History

The Sacred Heart Academy was founded in 1906 and staffed by the Sisters of Perpetual Adoration (later known as the Sisters of the Most Holy Sacrament). The original building was located in the 900 block of East La Rua Street in Pensacola, Florida. Initially, accommodations were made for boarding students. The school was a two story house (later to be made the Rectory) on 9th Avenue and East La Rua Street, and the Convent building was located at 10th Avenue and La Rua.

When the Most Holy Sacrament Sisters departed in 1945, the Benedictine Sisters came and staffed the school for one year. In 1946 the Dominicans from Adrian, Michigan, staffed the original school and made the transition from boarding school to day school.

In 1951, the present school building was constructed, and the move was made to the new building in 1952. The gym/parish hall was used for Masses until the new Church was completed in 1968.

After the Dominican Sisters left in 1970, lay teachers continued the administration and instruction in the school.

Sacred Heart School received its initial accreditation from the Florida Catholic Conference in 1979.

In 1991, the school began a Morning Star Program to serve our students with exceptional learning needs. In 2020, an additional wing was added to the school building with more classrooms, a chapel and new main office area.

For over 100 years, Sacred Heart School has been rooted in Catholic tradition and striving for academic excellence. The dedication of its staff, students, faculty and parents makes it possible for the school to look forward to many more years of Catholic education for the future leaders of our country.

Mission Statement

Guided by the Sacred Traditions of the Catholic Church, our mission is to educate hearts and minds for God. Living as disciples of the Sacred Heart of Jesus, we strive for academic excellence and humble service to all.

Beliefs

We believe:

Philosophy

Sacred Heart Cathedral School is first and foremost a Catholic school. The purpose of Sacred Heart Cathedral School is to form Christian persons according to the Gospel message, community worship, and service to neighbors.  We are here to nurture the inquiring young Christians who are capable of developing a way of life based on the ideals and values of our Catholic faith community. We endeavor to enrich the lives of our school community, to be aware of God, Church, and neighbor, and to show gratitude for God’s gifts, and to share His gifts with love.  We achieve this purpose through an ongoing cooperative relationship between students, parents and teachers as role models. Gospel values are blended across all areas of our curriculum in order to guide students to responsible decision-making, life-long learning and conscientious citizenship.

Learning is a process. Teachers recognize and respond to the individual differences of each student. These differences include personality patterns, academic talents, phases of moral and social awareness and varied maturity levels. Teachers are aware of the impact of various family and life situations, which affect student performance. The dignity and self-worth of each individual are respected and supported.

Accreditation

Accreditation plays a vital role in validating the excellence of our Catholic school.  Sacred Heart Cathedral School is accredited through the Florida Catholic Conference, which uses the National Standards and Benchmarks for Effective Catholic Schools as its guiding principles.

Certified teachers are hired to instruct a course of study that meets all the requirements of the State of Florida Department of Education and the Diocesan Catholic Department of Education. The administration and faculty adhere to all state and diocesan guidelines and policies. Sacred Heart Cathedral School was re-accredited by the Florida Catholic Conference in May, 2023. The school will once again enter into the seven year accreditation process in the spring of 2030.

Ministerial Clause

Sacred Heart Cathedral School is a ministry of the Cathedral of the Sacred Heart Parish and is part of the Diocese of Pensacola-Tallahassee’s system of schools, which is under the direct supervision of the Bishop and his delegates.  Catholic schools serve the Diocese by playing an integral role in the religious mission of the Diocese.

Christian Environment

Sacred Heart Cathedral School is committed to the goal of excellence in education. The school prides itself on the quality of its faculty and its academic and physical education programs.

The Cathedral of the Sacred Heart provides the facility, financial support, guidance and spiritual home for the school. The priests provide weekly Mass, seasonal Reconciliation Services and visits to the classrooms.

The Protection of Children and Vulnerable Adults

The Diocese of Pensacola-Tallahassee is committed to healing the hurting hearts of sexual abuse victims and has established Victims Assistance Coordinators who are experienced and trained counselors available to help persons who have been sexually abused. Support can also be found by calling the Florida Department of Children and Families Abuse Hotline at 1-800-96-ABUSE.

Calendar

The School Calendar, issued at the beginning of each school year and available in digital format, gives the schedule of minimum days, special activities, holidays, and vacations for the entire year. Notification of any necessary changes will be communicated via e-mail and on the digital calendar. Please be attentive to updated calendars sent throughout the year as dates and events are subject to change.

FINANCES

Fees

Registration Fee

Please see Appendix B for the current fee structure.

All fees are non-refundable.

Withdrawal Fee

There will be a $150 withdrawal fee applied to each account for withdrawal of students before the end of the school year for processing the withdrawal.

Returned Check or Late Payment Fee

A fee, per check, will be charged for returned checks. A late fee of $15 will be charged for payments made after the 10th of the month and a $30 charge will be applied to accounts where there is a returned check.

Tuition and Payment

See Appendix B for current tuition and fee information.

FACTS

FACTS is a payment service platform that handles all payments for tuition and fees. Each family must enroll with FACTS and establish a payment method to be directly debited each month. All returning families may continue to use the account established in prior years. All new families (and returning families who were not previously enrolled with FACTS) should visit the Sacred Heart Cathedral School FACTS account website, https://online.factsmgt.com/signin/3T2H7, and select “Create a username & password” to enroll for the school year.

FACTS payment methods include direct debit through checking or savings account or credit card. FACTS will debit your account on the 10th of each month. If you need a payment date other than the 10th of the month, contact the school accountant. FACTS will assess a $30 fee for all Non-Sufficient Funds payments made for tuition/fees. Please note FACTS may change this amount at any time. FACTS requires each family to have an annual Account Management Fee. For the 2024-2025 school year, this fee is included in your tuition, and SHCS will pay this on your behalf.

Tuition Due Dates

Tuition payments will be made over a 12-month payment period. Tuition payments are due on the 10th of the month and are considered late on the 11th of each month. If the 10th falls on a weekend a small adjustment may be made. If it falls on a vacation period, an adjustment will be made to the due date before a late fee is applied.

The payment of tuition on time is very important since the school depends upon these funds for its financial operation. Tuition is automatically taken out of FACTS. All families are required to register with FACTS. Failure to pay tuition by the end of the month will result in notification to the pastor and principal. You may be asked to remove your child from the school if your payment is in arrears for three months. All financial obligations must remain current for students to take fall semester exams, spring semester exams, receive their report cards, or graduate. In addition, diplomas will be held and permanent records will not be mailed until the account is paid in full and all other obligations have been met.

Financial Assistance

Sacred Heart Cathedral School has a budget of more than $3.1 million with a per-pupil-cost in excess of $9,000. Like almost everything, the cost of education continues to rise with the increased costs of teacher salaries and benefits, insurance, as well as textbooks and consumable materials. Sacred Heart offers you an affordable tuition rate to educate your child. Our Annual Fund, which includes fundraiser and private donations, also helps offset the expense of operating the school.

All families are eligible to apply for the Florida Tax Credit Scholarship and Family Empowerment Scholarship for Educational Options through Step Up for Students. This program expands eligibility for all K-12 students, regardless of household income. It is an education savings account, or “ESA,” allowing families more flexibility in how they invest in their children’s education. For families who will use the scholarship for full-time private school tuition and fees, parents/guardians must agree to have their Scholarship Funding Organization, or “SFO,” commit scholarship funds on behalf of their students before using ESA funds for other authorized uses of program funds.

Grants and Scholarship Options: All families must first apply for either the Florida Tax Credit Scholarship or the Family Empowerment Scholarship for Educational Options before being considered for additional grants. For families who still have a demonstrated financial need, you may request additional information about other grant or scholarship options. Families seeking financial assistance will be required to complete the FACTS Grant and Aid Assessment Application to verify need. In addition, the family must submit a brief application requesting additional funding. Based on the results of the applications and available funding, additional assistance may be granted.

Withdrawals

If a student withdraws from school prior to the beginning of the school year, two months of tuition are non-refundable. If a student withdraws from school once classes have started, tuition up to and including the quarter in which the student withdraws is non-refundable.

Fundraisers

All families are encouraged to participate in the fundraisers sponsored and promoted by Sacred Heart Cathedral School. These include but are not limited to:

Golf Tournament

Parents coordinate a golf tournament at a local course for a Saturday morning of friendly competition, fellowship and fundraising.

Great Pumpkin Run

Originated in 1984, our race is one of the top family races held in the Pensacola area.

Lucky Hearts Club

Each family is asked to sell ten membership tickets at a value of $20 each. Each raffle ticket will then be available to be randomly chosen 52 times throughout the year. The drawing held on the first Monday of the month will generate a $100 prize and subsequent drawings in that month will generate a $50 prize. As this is a raffle, SHCS abides by the State of Florida Rules and Regulations for raffles. Students who successfully sell all 10 raffle tickets will be given an out-of-uniform day on the Lucky Hearts Days designated on the school calendar (often the second Tuesday of each month.)

Trivia Night

Our first Trivia Night was held in 2009, and it has grown to be one of our most popular fundraising events. Participants join together for a night of fun and entertainment. There are costumes, games, raffles, and food.

