes, then check your spam folder. Send us an email if you can't find it.

I submitted my application. When will I hear back?

For those who applied before December, if we accept your application we aim to send you an email during December. If you need to know sooner, email volunteer[AT]balispiritfestival.com

After December, we continue to review and accept people as needed and we will email you as soon as possible. Unfortunately, we will only email you if your application has been accepted; we apologize for this inconvenience. Please feel free to check in with us anytime.

Is it too late to apply? When can I apply?

No it is never too late to apply. We will start accepting applications around September each year.

Filling out the application does not guarantee you will be accepted. But it is the first place we look when we need people.

What is the impact fee and why?

To confirm your acceptance, show your commitment, and offset related expenses, we need Spirit Team Volunteers to pay a $100 USD non-refundable impact fee online. We strongly recommend that you purchase travel insurance, which may offer reimbursement for your tickets in case of health issues or other unplanned circumstances that prevent you from attending.

The non-refundable impact fee is reduced for Indonesian Citizens ($35 USD) and Returning Spirit Team Volunteers ($60 USD). You can pay online using our ticketing system after you have been accepted to the team. If you don’t have access to a bank (credit/debit/atm) card please ask a friend or family for help. This must be paid online.

This fee helps to offset Spirit Team related expenses (ie. meals, shuttles, t-shirts, and more), allowing us to bring on more volunteers, making our team more flexible, your jobs lighter and more enjoyable. This fee also serves as an indication to us that you're committed to the team. Please keep in mind that many mainstream festivals require an impact fee and a full ticket price deposit refunded after the festival. This is pretty standard :)

Reduce the Impact Fee with Active First Aid Certification 

The non-refundable impact fee will be $50 for Spirit Team Volunteers that have or attain an active First Aid/CPR/AED Certification*.  This needs to be a certified in-person course not an online course. Please email a photo/scan of your certificate as proof. We really think that everyone should have some basic first aid training and we want to support you in getting this training, not that you are going to use it at the festival.

Please follow these steps carefully - you must request this discount AFTER being accepted as a volunteer and BEFORE paying your impact fee.  We cannot waive or refund the full fee after payment.

To be eligible for the discount you must: 1) Have an active certification,  2) Be willing to join the Medical/Lifeguard Team: In your application you must select “Medical/Lifeguard (must be certified)” as your 1st or 2nd choice and 3) Specifically request this discount by email after you are accepted and prior to paying the impact fee, and attach a copy of your certification.

*Impact Fee reductions are given on a case by case basis. Some individuals may not be eligible. We reserve the right to charge the full impact fee price.

General Questions

What is the work-trade exchange for Spirit Team Volunteers?

You get to be a part of making this magical experience. Magical experiences are created through service and love, so are Unicorns and Raw Pie ☺  

*Priority is given to paying ticket-holders when attending workshops and classes. We ask that you wait until 5 minutes before the scheduled start time before entering the workshop space. Some workshops are very popular, for those who paid the full ticket price they should be able to attend them and get their preferred seating locations. Sounds fair right?

If you are helping during the event:

Essentially, a Spirit Team Member will give their time for ¼  of the festival, they will be of service either for one of 4 shifts per day. Generally speaking, Spirit Team Volunteers give 32 hours. Most shifts are 4.5 hours per day for 7 days. Some work slightly less, some work slightly more; we do our best to be as equitable as possible but different roles have different needs and we cannot give you an exact number.

Helping before the (pre) event:

There are a very small number of pre-event (and post-event) positions, these positions do not have a set maximum of hours, instead they have a minimum of 50 hours. Pre event positions are on-call starting 1-2 weeks before the festival and continue as needed until the start of the festival. You need to be available and in Ubud, with a local phone number, smart phone with Whatsapp number, and be flexible with your time. If you're interested in this please email us when you arrive on the island and let us know you are around.

If you are interested in helping pre-event, book your tickets to arrive early in case we need your help. Let us know in your application that you are available for this, and follow up with us by email when you arrive. These pre-event positions are generally reserved for individuals who are already in Ubud when we need them and can meet with us in person before we select them.

