Privacy of Personal Information

Collection and Use of Personal Information

The OFVC collects personal information from all members and associates to establish and maintain a responsible relationship with the individual and provide on-going services.  Personal information collected, used, disclosed and retained will only be used by authorized representatives of the Club to fulfil the purpose for which it was originally collected, or for a use consistent with that purpose.  Personal information includes such items as an individual’s name, address, birth date, email address, phone number, photo.

The OFVC also collects medical and emergency contact information from players in the event of an injury or illness that requires medical intervention while the player is participating in club activities.

The OFVC may use members’ personal information to contact and correspond with a member, respond to inquiries, process instructions or to facilitate and enhance the individual’s membership in the Club.

The OFVC may display limited personal information to the general and volleyball public via communication vehicles such as the OFVC web page, social media sites, posters, brochures and other promotional material for purposes of publicizing results, news and for furthering the objectives of the club.   A member, or parent/legal guardian, may, at any time, request that the member’s personal information and/or image not be made public in any manner and the club shall honour such request.

The OFVC may use information provided to send to its members, from time to time, email or other communications containing information about the club, activities and other matters that the OFVC believes will be of interest to its members.  At any time, a member may ask the OFVC to stop sending such unsolicited email and other information by contacting the club’s Director of Communications.

Disclosure of Personal Information

There are a variety of circumstances under which the OFVC may need to disclose some personal information about its members.  The following are examples:

  1. The OFVC may disclose a member’s personal information to a person who, in the reasonable judgement of the OFVC, is seeking the information as an agent of the member.
  2. The OFVC may share a member’s personal information to the extent necessary with:
  1. A regional, provincial or national volleyball association for purposes of enrolling as a member of that association to provide membership services and information.
  2. A tournament host committee, clinic or special event organizer for purposes of registration, qualification, and emergency medical planning.
  3. Insurance underwriters for purposes of enrolment and risk management under the Club’s insurance coverage.
  4. The Coaching Association of Canada, Canadian Centre for Ethics in Sport, and other similar agencies in which the member seeks certification, status or compliance as a condition of their participation or membership.
  5. Media for purposes of contacting the member to conduct interviews or for publicizing results and news.
  6. Coaches, scouts or representatives of Volleyball Canada, the OVA, universities or colleges for purposes of talent identification and recruitment.
  1. The OFVC may share a member’s medical and emergency contact information with coaches and medical service providers in the event of injury or illness while participating in club activities.

The OFVC will not sell, trade, lend or otherwise voluntarily disclose to any third parties any personal identifying information that has been provided to the Club for any purpose not provided for under this Privacy Policy.

Securing Personal Information        

Security measures appropriate to the sensitivity of the information are used to protect the confidentiality of personal information.  

Accessing Personal Information

All members have access to view and update their personal information on the Club’s member site.  Members can assist the OFVC in maintaining accurate and current member information.

Retention and Destruction of Personal Information

The OFVC retains player information for a maximum of five years after the player ceases to be a member of the club.  Personal information is physically destroyed at that time.

Any questions or concerns about OFVC privacy practices should be directed to the club’s Director of Communications.