Athletic Fees

These fees are determined by the Athletic Director and Principal, in conjunction with sports seasons.  If a student has to withdraw from the sport for that season for any reason, including not meeting academic expectations, there is no refund of fees.

Extended Care Program

See Appendix F.

FAITH FORMATION

As a Catholic school, we are deeply committed to forming children in the traditions of the Catholic Faith. The following are the primary ways that the school lives out its Catholic Identity in practice:

Daily Prayer

Students will gather every morning as we begin our day in prayer as a school community.  Announcements will be made as needed during the day. Students will also pray before each class, before lunch, and at the end of each day.  In addition, they are certainly allowed and encouraged to pray at any other time during their day.

Mass

Attending Mass each weekend as a family is an integral part of each child’s spiritual formation. In addition to this, our school community gathers every Friday and Holy Days of Obligation for the celebration of the Eucharistic Liturgy. Parents and friends are welcome and encouraged to attend these liturgies.

Mass Participation - Altar Servers

Students in 3rd through 8th grades who have received their First Communion can become Altar Servers. These individuals go through multiple training sessions throughout the year. They are expected to dress and act appropriately in order to have the privilege of serving.

Mass Participation – Choir

Students in grades 3-8 may participate in the school choir which leads the congregation in singing at Mass. Permission slips are sent home at the beginning of the school year and weekly choir practice takes place on Tuesdays during dismissal.

May Crowning

A special May Crowning is celebrated each year honoring the Blessed Mother during the month of May.

Reconciliation Services

The Sacrament of Reconciliation is made available to students at intervals throughout the year.  It is recommended that parents/guardians encourage their child(ren) to receive the Sacrament of Reconciliation regularly.

Sacramental Preparation

The initial reception of the Sacrament of Reconciliation and Holy Eucharist are an integral part of the 2nd grade religion curriculum. Students belonging to other Catholic parishes in the community would typically receive their Sacraments at their home parishes. If you are not a parishioner of the Cathedral and would like your child to receive his or her Sacraments at the Cathedral, please note that you will need to talk to your pastor at your home parish to receive written permission to do so. The Sacrament of Confirmation is a one-year program in the Diocese, typically completed when the student is in 9th grade.

Praying the Rosary & Devotion to the Sacred Heart

Students in 2nd through 8th participate in a full five-decade rosary once a month as a community. Student Council officers and representatives lead the rosary. PreK-1 Grade Students participate in a decade of the rosary in their class.

Service Projects

Humble service to all is a beautiful part of our mission statement, and we encourage all students to make service an active part of their lives, both within school and outside of school. All grades will have the opportunity to participate in school service projects, often organized by our Student Council. As part of their Humanities curriculum, our 8th Grade students will participate in multiple organized service projects throughout the school year. Permission forms for these projects operate under the same procedures as standard field trips.

Religion Class

Religion class is an integral part of the school curriculum. Materials and textbooks are largely drawn from Sophia Institute. All Religion teachers are Catholic and well-educated in the Catholic Faith.

Ribbon Ceremony

Prior to graduation, 8th grade students participate in a Ribbon Ceremony, which is a culmination of their faith development at Sacred Heart Cathedral School.

Stations of the Cross

During the Lenten Season, students in grades K-8 attend the Stations of the Cross in the Cathedral. During the school Stations of the Cross, students lead the prayers and songs. Family and friends are invited to attend the Stations of the Cross.

ACADEMICS

Curriculum

Sacred Heart Cathedral School seeks to educate the whole person; body, mind, and spirit. All curriculum programs are selected to bring about this end.

Memoria Press

Students in grades K-3 use a curriculum program designed by Memoria Press. This program encompasses phonics, spelling, English, handwriting, grammar, reading, and mathematics.

Math

Students in grades 4-8 utilize a variety of resources to ensure we meet the needs of each student at their appropriate level of Math, including Math Moves, Delta Math, Savaas, IXL, and Memoria Press.

English Language Arts

Students in grades 4-8 use a combination of Memoria Press and Sadlier for the instruction of Grammar. Teachers select works of literature that are approved through the Diocese of Pensacola-Tallahassee Office of Catholic Schools. Students in Grades K-5 use Universal for their handwriting curriculum.

Sophia Institute

All Religion classes use textbooks and resources from Sophia Institute.

Middle School Program

Our middle school program provides our 6th, 7th, and 8th grade students with the opportunity to become independent learners with the ability to live and work cooperatively and collaboratively. Humanities encompasses the fusion of Religion, English and literature and is taught to the middle school. Eligible students in 8th grade are able to participate in Algebra 1 Honors as well as Biology for high school credit. It is the responsibility of the parent to verify with the child’s intended high school that these credits will be accepted on their high school transcript. All middle school students are 1:1 on the MacBook Air.

Electives & Specials

Students from K to 8th grade are also instructed in French, PE, Art, Technology, and Music. 7th and 8th grade students have the opportunity to select a Friday afternoon elective for the first and second semesters.

Academic Integrity

Academic integrity in all work is an expectation at all times. We expect that all students are doing their own work. This allows us to know what they are learning and helps us to identify areas of struggle. When students do not do their own work, including but not limited to plagiarism, copying work, or using unapproved resources during an assessment, consequences may include receiving reduced or no credit for the assignment, detention, or suspension. Students who willingly give their academic work to a classmate to copy will receive the same consequences. Repeated cases of academic dishonesty may result in expulsion.

Testing Services

As a result of Public Law 94-142, private schools are entitled to testing services provided by Escambia County. Students with learning difficulties, as well as those who are gifted, are eligible for testing. Referral for testing must come from the teacher, principal, and the school guidance counselor, with the consent of the parents. Testing is available for academic, behavioral, gifted and speech therapy.

Morning Star Program

Sacred Heart Cathedral School offers the Morning Star Program, which is a Florida Catholic School initiative to serve children with special learning needs. The Morning Star Program’s goals are to help each student develop a sense of self-worth, respect for others, and a recognition of God as One who loves and values them - all while advancing their academic and social skills.

Instruction may include reading, spelling, language arts, mathematics, religion, science, social studies, and social skills.

Admission to the Morning Star Program is in addition to being accepted to Sacred Heart Cathedral School. Prior to being considered for admission, each child must have a complete professional evaluation, to be obtained by the parent, which should include:

Late Assignments

Each teacher will maintain a classroom policy regarding late homework. Teachers may develop a classroom policy that allows for late homework to be submitted under specific circumstances.

Make-up Work: Illness

Students who are absent because of illness, doctor appointments, or any other reason are still responsible for completing all assignments. They will be given two extra days to make up missing work for each day for each day absent due to illness. Students are not simply exempted from an assignment because they were not in class. Students in grades PreK-5 should check for all information and assignments with their homeroom teachers, and students in grades 6-8 are responsible for checking all information and assignments posted in Schoology. Any exemptions for an assignment must be arranged with the teacher. Students absent for an unexcused reason may not be given an additional day to submit work and their submission may be considered late.

If your child has an extended illness of three or more days, please stay in contact with the teacher in order to pick up class work and homework as necessary. The student will work with the teacher to create a timeline for submitting work during extended absences.

Make-up Work: Prolonged Absences

If you know in advance that you will be out of town, please add the dates proactively in PikMyKid and send a note to your child’s teachers at least one week in advance. This will give them a chance to gather class work and homework that may be picked up prior to your trip. The teacher will work out an agreeable due date.

Please understand that planning vacations and leisurely travel during school days is a serious disruption to the students’ learning process. Please do not make arrangements for unnecessary travel during school days. Students will be responsible for making up all missed work.

Computers

Students in grades 5-8 will receive a MacBook Air to assist them in the learning process. Students are expected to use these devices to complete assignments and conduct appropriate research. All MacBook Airs are the property of the school and any activity on the devices can be tracked. Sacred Heart Cathedral School reserves the right to discipline any students who use their computers in a way that fails to respect the dignity of every human being. Activities such as cyberbullying, both on campus and off campus, are subject to disciplinary action. See Appendix A for more information on the Internet Acceptable Use Policy.

All Middle School students are responsible for bringing their laptops to school fully charged. We recommend establishing a habit of plugging the laptop in to charge before bedtime, every night. The failure to fully charge the laptop prior to the school day will interrupt the learning process for the student. Chargers may not be brought to school, as they are easily lost or taken.

Exams

Middle School students will take midterm exams in December and final exams in May. Other exams will be given throughout the school year. Teachers strive to balance the schedule of assessments to avoid too many exams on a single day. Writing messages to teachers on any exam is not permissible; be it positive or negative in nature. Failure to follow this rule will result in disciplinary action as decided by the principal.

Homework

Teachers consistently assess student progress and performance during the class period. Students are provided ample time during the day to demonstrate their mastery of material. Homework can serve as extended time for students to complete work they did not finish in class or experience a meaningful extension of that work. The average time spent per day on homework may vary according to the unique academic needs of each child. If you find that your child is spending a long time on homework, please contact the teacher directly to share your observations and discuss strategies together.

Report Cards

Parents will receive the report cards for Quarters 1 and 3 when they attend the conferences held in October and March. Parents will receive report cards for Quarters 2 and 4 by picking them up in the school office or by US mail.