I need to cancel my position with the Spirit Team

We understand that life gets in the way sometimes, we are sad to hear this, and we hope everything is alright. Please let us know by email as soon as possible so we can find a replacement. Please note that the Impact Fee is non-refundable.

About the Spirit Team Party

We have our annual Spirit Team Celebration Party on Afternoon/Evening the day after the festival (April 6th). It’s a great opportunity to connect before we all go our own ways again- and we may just have some prizes and giveaways to honour your service the the festival :-)

Travel Questions

When should I plan on arriving and departing?

You must arrive in Ubud, Bali by March 27th. We have a mandatory Spirit Team orientation starting early morning on March 28th. The earliest date that you can depart is April 6th, but please stay for our Spirit Team Party that evening.

Theoretically, if you had a morning or afternoon shift you could depart after your last shift on April 5th but we encourage you to stick around!

How do I get to Ubud, Bali, Indonesia?

It is your responsibility to get yourself to Ubud, Bali. From the Denpasar (DPS) Airport, it takes about 1.5 hours by taxi and costs around 350,000 IDR to Ubud. There are taxis available at the airport or you can arrange collection through your hotel. Do you provide accommodation?

No. You will need to find your own accommodation, which is very easy here in Bali. There are plenty of homestays, guesthouses, hotels and villas available, which can be found via all the usual online channels including booking.com and airbnb.com.  For a cheaper option, just show up in person on the street during the day. If you have any questions please google it or post a question on the Spirit Team Facebook group (accessible only for confirmed volunteers).

How do I get to the festival from Ubud; travel around Ubud?

We do have a free shuttle for Volunteers that will pickup and drop off from different locations in central Ubud to the venue and back. If you feel comfortable handling a scooter, you can easily rent one by the day or month; this is the common way to get around. You can also hire a Taxi (car/van/scooter) quite easily and quickly, though it will cost more.

If you would like to book accomodation along the shuttle route, please note it usually travels down Jalan Hanoman and Jalan Monkey Forest Roads with stops at, Coco Supermarket, Kafe Cafe, and the Sacred Monkey Forest Sanctuary.  There are countless hotels along the route.

Role/Position Questions

Can I choose my position?

No, but we ask for your preferences and will try to match these to our available positions. There is no guarantee that your preferred positions will be given to you. We also ask for your shift time of day (Morning, Afternoon, Evening) preference and will do our best to match this.

When will I know what my position is?

We aim to let you know about your role one week before the festival. Shift times will be announced at or just before Orientation. We have over 300 volunteers for this international festival, on the small island of Bali with limited staff, with many variables, frequent changes, and unexpected complications. Please be patient and flexible with us. If you have paid your impact fee then you are confirmed, so buy your ticket, and show up. You don't really need to know your role before you arrive.

Can I work with my friend?

While we can’t guarantee you will be on the same team, we will do our best to give you the same shift time.  For this to happen you need to request it in your application by putting their name and email address (the one they applied with) in the “applying w/friend” box on your application, they should do the same for you.  This links the applications on our system.  With the same shift times you will share the same free time together. You can update your application with this information anytime using the individualized link provided when you applied.  You can find this in the email with the subject line: "Spirit Team Application Received"

Can I base my schedule around musicians or teachers I would like to see?

At this time, it is not possible to pre-schedule volunteers around their preferred Musicians/Workshops/Teachers. Instead, you are welcome to speak with other volunteers on your team during the event about swapping one of your shifts. If you find someone to swap with, talk with us and your Team Leader and we will do our best to make that happen- please do not switch without permission as that confuses everyone.  We do ask you to limit these requests as we can’t accommodate everyone.

What should I bring?

  1. Bring what you need to take care of yourself in the hot tropical humid Bali Weather. Not all areas have shade, but water is readily available.
  2. Bring a reusable water bottle (this is a must. You can buy one in Ubud too)
  3. You should be fine in sandals, but have some shoes just in case.
  4. Sun protection
  5. Yoga mat for workshops (also available to rent on site)
