PyCon US Online Experience Volunteer Committee

PyCon US is introducing a new volunteer committee this year to enhance the PyCon US virtual experience and increase online attendee engagement. The Online Experience Committee will assist with the building out and moderation of the PyCon US virtual platform, Hubilo. The committee will begin working in March and will work closely with the PyCon US events team and AV team to coordinate live streaming of all recorded tracks during the event.

There are both pre-event and day-of-conference volunteering tasks. When filling out the application form, please provide your best contact email address and timezone.

Note: Participation in PyCon US virtually during the event days is a necessary requirement for Day of Conference volunteering.

Pre-Event Tasks:

• Attend meetings with fellow committee members and the PyCon US team
• Adding sponsor ads and banners to the virtual platform
• Manage sponsor mentions on virtual platform ‘Event Feed’
• Reviewing and proofing PyCon US conference schedule once uploaded to Hubilo
• Assisting with virtual platform integration and review
• Create a spreadsheet of RTMP links and stream keys for each session once the schedule is loaded
• Run pre-conference test with AV team and Hubilo platform to check RTMP and stream codes
• Onboard and oversee day-of volunteers who want to attend and support the online experience

Day of Conference Tasks:

• Manage sponsor mentions on virtual platform ‘Event Feed’
• Monitor live stream sessions and chat feed during the conference and check that sessions are streaming correctly
• Once a live stream has ended, make the session recording available on-demand via Hubilo
• Moderate virtual platform “hallway tracks” and sponsor presentations to increase online attendee engagement
• Respond to online attendee questions and moderate attendee chats/attendee lounge to ensure adherence to the PyCon US Code of Conduct

Initial Tasks begin: March

Busiest time: April-May

Average time commitment: 10-15 hrs/week from virtual platform integration to end of the conference

During Conference: Be available and logged on to PyCon US 2024 virtual platform during all live streamed sessions. The conference and all sessions will take place in Eastern Standard Time (EST)

Virtual attendance at PyCon US is required for Day of Conference volunteering.