Note: All financial obligations must be satisfied for the release of the report card, student records, or to access PowerSchool for viewing.

Standardized Testing

Students in grades 2-8 take the Terra Nova as required by the Diocese of Pensacola-Tallahassee. The results of these tests are placed in the student’s cumulative file and a copy is given to the parents. These tests denote specific skills mastered by students, which should aid teachers in setting up individual programs for students. These tests are also used to evaluate the strengths and weaknesses of the curriculum. MAP testing is also conducted for elementary students in grades K-3 and as recommended by the principal for students in grades 4-8. MAP testing measures growth and follows the progress of the students as they move through the year. This allows the teachers to develop personal programs for your child.

Honor Roll

To recognize academic achievement in Grades 5-8, the Honor Roll will contain the names of those students who attain academic excellence. All subjects will be included in the calculation of the Honor Roll. Students on the Honor Roll receive a certificate each quarter with their report card.

Students must have earned 1s or 2s in conduct. 3s or 4s disqualify students from the Honor Roll. A violation of our academic integrity policy immediately disqualifies students from Honor Roll for that quarter.

Field Trips

Throughout the year, students may be offered the privilege of field trips. Field trips are arranged as part of the instructional program and will be scheduled at the discretion of the teacher and principal.

Parent volunteers who assist on field trips are needed to help supervise and assist classroom students. Therefore, they may not bring any other children when serving as a chaperone. Volunteers usually provide transportation for field trips. Occasionally, the school may use the Cathedral van for transporting students to and from an event. Every student must wear a seatbelt.

No student has an absolute right to a field trip. Students can be denied participation if they fail to meet academic or behavioral requirements. Students are expected to behave in a way that aligns with the mission, values and policies of the school. Students who do not participate in the scheduled field trip must report to school and will complete alternate assignments for the school day. Each field trip requires an official permission slip in order for a child to participate in the field trip and may require additional fees for participation. Fees will be charged to your FACTS account. If financial support is needed for the fee, please contact the accounting office prior to the field trip. Telephone calls are not acceptable in lieu of the permission slip. A Permission For Emergency Treatment Form must also be on file in case an emergency occurs during the field trip. Any expenses involved are the responsibility of the participant.

Retention

Realizing each child’s individuality, the initial consideration in deciding pupil retention is what will be in the best interest of the student. The basis for retention should include: teacher judgment, attendance, academic progress, standardized test results, successful and timely completion of class assignments and daily observations. The final decision regarding retention rests with the Principal. A student who fails one or more core subjects, or accumulates more than 10 absences in a semester, or 20 absences during the academic year, may be retained. A student who earns one F in a core subject must meet all expectations of the principal prior to being promoted to the next grade. A recommendation may be made for tutoring by a certified teacher in place of a formal summer school program. A conference will take place between the teacher and parents when performance indicates the possibility of retention. The possibility of retention for academic reasons will be made known to the parents in writing at any time during the school year and no later than after the issuance of the third report card. Students who accumulate more than the allowed number of absences and are in danger of repeating due to this reason will be notified during the last quarter.

Summer Reading

Summer reading information will be sent home via email each year in late May or the beginning of June. Students will be required to read a minimum number of books and complete a book report or project as set by the individual teacher.

Textbooks and other school books

Textbooks are the property of the school, not the student. They must be covered at all times. (Covers for hardcover books must be removable ie: not contact paper). Each student must have his/her name written inside each textbook. Payment will be required for textbooks and any other school books that are lost, damaged or destroyed. Students are required to have textbooks in class every day. Consistent failure to have the textbook in class will result in disciplinary action. Textbooks are provided for the current school year only. Parents who would like their children to work ahead over the summer months may request the ISBN numbers and publisher names for the textbooks needed and may purchase them through outside sources. The school will not provide the actual textbooks for work-ahead.

STUDENT ACTIVITIES

National Junior Honor Society

The National Junior Honor Society of Sacred Heart Cathedral School is a duly affiliated chapter of this prestigious organization. Membership is open to those students who meet the required standards in five pillars of evaluation: scholarship, service, leadership, citizenship and character. The national office of NJHS selects the standards for evaluation. The local school may raise the standard but may not lower the standard.

Students in the 8th-grade are eligible for membership. The student must have a cumulative 3.5 GPA or higher in all subjects. The students who meet this criteria will be invited to complete a student activity form and interview with a faculty council. Final candidates will be selected by the faculty council, which will bestow this honor upon the qualified students of Sacred Heart.

All members of the National Junior Honor Society must stay in good standing in order to hold this honor. This means that they must uphold the standards of the organization. If at any time a student falls below these standards, the NJHS advisors will counsel the student and may put the student on probation or terminate membership.

Safety Patrol

Students in the 5th-8th  grade are invited to become a part of the Safety Patrol Program. Students who demonstrate the qualities necessary to ensure the safety of the school children may apply.

Any club or organization sponsoring activities and wanting to use the Parish Hall must contact the Parish Office at 850-438-3131, ext. 11.

For use of the school gym, contact the School Office at 850-436-6440. There are no exceptions to this rule, and it is expected that requests for use be made a minimum of 7 - 14 days before the activity. A calendar is maintained for all approved activities in the gym. If a group does not have an event approved and on the calendar, the group may not meet for that event in the gym.

When using either venue, it is expected that the venue will be returned to its original condition upon the conclusion of the event(s). If the venue is not returned to its original expected condition, the organization will be called to send a representative to the facility to bring it to the expected condition. Diocesan, church and school organizations are not usually charged for the use of facilities.

Social Activities at School

Holiday parties are permitted for Halloween, Christmas (all grades), Valentine’s Day (Pre-K – 5th grade only), Big Buddy/Little Buddy celebrations, and at the end of the year. It is the teacher’s responsibility to contact the Room Parent well in advance and to set the parameters of the celebration. These parties should be simple, appropriate and within an acceptable time frame. The principal must be informed as to the day and time of the party. Treats for special occasions may be sent to school with the student and will be distributed by the teacher. Treats should be appropriate for the age and situation, and should be as healthy as possible. Please check for student allergies before deciding upon a treat.

No money can be requested or exchanged at any time by a Room Parent for any reason, which includes class parties, gifts for a teacher, purchasing treats, or purchasing items for a fundraiser. Room Parents may create a signup sheet for donated items, but money cannot be collected for any purpose.

Student Council and Ambassadors

Student Council members, through their service as leaders of the school, provide the voice of the student body to the faculty and staff. Student Council members are chosen by election and the recommendation of faculty and staff. Student Ambassadors serve as representatives of the school at various events throughout the year, and they are chosen by recommendation of the principal. Both student council members and ambassadors must meet the same academic and disciplinary requirements as CYSL student athletes in order to participate as a representative in each week’s activities.

COMMUNICATION

All official school information and updates will be shared via email. We will use the email address on file in Powerschool. If you do not receive a weekly email from the school, please contact the Main Office to verify your email on file. Teachers are encouraged and, in many cases, required to send all communications to their classes by email. This will conserve resources and ensure that the items reach the families quickly and efficiently.

Communication between parents involving school business must be approved in advance. This includes both printed and electronic communication. Parents involved in fundraising should have all correspondence approved in advance by administration. Any correspondence from room parents must also be approved in advance by the teacher (or administration if asking for donations.) Parents are not permitted to represent the school or school organizations without prior approval by Administration.

Buckley Amendment & Custodial Rights

Sacred Heart Cathedral School adheres to the Buckley Amendment (FERPA) in regard to privacy of student records and the rights of non-custodial parents. It is the responsibility of the parent to share any official custodial information decided through the courts. In the absence of any court document, the school will view each parent as having full legal custody of the child. In the case of partial custody between two parents, the school assumes no wrongdoing for releasing students to one parent or another, regardless of privately arranged custodial schedules - unless a court order is provided with specific details. In the absence of a court order to the contrary, non-custodial parents have the right to receive records about their child’s academic progress. The school reserves the right to charge a shipping and processing fee for academic records sent to an additional address.

Schoology & Powerschool

Sacred Heart Cathedral School assumes a shared responsibility between faculty and parents/guardians in monitoring student academic progress. In addition to formal notification of student progress via report cards, parents/guardians are expected to review their child’s daily coursework and test results on Schoology. Schoology is an online Learning Management System that works in conjunction with PowerSchool to enable parents to check their child(ren)’s work and attendance on a daily basis. It is the responsibility of the parent to initiate communication with the child’s teacher(s) regarding academic progress or lack thereof. Students in grades PreK-4 will receive daily, weekly, or monthly reports from their teachers.

A Schoology Parent Account gives you access to:

During orientation, parents will be issued a QR code to assist them in logging into the Schoology App. Once there, they will be encouraged to check that the email address is correct and to set a password, so that they can log in via web browser. To log into your school issued Schoology account, please go to:  https://ptdiocese.schoology.com

New parents will also be issued a PowerSchool login (associated with an email address that the school has on file for them) and a password. Passwords should be changed the first time a parent logs in.

