iCPSStock+ iOS Application

iCPSStock is an iOS app (only) that runs on your Apple device to assist you in counting physical inventory. You can use it to take stock of your inventory while you are out and about. A simple CSV file with the product number and quantity is created and then transferred to your computer for import into Club Prophet’s POSExpress Point of Sale system.

The iCPSStock application is available for download at the App Store with your mobile device and requires a hardware sled with a barcode scanner.

To download the iCPSStock+ app

  1. On your Apple device, open the Apple Store, and search for iCPSStock.

Note: Make sure you download the plus(+) version.

  1. Enter your Apple (iTunes) username and password when prompted.

Note: If you do not have one or do not know how to set one up, go to https://appleid.apple.com 

  1. Once the application is installed, select the icon to launch it. The main screen opens.

Setting up the app

  1. In the open app, select the Settings button in the top-right corner.

  1.  In the Setting screen, you can do the following:

  1. Once you are done with your set up,  click the Back [<] button at the top-right of the settings screen.  The main page displays.

To scan barcodes for your inventory

Once you have your iOS device in the Linea Pro cradle/sled, AND you turn it on using the button on the right-side side near-top of the device, you can start scanning barcodes as follows:

Note: Once press the button on the side of the device, you should see a red light when you point it at something. The light remains on for a few seconds and stays on as long as you are scanning but will go off. Best practice is to press it right before each scan.

Caution: Do not point this in anyone’s eyes!

  1. At the main screen, point the top of your iOS device at a barcode. You should see a red-light; if you don’t, press the button again.
  2. Point the red line over a barcode of an inventory item; if no red light is present, press the button located on the right side of the device. You will hear a beep after a successful scan, and one of the following happens:

  1. To add a new quantity to this item:
  1. Select that item from the main screen. The Barcode screen displays with the cursor in the New Quantity field:

  1. Using the number pad, select the Delete  button in the lower-right corner to remove the one [1], then select the number(s) for your new quantity using the number pad. The number displays in the New Quantity field.
  2. Select the add button. The screen closes and the main screen now displays the new number (plus any other quantity previously added) to the right of the item’s barcode number.

Note: If you are using the single-prompt mode, you will not be prompted to enter a count, each scan counts as one count.

To add a barcode manually

  1. Select the plus sign [+] in the lower-right corner.  A screen with the Barcode field displays.
  2. Enter the barcode number into the Barcode field.
  3. Enter the amount of this item into the New Quantity field.
  4. Select the add button.

To delete a scanned item

  1. Select the Edit button in the top-left part of the screen.  A red minus sign displays to the left of each scanned item.

  1. Select the minus sign [ - ] to delete an item. A Delete button displays to the right of the item.
  2. Select the Delete button to remove this item from your list.

Note: You can only delete one item at a time.

To search for an item

  1. Select the Search icon in the bar at the top of the screen. The cursor is now in that field and the word Cancel is to the right of it.
  2. Enter the item exactly as it was originally entered into the field. If found, the item displays at the top of the screen.
  3. When finished searching, select Cancel to return to the main screen.

Note: You can not edit or delete the item after you find it. The search can only let you know if the item has been scanned.

Exporting and Importing the Inventory

  1. When scanning is complete, select the Export button in the bottom-left of the main screen.  You will be presented with The following three options.

Using the Email Export/Import

  1. If you select Email, a new email is created with the iStockData.txt file attached.
  2. Enter an email address that can be accessed from a local terminal with access to that email address and has POS Express set up and select Send.
  3. Go to that computer and open the email just sent, and download the attachment

Note: If there are two attachments, select the iStockData.txt file only to save to your PC. Make sure you navigate to a folder on the PC that you’ll remember. Often the default folder to download a file to is the Downloads folder.

  1. Open POS Express, and go to Inventory then click the Physical Inventory button.
  2. Select A: Handheld or Manual under Step 3: Data Entry
  3. Select the Manual radio button.
  4. Click the Browse button.
  5. Navigate to where the iStockData file is and double-click it.
  6. Click Start Import to the right. A Completed dialog box displays with the number of successful items scanned.
  7. Click OK.  If some items were not found in your inventory, a message displays asking if you'd like to see those items.
  8. If you click yes, a PDF displays for viewing and printing those items. If you click No, a Warning dialog box displays reminding you to clear the data from your handheld. Click OK to close the dialog box.
  9. Click Close in the bottom right corner of the screen.
  10. To clear the data from your handheld, select the Clear All Scanned Data button in Settings of the iCPSStock+ of the iPod.

Using the USB Export/Import

If iTunes is not recognizing your iPod using the sled’s cable, you may have to remove the iPod from the sled and use the original cable that came with the iPod to plug into a USB Port. If you struggle to get the iPod out of the sled, insert a Qtip into the audio jack and push up while holding the sides of the sled firmly.

Note: The iTunes version used in these steps is Version 12.10.8.5.

  1. If you choose USB to do the export/import, connect your device to a computer that has iTunes installed.

  1. Open iTunes and sign in if need be.
  2. Select your iOS device listed in the top bar of iTunes. A summary screen displays on your device.

 

  1. Select File Sharing on the left-side panel. The Apps available display in the middle of the screen. 

  1. Select iCPSStock+ in the Apps list. The data files display to the right.

  1. Select iStockData.txt on the right.
  2. Click the Save button on the bottom right to save it to your computer. The Save dialog displays.
  3. Navigate to the folder on your computer where you want to save this file. Make a note as to where you saved it so in the next steps you can find the data file easily.
  4. Open POS Express, and go to Inventory then click the Physical Inventory button at the bottom of the screen.
  5. Go through your physical inventory process and browse to the location where you downloaded the file and select it.

Caution: Be sure you clear all scanned data in settings before starting another count, or you will add to your previous counts. Best practice would be to select the Clear All Scanned Data button in Settings after you have imported the data into POS Express.
