Shipping Policy

General Information:

HVACR Parts Depot primarily ships items via Canada Post. For smaller parts, especially those for repair orders, we may use Canada Post or USPS (US Postal Service). Larger items may require trucking services, as indicated on the product page with a note regarding shipping charges. Buyers will be directly informed about projected freight charges for such items.

Please note that freight orders do not ship the same day. Allow one to two business days for preparation and carrier pickup.

HVACR Parts Depot cannot be held liable for missed dates due to issues with shipping companies like FedEx, UPS, USPS, Canada Post, or circumstances such as customs clearance, labor shortages, weather events, natural disasters, or Covid-19.

Shipping from HVACR Parts Depot typically occurs the same day for ground service orders received before 5:00 pm Eastern Standard Time. We operate from Ontario, Canada.

While FedEx, UPS, Canada Post, and the US Postal Service strive to deliver despite adverse weather, delays may occur due to severe weather conditions or other unforeseen circumstances. Please understand that HVACR Parts Depot cannot be held responsible in such cases.

A 20% restocking fee applies to refused deliveries, along with additional return shipping charges upon receipt of the refused package.

If a delivery address requires modification, notify HVACR Parts Depot, and billing adjustments will be made accordingly.

Orders can be shipped using a customer's FedEx, UPS, Purolator, or DHL account.

Export Orders:

HVACR Parts Depot ships to Canada and US Territories. Taxes and tariffs, if applicable, are the buyer's responsibility. For international orders, we require an ACH transfer of funds before processing. Orders submitted for credit card payment will not be processed until payment arrangements are made. We must ship using YOUR FedEx, UPS, or DHL account. A $50 handling fee is added to cover wire transfer fees and export documentation.

Due to past fraudulent transactions, export orders must adhere to these terms and conditions, which are non-negotiable.

If you wish to proceed, place your order online, and you will be contacted. Once funds are confirmed, HVACR Parts Depot will ship within 24 hours via the provided FedEx, UPS, or DHL account. Delivery Method and Shipping Options:

We offer express and standard shipping options to the continental United States and Canada. Shipping costs can be determined during checkout, with rates calculated using UPS and Canada Post options.

Orders received by 4:00 p.m. Eastern Standard Time Monday-Friday will ship the same business day. Orders for in-stock items received after 4:00 p.m. may not ship until the following business day. UPS Next Day Air service guarantees delivery by the next business day, with options for Saturday delivery available in some areas for an additional fee.

We do not ship on Saturdays, Sundays, or on specific holidays.

International delivery services vary, with delivery times ranging from 1-7 business days based on the shipping method selected.

Shipping of Backordered Items:

In the event of backordered items, customers have the option to ship items as they become available or to wait for the complete order to ship. Additional shipping charges apply for partial shipments.

Customers will be notified via email if an item is on backorder and asked to choose their preferred option.

Damaged Freight:

If a shipment arrives damaged, do not accept delivery. Refuse delivery, and the shipment will be returned to us. Acceptance of damaged goods transfers responsibility to the buyer, who must file a claim with the carrier.

All concealed damage, missing items, or other shipment errors must be reported within 72 hours of delivery.

We cannot be held responsible for damaged items during shipment. Prompt notification to HVACR Parts Depot is necessary to initiate a damage claim with the carrier. If a claim is honored, a refund or replacement will be issued.

Shipping Adjustment:

We reserve the right to adjust shipping charges when necessary to protect the product.

Our shipping prices typically remain constant, barring circumstances beyond our control (e.g., fuel surcharges, oversized item surcharges).

Alternative Shipping Company:

We reserve the right to change delivery methods if the selected shipping method is unavailable on the shipper's website at the time of processing.

In such cases, an alternative shipping company may be selected, with any excess payment credited back to the buyer.

Small Packet USA Air / No Tracking Option:

For packages without tracking, the buyer assumes responsibility once shipped.

We provide the order number, and it is the buyer's responsibility to contact the shipper for further information.

We recommend selecting the track package option if tracking is desired.

Once shipped, we relinquish responsibility, and any issues must be addressed directly with the shipper.

Wrong Address:

We are not liable for inaccurately inputted addresses on invoices. No refunds or warranties apply in such cases.

All international orders (excluding USA) must meet a minimum order value of $50.00 CAD.