A PowerSchool Parent Account gives you access to:

To log into PowerSchool, please visit https://ptdioceseschools.powerschool.com

If you wish to install the PowerSchool app, the District ID is LFPN

Please review the various Parent guides and help articles at

https://support.schoology.com/hc/en-us/articles/201000873-parent-guide

Help and how-to information can also be located by logging onto Schoology on a web browser, and clicking the S in the bottom, right hand side of the screen.

If you forgot your PowerSchool Password:

The system will verify your information and send you a security token with instructions on how to reset your password to the email address listed. It is important to note that the security token sent is only good for 30 minutes. If the Parent/Guardian fails to reset the password in that allotted time, you will need to repeat the process.

If you forgot your username:

If you have any questions or issues accessing Schoology or PowerSchool, please email Sidney Poller in the main office at spoller@shcs.ptdiocese.org.

Student Conferences

All students will participate in student conferences twice a year. These conferences will be held at the end of the 1st and 3rd quarter. Student Conferences replace the traditional parent/teacher conference. Student Conferences are attended by the student, parent/guardian and a teacher/moderator. The teacher/moderator facilitates the meeting, and the student is responsible for presenting what he/she has learned and/or their work habits, goals and accomplishments.

If a parent or guardian would like to have a more in-depth conversation with a teacher about a specific issue, this should be scheduled outside of the Student Conferences.

DISCIPLINE

See Appendix G for the current Diocesan Discipline Policy.

The primary right and duty of education rests on the parents. When you send your child to school, you are delegating some of your teaching authority to the school. Parents must, while their child is in school, support the authority of the school, and be alert to see that this authority is not abused.

Discipline must be founded on Gospel values and rooted in Christian theological principles. At Sacred Heart Cathedral School, our discipline system serves as an extension of our mission of creating disciples by educating hearts and minds for God. The teacher in the classroom leads and directs the student to a mature understanding of the relationship between efficient work habits, personal responsibility and academic progress. Honor and respect shall be shown to all teachers as an extension of the honor and respect shown to parents whom they represent. Any conduct disruptive of a good learning environment will not be tolerated.

Learning goals of both parents and teachers shall be to help each student grow in self-discipline, a sense of responsibility, and self-direction. Christian values of respect, justice, honesty, and truthfulness must be instilled in our students both in school and at home to help them grow in these areas.

The educational relationship between the school and a student is also an educational relationship with a student's parent and/or legal guardian. Where, in the discretion of the school, the behavior, attitude or conduct of a parent and/or legal guardian is of such an uncooperative, destructive, or disruptive nature that the ability of the school to manage the relationship with the student’s parent and/or legal guardian is significantly impaired, a parent and/or legal guardian may be required to withdraw his/her child or children from the school.

In an effort to achieve the proper order and respect that is consistent with the values of Sacred Heart Cathedral School and conducive to a productive learning environment, a multi-tiered system of support and consequences has been instituted for Pre-Kindergarten through 8th Grade.

Tier 1: Each teacher will have clearly stated expectations and will utilize a variety of strategies for maintaining a respectful and productive learning environment. The teacher will provide guidance, reminders, support and encouragement to the students to empower them to participate in and maintain this environment for the entire class. A teacher may use various tools to communicate behavior reports, such as a stop light system, Class Dojo, phone calls, emails, Student Responsibility Reports or Student Discipline Reports to document Tier 1 interventions and support.

Tier 2: These interventions are required when a student has not been successful in mastering the expected behavior with Tier 1 support from the classroom teacher. Students requiring Tier 2 support will meet with a Behavior Specialist and/or School Counselor, discuss the desired behaviors and how to achieve them, receive specific support to help ensure success in the classroom, and receive documentation of these interventions in the form of a phone call, email, Student Responsibility Report, Student Discipline Report, and/or a meeting with school personnel and/or administration. This information will be communicated to the student and parent/guardian by a teacher, behavior specialist and/or administration.

Tier 3: This is the final intervention prior to a student’s suspension or expulsion from Sacred Heart Cathedral School. A Behavior Board will create a Behavior Plan to outline the specific expectations and consequences for the student. The principal will meet with the parent(s) and/or guardian(s) to discuss the Behavior Plan. The parent(s) and/or guardian(s) must agree to and sign the plan if they would like their child to continue at Sacred Heart Cathedral School.

Disciplinary Reports, Detention, Suspension and Expulsion

A Student Responsibility Report notifies the student and parent/guardian of an issue of responsibility, such as dress code violation or being unprepared for class.

A Student Discipline Report will be sent home to document an observed action not consistent with our school’s mission and the assigned consequence(s). Consequences may include lunch detention, after school detention, suspension, and/or expulsion.

Both Student Responsibility Reports and Student Discipline Reports must be signed by a parent or guardian and returned the next school day. This indicates both that you have seen the form and are aware of the incident. Failure to return a form the next day will result in an automatic detention.

Detentions are assigned at the discretion of the administrative team/teacher. Most detentions take place during lunch and recess, although some detentions may be scheduled after school. If a detention is scheduled after school, the detention takes priority over other after school activities. Parents must rearrange after school activities for another time to allow the student to serve his or her detention. Students not picked up by the end of after school detention will be checked into the Extended Care Program. Athletes who earn a detention are not eligible to participate in the next sports game taking place after the detention is served.

Highly serious offenses or repeat offenses noted on the Student Disciplinary Report may result in a suspension or expulsion. Suspensions may either be served in school or out of school. The principal reserves the right to expel any student.

Harassment / Sexual Harassment

Any form of harassment will not be tolerated at Sacred Heart Cathedral School. Harassment is defined as communication or conduct designed to reduce the dignity of the individual in the form of requests for favors, unwelcome teasing and other verbal or physical contact (can be written, physical, visual or verbal). Sexual harassment is any unwelcome advances, requests for sexual favors and other verbal, visual or physical conduct of a sexual nature. The principal will investigate any complaints of harassment.

Probation Policy

All first-year and new, transferring students will be accepted on a probationary basis for a nine-week period. The purpose of this policy is to determine the student’s ability to adjust to the school’s philosophy and curriculum. All currently enrolled, returning students may be placed on probation for relatively serious or continued misconduct, or for academic reasons. Probation gives a student a specified period of time in which to demonstrate that he/she can and will obey the school’s disciplinary and academic policies. Probation is a trial period in which a student’s behavior and/or academic progress is closely monitored.  Behavior and/or academic progress will be monitored weekly. If a student’s behavior has not shown noticeable improvement during the Probation period, then a conference will be called to determine what course of action is in the best interest of the child(ren).

Gum

Chewing gum is not allowed at any time while students are on the school campus. This includes morning supervision before class and Extended Care. Students caught chewing gum will be subject to disciplinary action.

Cell Phones/Electronic Devices

Cell phones are not permitted on campus during school hours, which includes Extended Care. If a student must have a cell phone after school hours, they will turn it in to an administrator or designee as they enter the school in the morning. The administrator or designee will return it to the student as they exit campus at the end of the day. At no time are cell phones allowed in a classroom. Students will be subject to disciplinary action if they are in possession of a phone during the school day. Sacred Heart Cathedral School is not responsible for lost, stolen, damaged or forgotten cell phones in school.

Students may not wear any electronic devices in school. Students may wear a simple watch to display the time and date. If a student requires a special device for health purposes, this can be arranged with the principal.

Drugs, Alcohol, and Smoking

The use, sale, distribution, and/or possession of drugs or drug paraphernalia, alcohol, vaping, e-cigarettes, and/or tobacco products is not allowed. Any students who are in possession of drugs, alcohol, vaping, e-cigarettes, and/or tobacco products while at school or any school function will face suspension or expulsion.

Off-Campus Conduct

Sacred Heart Cathedral School reserves the right to discipline students for behavior off-campus grounds that is not aligned with the mission and values of the school. This behavior includes, but is not limited to, cyberbullying.

Physical Violence

Students who engage in a physical fight with another student or teacher will be sent home for the rest of the day and face suspension or expulsion.

Recording Faculty and Staff

Students may not, at any time, record faculty or staff using any device or format.

Internet Use

UNIFORM (Dress Code)

See Appendix D for full dress code specifications

General rules are presented so that there will be consistency with all students, and parents and guardians must monitor your children so that they attend school, every day, in dress code. Please review our discipline policies for consequences regarding students who are not following the proper dress code. A member of the faculty, staff or administration may call the parent to have the proper uniform item brought to school.

Label All Clothing: It is strongly recommended to label all of your child(ren)’s clothes with their name. Unclaimed items will be given away, sold or discarded if not claimed by the end of the quarter.

Grooming: Good grooming contributes significantly to a person's physical health, to the realization of his/her dignity as a person and the general atmosphere of the school. It is important that students be appropriately dressed for each school day. Cleanliness of person and dress is expected at all times. Parents have the responsibility to see that their children wear only the regulation uniform purchased through our uniform vendor. Similarly, parents have the responsibility to monitor their child’s grooming needs, especially as they grow and develop throughout the school year. The school reserves the right to determine whether a student's dress and appearance satisfy the school's policy.

Fads and fashions: Dress which disturbs or distracts from the learning atmosphere is unacceptable and not permitted.

