(Quick Guide) Updating those identified as required after rollout

Creating Accounts

If someone is required to take training but doesn’t have an active Unity ID, you can create a Brickyard Account for them using these steps:

  1. Using the left-side menu in REPORTER, click on “Participant Management”
  2. Then click the link for “Guest Account Management”
  3. Use the search fields to look up the person by name and/or email to see if they are already in the system. If they are, click the link at the top of the page to “Create New Account”
  4. In the window that opens, provide the person’s First Name, Last Name, and their email address
  5. Once details are entered click “Save and Email Participant”.

The participant will be notified via email that an account was created and given instructions to set up their password and log in.

Assign and Register additional people for required training

Using the left-side menu in REPORTER, click on “Compliance Admin” and then the “Manage Assignments” link

  1. Click on the required training listed on the page
  2. Click “View Assigned Participants” to open the Compliance Report
  3. From there click “Assign” in the upper right of the page
  4. Under the message in the window that opens you can select to “Search Accounts”
  5. On left side of window, search for the person you want to assign
  1. If you search for someone and cannot find them, please verify they have an active job or student record.
  2. If you need to assign training to someone that doesn’t have an active Unity ID, start by determining if they already have a Brickyard Account using the person’s name and/or email to see if they are already in the system.
  1. Click on them once found so they are highlighted
  2. Click the "+ Add" button just below the search fields

You should see them listed on the right side of the page upon adding. Repeat steps 6 - 8 until you’ve selected everyone you want assigned and registered. Once everyone is selected, continue to step 9

  1. Scroll down and click "Select Instance"
  2. Then click "Continue"
  3. Another window will open verifying you want them to be assigned and registered. Click "Finalize" to complete the process

You will receive an email once the system finishes processing the assign/registers. You can go to the Assign/Register tab to see the history of who the system tried to load. To get to that tab, repeat steps 1 - 3 above, then select the ‘Assign/Register’ tab of the report.

Removing someone identified as required (Per-Person):

  1. Use the Left Side menu in REPORTER to select the “Participant Management” menu item and click the “Participant Management” from the expanded menu.
  2. Use the search fields provided to lookup the relevant person that you want to manage
  3. Once identified, click on the participant so they are highlighted in gray, and then click Manage Participant
  4. Use the inner left menu to select the “Assignments” section
  5. Locate the relevant required training assignment for the user and click to select it so it is highlighted in gray
  6. Click the option to Unassign - Send Email
  7. Then, from the same page, use the inner left menu to select the “Registrations” section
  1. If needed, use the search fields to identify the relevant registration (click on the spy glass to expand the search fields.) To filter out registrations you cannot cancel:
  1. Change ‘Registration Status’ = Active  
  2. Final Attendance = (empty)
  1. Click on the appropriate registration from the list, so it is selected and highlighted in gray
  2. Select the button to Drop
  3. A window will open prompting you to provide a reason for canceling the registration
  4. Once you’ve provided a reason, select “Cancel Registration”

Removing a chunk of people as required:

  1. Using the left-side menu in REPORTER, click on “Compliance Admin” and then the “Manage Assignments” link
  2. Click on the required training listed on the page
  3. Click “View Assigned Participants” to open the Compliance Report
  4. On the Compliance Report page that opens, locate the people that you want to remove.
  1. You can use Show/Hide Search Fields to refine the list further
  1. You will click to select the relevant person, highlighting them in gray. You can select multiple people at a time, though we advise going one page at a time so you don’t lose track.
  2. With the person(s) selected, click the red button at the top for Unassign
  3. A window will open where you will indicate if they should also be unassigned from the course.
  4. You will click to Submit
  5. Then Confirm you want to unassign and drop.
