Team Admin Assistant - Job Description
At Afrocenchix we’re going through an exciting period of growth and we need an organised, responsible, professional and reliable Assistant to help us with administration, calendar management and other duties. We’re looking for a hard-working, diligent and self-motivated individual who has a passion for working within a startup.
It will be your job to work with our directors and take over organisational and administrative tasks so that they can spend the maximum time possible on strategic tasks. The successful candidate will be able to apply critical thinking to problems, manage scheduling and organisational challenges and seek areas to improve and/or automate processes and procedures within Afrocenchix. You’ll also support the wider team with general admin tasks and will ensure our office has all things needed to function well and is kept clean and tidy.
Salary: £23-25K (depending on experience)
Job Type: Full-time, North London Based (office and remote)
Main responsibilities:
- Managing diaries and organising meetings and appointments
- Acting as a first point of contact: dealing with correspondence and phone calls
- Booking and arranging Director’s travel, transport and accommodation
- Collating and filing expenses (with support from our Finance Manager)
- Overseeing office maintenance, repair and other operational requirements for the office to provide a high functioning business environment at all times
- Ordering equipment and snacks for the office
- Organising internal events
- Reminding the directors of important tasks and deadlines
- Supporting Director’s with personal admin
- Taking minutes at meetings
- Typing, compiling and preparing reports, presentations and correspondence
- Managing databases and filing systems
- Implementing and maintaining procedures/administrative systems
- Collating and filing expenses (with support from our Accountant)
- Miscellaneous tasks to support the directors, which will vary according to the needs of the organisation, this could include research and reporting around corporate governance or emerging tech reporting (to ensure that the business compliant with new legislation and regulations and using the best possible technological solutions)
- Researching and making purchases based on simple briefs
- Supporting the rest of the team and carrying out other duties when required
Experience and Skills:
- Discretion and trustworthiness: you will often be party to confidential information
- Excellent organisational and planning skills
- Excellent written and verbal communication
- Flexibility and adaptability
- The ability to be proactive and take initiative
- Tact and diplomacy
- Ability to deliver high quality reports with valuable insights
- Good attention to detail, to be well organised and deliver high levels of accuracy
- Strong with Google suite, Microsoft Word and Excel
- Project management experience would be advantageous
- Ability to manage multiple projects at once
- Ability to work under pressure and to deadlines
- Excellent attention to detail and accuracy
Education:
- A*-B GCSEs or equivalent in English and Maths
- A-Levels, IB, BTEC or equivalent
- Communications, Technology or Business related degree (preferable but not essential)