PE Uniform: Only the approved PE uniform is to be worn by middle school students at every PE class. SHCS jerseys, spirit wear, or any other sports jerseys are not approved PE uniforms.

Shoes: Shoes must be supportive, secure and provide adequate support for all school activities. Therefore, students may only wear shoes with a non-marking, athletic sole. Dress shoes are not allowed at school. The pair of shoes must be solid white (no gray or silver) or solid black. A small, inconspicuous logo (quarter size) is allowed. The athletic shoe should be secured firmly for safety purposes. No lights, character designs, Heelys or wheeled shoes are allowed. Shoelaces must match the color of the shoe (i.e. black shoes must have black shoelaces). If you are unsure, please contact the Main Office for approval prior to purchasing shoes. The administration will make the final decision on all shoes.

Uniform Shirts and Blouses: Shirts and blouses are to be tucked in as long as the student is on campus, which includes time before and after school.

Pants: Uniform pants, PE shorts and jeans are to be worn at the waist at all times. No baggy-style pants are allowed.  No low-rise or hip-hugger jeans, pants or shorts may be worn.

Socks: Plain white socks must cover the ankle, may have a single fold (such as a bobby sock) and may extend to knee-length. 8th Grade students may wear white or navy knee-length socks with the leadership uniform.

T-shirts: Only a plain white t-shirt may be worn under the uniform shirt or blouse. The undershirt should not be visible at the sleeves.

Belts: A proper-size, plain, black or brown belt must be worn by both male and female students wearing the uniform walking shorts or pants. The belt must be through the belt loops. Magnetic belts are encouraged for the younger grades.

Outerwear for Cool Weather: Approved outerwear includes the SHCS ash gray sweatshirt, red cardigan sweater, the red fleece jacket or the red all-weather jacket. Approved outerwear may be worn in class over the school shirt or blouse. No other coats, jackets or sweaters may be worn in school. Heavyweight outerwear needed for very cold days may be worn to school, but must be removed once the student is at school. They may be worn at recess.

Hair Color and Style: All students’ hair must be their natural color, combed neatly, properly groomed, styled appropriately and kept out of the eyes. Boys’ hair should not touch their shirt collar and should be neatly cut around the ear. At no time during the school year should a student dye his/her hair. The administration reserves the right to ask students to modify hair styles that are considered distracting to the learning process.

Length of Uniform: When purchasing a new jumper, skirt, walking shorts, skorts and PE shorts for both boys and girls, we recommend purchasing a length that is no shorter than two inches above the knee (top of the knee cap). This will allow for room to grow over the academic year. All jumpers, skirts, shorts of any kind, and skorts must be worn modestly. They must cover the thigh, be at least as long as the fingertips (when arms are fully relaxed at the side), and always be visible under the shirt. Modest dress also means that these items cannot be tight or rolled at the top or bottom.

Make-up: Only light foundation, used to cover blemishes, is allowed. No mascara, blush or other similar product/make-up may be worn. Students wearing make-up will be asked to remove it immediately.

Nail polish: Nail polish, French manicures, false nails, tips or acrylic overlay are not allowed.

Tattoos and Skin Markings: Students are not permitted to have a tattoo (real or wash-off) or any other visible markings. Students are not permitted to write on their skin or the skin of another student.

Jewelry and Accessories: Only specific jewelry and accessories may be worn, which include:

Girls may wear a small, matching pair of pierced earrings, worn at the earlobe (one earring per ear). These should be stud or post style; no hoop or dangling earrings are allowed. Boys may have no visible piercings of any kind. No ball caps or other hats may be worn at any time. Bows worn in the girls’ hair must be modest and contain only red, white, navy or black colors or combination of those four colors (i.e. red & white plaid).

Out of Uniform Dress Code:

Do not wear:

T-shirts that display inappropriate or unacceptable advertising

Sweatpants, beach wear, nylon shorts, board shorts, or boxers

Sleeveless tops, tops with spaghetti straps or tank tops

Provocative or see-through clothing

Torn, frayed, or cut-off clothing

Shirts that are tied or are too short

Shoes with sole plus heel in combination greater than 1 inch

Please remember Out-of-Uniform Days are a privilege. The principal or designee will make the final decision when a question arises concerning the appropriateness of articles of clothing. If it is determined to be inappropriate, we will call parents to bring the school uniform to the student for the remainder of the day.

HEALTH SERVICES

One of the objectives of Sacred Heart Cathedral School is to promote the physical well-being and fitness of the students to create a safe and healthy school environment. All students enrolled in Sacred Heart Cathedral School must have a Florida School Entry Health Exam and Florida Certificate of Immunization on file in the school office. Students are out of compliance until such time.

Medication

Should it be necessary for a child to receive prescription or non-prescription medicines during the school day, the following regulations shall apply:

Allergies

All parents must submit a student’s medical record, including allergies, upon enrollment. Sacred Heart Cathedral School welcomes students with food allergies and will work to accommodate the needs of these students. Emergency procedures will be established for each student in case of an allergic reaction. In order for a student to carry their own medication, such as an Epi-Pen®, all parts of the dispersion of medication forms must be completed and on file in the main office. Students will be allowed to carry an Epi-Pen®, and parents must provide a spare Epi-Pen® in the main office. The medication must be in its original box with the prescription label.

Lice Policy

If necessary, scalp/hair checks are completed to check for lice. Per the Escambia County Health Department, if live bugs are found in the hair, the child will need to go home and be treated. If nits are found in the hair but no live bugs, the child is not required to go home, but treatment is required. It is the responsibility of the parent to ensure that all bugs and nits are removed prior to the student returning to school. The Mayo Clinic makes the following recommendations: “Shampoos containing pyrethrin (Rid, A200 Lice Treatment) or permethrin (Nix) are usually the first option used to combat lice infestations. Follow the directions closely when using these products.” You may also seek professional treatment.

Illness and Injury

In the event of a concerning illness or injury, parents/guardians will be contacted immediately for information and instructions. If the parents/guardians are not available, the Emergency Form shall be consulted for directions. If no responsible person can be reached, and the illness or injury is believed to be serious enough to require medical attention, the person in charge will arrange for the student to receive treatment from a doctor, hospital or emergency care personnel.

For the protection of your child, other students, faculty, and staff, your child will not be allowed to remain in school if he/she displays any of the following symptoms:

All students must be fever-free for 24 hours prior to returning to school.

Covid-19

Sacred Heart Cathedral School abides by the Covid-19 decision tree established by the Diocese of Pensacola-Tallahassee.

Guidance Counselor

A certified guidance counselor is on campus daily. If a student wishes to receive counseling, he/she should ask the teacher to help make arrangements, as the guidance counselor will frequently see many visitors in a day. Students may be expected to see the guidance counselor after disciplinary issues to help them grow in conflict resolution skills.

Health Screening Tests

All new students in the school, as well as students in Pre-K, Kindergarten, 1st, 3rd and 6th grades participate in the following screening tests during the year: hearing, vision, height and weight. 6th grade is screened for scoliosis.

Asthma

Students with asthma are encouraged to carry an inhaler, and parents are requested to keep a spare inhaler in the school office. The medication must be in its original box with the prescription label, and all parts of the dispersion of medication forms must be completed and on file in the main office.

Immunizations

See Admission Requirements

All students must present proof of having had the immunizations as required by Florida state law before being admitted to classes.

SCHOOL SAFETY

Items Brought to School and Search

In order to preserve the safety and well-being of all students in the school, Sacred Heart Cathedral School reserves the right to search any items brought onto school property, including electronic devices. Sacred Heart Cathedral School is not responsible for loss or damage to any items brought to school by a student. This includes, but is not limited to, all electronic devices. No student may sell any items to classmates in school.

Crisis Plan

Sacred Heart Cathedral School has developed a set of crisis management procedures in the event of an emergency. Teachers and staff are familiar with the procedures and will do everything possible to keep your children safe. If circumstances require it, students will be evacuated from the building and brought to a designated safe location.

Child Abuse and Neglect

Any teacher, school official or personnel who knows, or has reasonable cause to suspect, that a child is abused, abandoned or neglected by a parent, legal custodian, caregiver, or other person responsible for the child’s welfare shall report such knowledge or suspicion to the Department of Children and Family Services pursuant to Florida Statutes 39.201 – 39.206 (2001) as well as to the diocese. Florida Department of Children and Families Hotline: 1-800-96-ABUSE (1-800-962-2873)

Report online: https://www.myflfamilies.com/services/abuse

Weapons

The use, sale, distribution or possession of firearms or weapons is not allowed. Disciplinary action will be taken.

Asbestos Management

The Asbestos Hazard Emergency Response Act (AHERA) of 1986 requires that all schools be inspected to determine if there are any building materials that contain asbestos. Sacred Heart Cathedral School has complied withAHERA by completing the  following requirements:

1. Inspecting all facilities for both friable and non-friable asbestos-containing building materials.

2. Samples taken during the inspections of all materials suspected of containing asbestos, and the samples were analyzed at an EPA-accredited laboratory.

3. A Management Plan based upon the inspection report and laboratory findings, outlining the administration's intent in controlling and abating any asbestos-containing building materials.

The inspection results are available for review in the administrative office.

The Management Plan, maintenance and custodial actions required by the plan, and training of personnel are all dedicated toward a serious and careful effort to always ensure that any potential health hazard from asbestos is eliminated. Students, faculty and employees have, and will continue to have, a safe environment in which to learn,

teach,and work.

Guests/Visitors

For security reasons, all exterior and interior doors will be locked at 7:45 am. All visitors, volunteers and parents must enter school through the main office door and present a valid driver's license for review and approval. Visitors are never to go directly to a classroom without permission. Parents may only visit a classroom if prior arrangements have been made and the teacher has agreed to the visitation. Anyone who is walking on the campus without a visitor, volunteer or substitute lanyard / sticker will be questioned and escorted to the main office.

Volunteer Requirements

The parents of our students help to improve the quality of education by serving on the School Advisory Council, as a member of the Parent Teacher Organization (PTO), as a Room Parent, coach, classroom or office volunteer, and/or on committees that involve fundraising or help with community projects.

Volunteers are expected to read, agree to, and abide by the diocesan policies for volunteers. All volunteers must meet the requirements set forth in the Diocese of Pensacola-Tallahassee Charter Requirements for the Protection of Children, Young People and Vulnerable Adults. Volunteers and Parents are strongly encouraged to complete the requirements early in the year to allow time for processing. The cost to initiate the volunteer process is currently $65 and is good for five years.  A packet of information is available in the main office.

A complete list of the up-to-date diocesan volunteer requirements will be provided upon request.

Safety Drills

Fire drills are held once a month. Hurricane, severe weather, lockdown drills and emergency evacuation drills will be held as needed. All students and any adults on the campus must participate. Students must strictly follow the directions of the teachers during these drills.

School Ground Supervision

Students are not to be on the school grounds before 7:00am or 10 minutes after the dismissal gates close, unless directly involved in a supervised program or activity that is school sponsored/approved.

Students on the grounds after these times will be placed in the Extended Care Program, which is provided by the school at the parents’ expense.

More specific information regarding our Extended Care Program can be found in Appendix F.

Threats

Threats against students, teachers and administrators, whether verbal or written, are always taken seriously. At the discretion of the Principal, the police may be notified. A written report of the incident will be kept in the student’s file and may be forwarded to another school. The parents of the students involved will be notified.

ATTENDANCE

If a student will be absent or tardy, the parent or guardian must call or email the school office or indicate the absence in PikMyKid before 9:00am. Please note that a student may never leave the campus alone during the school day; they must be checked out at the office by an adult indicated on the authorized pick-up list.

GENERAL POLICIES

Arrival/Dismissal Procedures/Maps

See Appendix E

End of Day Procedures for Students: At the end of the day, all students will return to their homeroom to pack their book bag, finish writing homework assignments in their agenda book, participate in prayer, and listen to important announcements. Students will proceed to the carline when their name is called. All students must enter their car on the passenger side - no student should walk in front of any car in the car-line. Once students are dismissed to the carline, they are not allowed to re-enter the building for items they forgot. This creates a dangerous situation with students attempting to cross traffic and enter the building while vehicles are moving and students are exiting.

Occasionally a situation occurs (medical appointment) when the student must be picked-up early. In those cases, the student must be picked up before 2:20pm for early dismissal. After 2:20pm or within 15 minutes of early dismissal time, students will be dismissed through the regular dismissal process.

PikMyKid App: PikMyKid is our dismissal application. All parents or guardians who will pick up students must use PikMyKid. Any announcements regarding dismissal procedures will be announced through PikMyKid. Here are some examples for which we will use PikMyKid announcements for dismissal updates: lightning, high winds, heavy rains, or safety.

Carline: Carline at Sacred Heart Cathedral School is efficient and safe. On most days, we are able to begin and end the carline within 15-20 minutes. The gates will close at 3:00pm to car traffic. After this time, parents will be required to park outside the parking lot gates and proceed to the Extended Care

When you arrive in carline, place your PikMyKid placard in the driver’s window of your vehicle. If someone else is picking up your child, please make sure he/she is aware of the pick-up procedures. Parents must ensure that their list of approved persons able to pick up their children is up-to-date on PowerSchool. You may then designate these persons on PikMyKid. If you are unsure if a person is on your approved list or if you wish to add someone to the list, please contact the main office. If you intend to carpool with other families, a parent of each child in the carpool must contact the office in writing and acknowledge that their child may be released to that carpool.

Walker, Bike Rider, Scooter, Skateboard Group:

For the safety of these students, they will be dismissed after the gate for the carline has closed. We will not release these students to parents until this time, even if the parent is standing outside the school or waiting in any other location nearby. If you would like your child to dismiss before this time, carline will be the most efficient dismissal option.

Students must have a signed permission form to leave school on their own in any form other than carline. This form must be signed and submitted in Powerschool. It will remain active throughout that student’s active enrollment at Sacred Heart Cathedral School. If a permission form is not submitted, students will not be allowed to leave by any of these options.

Students are to walk, never ride, their bikes or scooters on school property. Students are required to adhere to all state laws relating to bike riding. This includes wearing a helmet. If a student arrives on campus without a helmet, the student will not be allowed to ride the bike or scooter home until they have a properly-fitted helmet. All bikes must be locked individually inside the bike rack. The school is not responsible for bicycles or scooters that are damaged or stolen from the school grounds. Students may not use skateboards on school grounds. If they use them to come to school, they must make arrangements with the teacher for a place to keep the skateboard during the day. Roller skates, roller blades, motorized bikes and motorized scooters are not to be used on school property.

Rainy Day and Inclement Weather Dismissal

All students, including walkers and bike riders, will be dismissed at the student entrance. If the Pensacola area is experiencing torrential rain with flooding or if lightning has been detected within a 10 mile radius, students will be dismissed one at a time. If your child is typically a walker or bike rider, an announcement about the dismissal location will be shared through PikMyKid. Any student who is not picked up by 3:00pm will be checked into Extended Care. Thank you for your patience during these longer dismissal times while we all work together to ensure the safety of all students.

Cell Phone Use:

The Wireless Communications While Driving Law, section 316.305, Florida Statutes, took effect on July 1, 2019. This law requires drivers to put their phones down and focus on driving. Section 316.305, Florida Statutes allows law enforcement to stop motor vehicles and issue citations to motorists that are texting and driving. A person may not operate a motor vehicle while manually typing or entering multiple letters, numbers or symbols into a wireless communications device to text, email and instant message.

Section 316.306, Florida Statutes, is a prohibition on using wireless communications devices in a handheld manner in school zones. A person may not operate a motor vehicle while using a wireless communications device in a handheld manner in a designated school crossing or school zone.

Do not use your phone while operating a motor vehicle. It is especially unsafe in a school zone. Our carline is a no phone zone.

Lunch

Sacred Heart Cathedral School does not have a cafeteria. As a result, students must bring their own packed lunch to school. In accord with Diocesan policy, students are not to use microwaves at school.

Only water may be consumed during class instruction. Soda, coffee, sports drinks, sugary drinks and all other non-water beverages are not permitted. In the event of an emergency when a student is without lunch, we will provide a simple sack lunch. This is an emergency option only. A missing lunch fee will be charged to your FACTS account for $5.00.

Library Books

Library books are the property of the school, not the student. A fee will be charged for lost or damaged library books.  Parents will be asked to pay the cost of the book plus a shipping, handling and processing fee.

Drivers/Chaperone Guidelines

Volunteer drivers are to be at least 21 years old and must be fingerprinted within the State of Florida / Diocese of Pensacola-Tallahassee. In addition, a Volunteer Driver Form, available in the main office, is to be submitted to the Diocese. The Diocese will research the prospective volunteer’s driving record with the Florida Department of Motor Vehicles prior to giving a person clearance to drive on a field trip.

During a field trip the drivers must go directly to and from the stated location of the field trip. No additional stops are authorized by the school or Diocese. The driver and all passengers must use a seatbelt while being transported during field trips. Any volunteer driving on a field trip must have the following minimum insurance coverage:

Liability limit: per person

$ 100,000

Liability limit: per occurrence

$ 300,000

A complete list of the up-to-date diocesan volunteer requirements will be provided upon request.

Awards

Throughout the year, we will recognize students who live out the values of Sacred Heart Cathedral School: academic excellence, humble service and Christian discipleship. Whenever possible, parents will be informed prior to the award ceremony so they have an opportunity to attend.

Birthday Invitations, Treats, and Gifts

Birthday invitations and gifts for any reason may not be given out at school. Students are often inclined to give individual gifts for birthdays, during Christmas or Valentine’s Day. However, individual gift-giving should take place outside of school to avoid an occasion of hurt feelings and jealousy.

If a parent wishes to celebrate a child’s birthday with a treat for the class, please contact the teacher. Treats should be simple, and there should be an individual item for each child. Since some of our students have allergies, please check with the teacher or main office concerning students with food allergies. Please keep it healthy and address all the needs in the class.

Any social activities occurring after school hours are the responsibility of the parents. Party invitations must never be given out at school. You may request email addresses from the main office to make invitations.

Emergency Closings / Inclement Weather

In the case of inclement weather, the Catholic schools of the diocese reserve the right to make a different decision than the local public schools.  Inclement weather decisions for the Catholic schools will be disseminated to the schools from the Office for Catholic Schools by county with input from the local Catholic schools. Schools will make up any days that cause them to fall below the required days or instructional hours required by the state and the Florida Catholic Conference. For special announcements, parents will be notified through Schoology, email, and Facebook. Sacred Heart Cathedral School may return to school before other schools, and announcements will be made via the same avenues mentioned above.

Lost and Found

Lost and found articles are stored near the student entrance. Students are encouraged to check the box weekly when looking for missing items. All school items (clothing, lunch boxes, water bottles, etc.) should be clearly labeled with the child’s name. Unclaimed items may be given away, sold or discarded if not claimed by the end of each quarter. Sacred Heart Cathedral School is not responsible for damage that may occur to lost items.

Messages/Deliveries

All communications and deliveries for students and teachers must be made through the main office.Delivery services, such as food delivery services, are not permitted on campus.

If a parent/guardian wishes to contact a teacher, they may contact the teacher directly through email or Schoology, or call the office requesting that the teacher return the call.

Please allow up to 48 hours for a teacher to respond to your communication. We do not expect teachers to respond to messages sent over the weekend.

APPENDIX A

POLICIES FOR ACCEPTABLE USE OF

THE SCHOOL NETWORK AND THE INTERNET

Description of a LAN

A LAN or Local Area Network is a group of computers that are connected in such a way that files and other resources (printers, scanners, Internet access, etc.) can be shared between them. Sacred Heart School has a LAN that allows computers inside the main school building to share information and resources.

Description of the Internet

The Internet is a global network of networks.  Educators, businesses, the government, the military, organizations and private individuals use it. In schools and libraries the Internet can be used to educate, inform, communicate and entertain.

Content of the Internet

Users and parents of students must understand that Sacred Heart Cathedral School, the Diocese of Pensacola-Tallahassee, and employees of the school or diocese do not control the content or the information found on the Internet.  Some of the information may be controversial or even offensive to some individuals.

CIPA (Children’s Internet Protection Act)

The Children’s Internet Protection Act was signed into law in December 2000. This law states that any school or library that receives e-rate funding must maintain an Internet Safety Policy that includes the use of filtering or blocking technology to prevent children from being exposed to obscene content. Sacred Heart Cathedral School does use a hardware device in conjunction with filtering software in an effort to protect our students from inappropriate content. However no solution is perfect and there exists a slight chance that our students could access objectionable material.

FERPA (Family Education Rights and Privacy Act) & CPA (Child Protection Act)

The Family Education Rights and Privacy Act of 1973 (FERPA) and the Child Protection Act of 2012 (CPA) protect the personally identifiable information of minors. Sacred Heart Cathedral School adheres to these laws to protect the privacy of students and families. Parents are not permitted to post photographs taken at school sponsored events that include images of students other than their own on their personal Facebook®, Instagram®, or any other social media page. These postings will be considered violations of FERPA and the CPA.

Appropriate Use of Networks and Internet

Teachers and school personnel will endeavor to educate children about responsible, efficient, ethical and legal use of the Internet. Sacred Heart School encourages parents to provide guidance on appropriate use of the Internet at home, just as they would for other types of media. Use by students should be in support of education and research consistent with the educational objectives of Sacred Heart Cathedral School.

Access is a privilege—not a right, and it entails responsibility. Students are responsible for good behavior on the school computer network and the Internet just as they are in a classroom or school hallway. Access to network services is provided for students who agree to act in a considerate and responsible manner in compliance with the Acceptable Use Policy.

Cyber Bullying and At-Home Use

Accessing or participating in any social networking website (i.e. Facebook®, Twitter®, Pinterest®, TikTok®, Tumblr®) which maligns our school, faculty, families or students will result in consequences which may include suspension or expulsion. Any conduct deemed by the principal and/or pastor to be inappropriate or disrespectful to the integrity of Sacred Heart Cathedral School or any of its students, may be subject to school disciplinary action.

If a slanderous posting is brought to the attention of the school, whether this posting was made on campus or on an off-campus computer, then Sacred Heart Cathedral School has a right to take disciplinary action.

Student Responsibilities

Obscene Material

Courteous Behavior and Privacy

Illegal or Destructive Activity

Violations

Violation of the Internet Acceptable Use Policy may result in the loss of technology privileges for the remainder of that school year, detention, suspension or expulsion.

SACRED HEART CATHEDRAL SCHOOL / INTERNET ACCEPTABLE USE POLICY

The use of the Internet is a privilege, not a right, and inappropriate use will result in a cancellation of those privileges. The system administrator and principal will deem what is inappropriate use.  This policy is a contract between the student and Sacred Heart Cathedral School (SHCS).  A more comprehensive version of the Acceptable Use Policy is provided to middle school students before receipt of their MacBooks.  Students will review the policy in class and sign the additional form.

Individual Access —The Internet is used in grades K5-8 in school for information purposes or research projects. In addition, students in grades 4-8 will be assigned filtered e-mail accounts for use at school. Correspondence from these accounts may be monitored for inappropriate language and content. Student Internet access is supervised and filtered by our firewall (Lightspeed), which uses a subscription list of inappropriate sites.

Students will be issued a confidential login name and password. They will be held accountable for all actions that occur under this login and password.  If a student shares their password or login with a friend and their friend uses the computer in an unacceptable manner, then both students will face the consequences of that action.  If the student requests a password change, it is the student’s responsibility to report the new password to their computer teacher.  If inappropriate language or content is discovered, disciplinary action will take place.

Network Etiquette—Your child is expected to abide by the generally accepted rules of network etiquette.  These include (but are not limited to) the following:

  1. Use appropriate language.  Do not swear, use vulgarities or any inappropriate language.  Illegal activities are strictly forbidden.
  2. Do not reveal your age or the school you attend.  Do not reveal the personal address or phone number of students, teachers, administrators or yourself.
  3. Do not post pictures of yourself for any reason at any time.
  4. Be polite.  Do not be abusive in any postings on the Internet.
  5. Transmission of any material in violation of any US or state regulation is prohibited.  This includes, but is not limited to, copyrighted material, threatening or obscene material, or material protected by trade secret.

Social Networking Sites / E-Mail—Accessing or participating in any e-mail conversations or social networking websites (i.e. Facebook, Twitter, Pinterest, Tumblr) which maligns our school, faculty, families or students will result in consequences which may include Detention, Suspension or Expulsion.  If a slanderous posting is brought to the attention of the school, whether this posting was made on campus or on an off-campus computer, then Sacred Heart Cathedral School reserves the right to take disciplinary action. Cyber bullying and mean or libelous postings will not be tolerated.

For the student  (Grades 3rd - 8th):

I understand and will abide by the SHCS Internet Acceptable Use Policy as stated in this form and in the Family Handbook.  I further understand that any violation of the policy is unethical and may constitute a criminal offense.  Should I commit any violation, my access privileges may be revoked and school disciplinary actions, and/or appropriate legal action may be taken.

Student Signature: _____________________________________________        Grade:  ____________

For the parent or guardian:

As the parent or guardian of the student listed above, I have read the Internet Acceptable Use Policy.  I understand that although the Internet in general provides a vast resource of material that serves educational purposes, it is possible to access material that may be considered inappropriate.  I also understand that the Internet is an open network that is not self-regulated, and that student access will be supervised by teachers.  However, I also recognize it is impossible for SHCS to restrict access to all controversial sites.  These sites will be blocked as soon as they are brought to the attention of the system administrator.

I hereby acknowledge that any use of telecommunications services for cyber bullying, or for illegal, inappropriate, or obscene purposes, or in support of such activities, is prohibited and that violators will be held accountable and be subject to disciplinary measures.  I understand that the Diocese of Pensacola-Tallahassee assumes no liability for the content of any advice or information acquired over the Internet, or any cost or charges incurred from this advice or information. I agree to abide by the policies of Sacred Heart Cathedral School regarding the use of the internet as stated in this form and in the Family Handbook.

Permission for School Internet Access and E-Mail Account: [    ] YES    [    ] NO

If no selection is indicated, it will be interpreted as YES and your child will be allowed to access the Internet.

I hereby grant permission for my child to be allowed to participate in classroom activities and research  which involve accessing the Internet.

CATHOLIC YOUTH SPORTS LEAGUE (CYSL)

The Catholic Youth Sports League is intended to provide students in our schools and parish religious education programs with the opportunity to participate in an elementary and middle school sports program that promotes values, which are the foundation of our Catholic faith. CYSL strives to offer the following sports programs each year, pending the availability of coaches and volunteers:

Cheerleading (Fall)

Football (Fall)

Flag Football (Fall)

Volleyball (Fall)

Basketball (Spring)

Soccer (Spring)

Track & Field (Spring)

Academics

A student is eligible to play in the Catholic Youth Sports League if he or she meets the following criteria:

1. The student has a cumulative GPA of 2.0 (C Average) in all core classes which include Religion, Literature, Language Arts, English, Math, Social Studies, Reading and Science.

At Sacred Heart: Automatic sit for the week if any “F” in any classes.

2. The student grade card or academic record is checked on Tuesday of the week to determine eligibility for the following weekend. A student who is not enrolled in either a member school or an invited school is responsible to make arrangements for the grade card or computer generated grade progress report to be turned into the Coach or the Athletic Director each week.

3. To be eligible at the start of the football, volleyball or cheerleading season in August, the student must provide the Athletic Director a copy of their final grade card from the end of the previous academic year with C’s or above and without any “F’s” in all enrolled classes.

Discipline

A student is eligible to play in the Catholic Youth Sports League if he or she meets the following criteria:

  1. If the student is enrolled in a member or invited school, the student will not have any discipline violation as per their school’s policy. It is the responsibility of the principal or the athletic director to communicate a student’s disciplinary action to the head coach.

At Sacred Heart, a student who earns any detention is not eligible to play in their next sports game.

  1. If the student is enrolled in an accredited school by the FCC, or the Florida Department of Education, it is the responsibility of the student athlete and/or his or her parents to report any detention, suspension or expulsion to the coach immediately. Any one of these actions will result in a period of ineligibility. At Sacred Heart, students earning a detention, suspension or expulsion may not participate in any school-sponsored events (ie: sports, cheerleading, chorus or dances) during the week the Disciplinary Report was issued.

  1. If a student athlete does not report the occurrence of a disciplinary action at school immediately, the student will become ineligible for the remainder of the season.

Registration

To assess levels of interest, the athletic department will send a Google Form at least one month before the start of a sports season. Once we have assessed interest, Doodlio is the platform used to facilitate registration of students in sports teams. All registration for CYSL sports must take place on Doodlio. Links and instructions for registration are sent to families via email two to four weeks before the start of the season. Students will not be guaranteed a spot on a team if they are not registered on Doodlio by the required dates indicated in the information email.

Coaching

In order to grow in skill and sportsmanship, teams must be guided by high-quality coaches. If you have knowledge of the game and would like to offer your services as a coach, please contact the Athletic Director. All coaches are expected to abide by the policies stated in the Family Handbook.

Practices

Coaches will designate and communicate times for sports practices. They will also communicate any changes made to a practice schedule, including cancellations because of weather. Students who are absent from school or leave school due to sickness may not participate in sports practices that same day. EXTENDED CARE PROGRAM

The mission and goal of the Extended Care Program is to provide quality supervision in an environment suitable for child development. This program is available to any child enrolled in Pre-K thru 8th grade at Sacred Heart Cathedral School.

The program is offered at Sacred Heart Cathedral School during the school year from dismissal until 5:30pm. Our program provides the students with the opportunity to meet after school in a restricted environment for study and play. The program will be supervised by a director and two assistants.

Enrollment

Parents must read and sign the Extended Care Program Acknowledgement Form available on PowerSchool.

Activities

Immediately after dismissal, teachers will escort students to the pavilion where attendance will be taken and a snack will be served. After snack, students will work on homework and/or play outside. All students in grades 3-8 will spend 45 minutes in quiet working on homework or reading.  As we achieve academic excellence, we will support these students as they are expected to quietly study, read or work on academic activities. Although individualized attention and assistance are available from program personnel this is not to be construed as formal tutoring.  Personnel do not take responsibility for a student’s completion of assignments. Students not doing homework will be given an opportunity to play inside or outside, as weather permits.  Supervised activities include the use of sports equipment, playground equipment, video programs, educational television programs, computer usage, arts and crafts, etc.

Rates (per day) and Registration Fee

The cost for Extended Care is $10.00 per day for one child; $8.00 for the second child;  $7.00 for each additional child. After 5:30pm, a $1 per minute per child fee will be charged until your child(ren) is/are picked up.

Each year we will collect a Registration Fee of $20 for those families who use the Extended Care Program. This will be billed the first time you use Extended Care.

Early Dismissal Days

On days when school is dismissed at noon, an additional fee will be charged of $5.00 for the first child, $3.00 for the second child, and $1.00 per each additional child.

Billing Procedure

Students are signed into Extended Care immediately after dismissal. Parents are required to sign students out when picking up their children. Parents are billed at the end of each month via e-mail and payment should be made on or before the 15th of the month.  A $15 Late Fee will be charged after the 15th of the month. Please make sure the Extended Care Director has your correct e-mail address.

Collection of Fees

All fees for Extended Care will be posted to the family’s FACTS account.

Pick-up/Sign Out

Students must be picked up and signed out from the pavilion, weather permitting. If it is raining, students will be picked up inside. Please enter through the main office doors and proceed down the hall until you reach the Extended Care classroom. Students will only be released to those persons indicated on the enrollment form as having permission to pick up the child. If the person is not listed on the Enrollment Form, a written communication by the parent to the school will be acceptable. Persons not listed but with written permission from the parent/guardian will have to show proof of identification (driver’s license or other photo ID) before the child(ren) will be released to their care.

Daily Sign-in

Students who are not picked up by 3:10pm will be enrolled in Extended Care and will be charged according to the fee schedule. You are responsible for payment for any days your child is enrolled. The only students who will be admitted to Extended Care later than 3:15pm are those who have attended a school-sponsored program after school hours.

Sickness Policy

A parent or guardian will be called to pick up a child who is sick or injured.

Disciplinary Action

The school’s philosophy is fundamental to this program and is stated in this handbook. A verbal warning is issued for inappropriate behavior. A second warning is issued if the behavior continues, followed by a “time-out” for counseling the student and discussing the consequences. Parents are notified on the third offense and, if serious enough, the Extended Care Director will consult the principal for proper action. Children who experience repeated discipline problems will not be allowed to participate in the Extended Care Program.

Rules

The students are expected to adhere to the following list of rules.  Failure to comply with these rules could result in a phone call to the parent/guardian and then removal from the program.

  1. Students may not leave the playground.  They must stay within the fenced area.
  2. Students must have the permission of the staff person to re-enter the school once they are outside.
  3. The staff needs to know where the children are at all times.
  4. The Extended Care Program is not responsible for students who do not report after school.
  5. The students will be expected to respect the staff and each other as well as the material and environment provided. Students who hit, push, call names, etc., will be given time out. Time out may include sitting, writing or cleaning up. The discipline will depend upon the student’s age and behavior.
  6. If unacceptable behavior is repeated, the student must write a paper about the offense, have it signed by the parents and returned to the Extended Care staff. If this behavior continues the child will be dismissed from the Extended Care Program.

Electronic Devices

Electronic devices of any type are not allowed in Extended Care with the exception of the school issued MacBooks. If a student violates this policy, brings an electronic device and the device is damaged or stolen, the student is fully responsible and the school will not compensate the child or family for the damage or loss.

APPENDIX  G

DISCIPLINE GUIDELINES CATHOLIC SCHOOLS

DIOCESE OF PENSACOLA-TALLAHASSEE

Since discipline is the regulation of one's conduct in accord with Christian principles, it is a primary concern that teachers and students work together to maintain a suitable climate for learning. Mutual respect and consideration of the needs of each individual person foster this climate.

General Guidelines

Corporal punishment (paddling or spanking) of any kind is forbidden. Other physical, punitive actions may be considered child abuse and are also prohibited. For all forms of punishment:

  1. Special care should be taken to ensure that the punishment is consistent and fair.
  2. In all cases, attempts should be made to get at the root of the problem, and a remedy should be sought out.
  3. The punishment should be humane and reasonable.
  4. The punishment should be meaningful and should bring about positive behavior.
  5. At no time should the student be ridiculed or caused to suffer undue embarrassment.
  6. Caution and prudence must guide its use.

It is never legally permissible to leave students unsupervised in a classroom. If it becomes necessary for a teacher to leave a class, the teacher is responsible to make certain that another teacher or aide will supervise the students.

A student is not to be sent outside the classroom as a form of discipline unless the student, accompanied by another student, is sent to the principal or person designated to deal with discipline. The following disciplinary actions are unacceptable:

As a general rule, teachers should manage their own disciplinary problems.  Minor offenses have consequences, which are detailed in the rules of each school.  Only exceptional cases involving a serious offense or insubordination should be referred to the principal.

Serious Offenses

The following are considered serious violations of the accepted code of conduct:

1.        Anything that seriously jeopardizes the safety of another's or one's own safety.

2.        Seriously impeding the learning of others.

3.        Serious and continued insubordination.

4.        Bullying.

Level One Offenses

These are minor offenses and consequences, which are detailed in the rules of each school.

Level Two Offenses

1.        Foul and/or abusive language or gestures.

2.        Destruction of school property (reimbursement is required).

3.        Dishonesty of a serious nature.

Level Two Consequences

Level Three Offenses

1.  Serious and/or repeated disrespect to persons in authority (i.e. faculty, staff, volunteers).

2.  Disruptive, immoral or indecent behavior.

3.  Any actions dealing with drugs, alcohol or weapons.

4.  Bullying.

5.  Any other infractions deemed serious by the principal.

Level Three Consequences

After a conference with the parents, the student will be placed on probation with possible suspension or expulsion.   The punishment will be determined by the gravity of the offense and the decision of the principal.

Right to Amend
