What is the Hoom House Supervision Portal?

The Supervision Portal is a platform designed to make your supervision experience better. You may use the Supervision Portal to find your perfect supervisor, track your hours, complete Monthly Experience Verification Forms electronically, and more. You can access the portal at https://supervision.hoomhouse.com.

What does it cost?

You pay for your supervisor's time, not for your experience hours. You may meet with your supervisor between 1-6.5 hours a month depending on how many fieldwork experience hours you are obtaining.

Supervisors charge different rates for different meeting types. Currently, our supervisors charge between $45/hour and $100/hour. The supervisors that charge more typically have more experience on our platform, however, all of the supervisors are highly qualified.

You may choose to mix in group supervision or assignments to reduce your total costs. Supervisors typically charge less per hour for those meeting types.

To determine a ballpark cost, multiply the supervisor’s hourly rate by the amount of supervision hours you have remaining. Again, the costs apply to the supervision hours and not the fieldwork experience hours.

How do credits work?

You must purchase credits in advance of meeting with your supervisor. You may either pay-as-you-go or subscribe to a monthly subscription that automatically adds credits to your account.

Each supervisor sets their rates and meeting types. Supervisors decide how many credits are required to meet in that format and for that duration. For example, a supervisor may charge 1 credit per hour for meeting 1:1 and 0.8 credits per hour for meeting in a group.

Credits will be deducted from your account when the supervisor documents the meeting. Credits do expire after some time. Credits may be refunded, but restrictions apply. 

Are credits refundable?

Unused credits are eligible for a refund for 30 days after the date of purchase. Please contact onboarding@hoomhouse.com if you would like to request a refund. We will coordinate with you and your supervisor to fulfill the refund and correct your balance.

We will let you know when we have initiated the refund, but when you receive the refund is out of our control. Refunds may take up to 10 business days to hit your bank account depending upon your bank.

Do credits expire?

Yes, credits expire after 1 year from the purchase date

How do I complete my supervision experience?

Your supervision experience is completed when you have met the BACBs requirements for eligibility and have demonstrated competency of the necessary skills. Please see the BACB handbook for both the BCBA and BCaBA requirements.

A summary of the requirements are as follows:

No fewer than 20 hours but no more than 130 hours of fieldwork requirements may be accrued per month. Fieldwork hours include independent hours (supervisor not present) and supervised hours (supervisor present).

When you have completed your fieldwork hours, a final verification form will be submitted to your supervisor. At that time, you will be eligible to apply for the exam.

How do remote observations work?

Observations are an opportunity for you to receive feedback and guidance on your application of skills on the task list. Observations are completed a minimum of once a month. They can either be live (with your BCBA observing you in real time) or recorded and submitted for review. If you share a recording, it must be reviewed with your supervisor present in order to count as supervision. If your supervisor reviews the recording on their own time, it does not count as supervision.

If you choose to complete them in real time, a HIPAA compliant platform must be utilized. Before any observations can occur, the client or their guardian must sign a consent for supervision and release of information. Your BCBA will work with you to identify which skills should be displayed during the observation.

How do I cancel my subscription?

How do I purchase more credits?

You may purchase additional credits any time by visiting your Dashboard. Look for the green “Purchase Credits” button or click the credits widget in the top right corner.

I am done with supervision and still have credits remaining. What should I do?

As you approach the end of your supervision experience, you should start to calculate how many credits you need to complete your hours. You may need to stop your subscription a month or two early because you have enough credits. We typically recommend that you move to a pay-as-you-go approach in the final 2 months of supervision.

If credits remain after your hours are complete, you may choose to apply those credits to mentorship meetings with your supervisor or for exam preparation. If you are interested in exam preparation support, please contact onboarding@hoomhouse.com and we will provide you more information about those programs.

If you decide you do not want to use up your remaining credits, you may be eligible for a refund. Please refer to our refund policy.

How do I complete my Monthly Experience Verification forms?

Monthly Verification Forms are completed in the supervision portal. Please navigate to your Documents section of the portal or click anywhere that you see "Request MVF". You will be prompted to select the month, your supervisor, and provide the amount of fieldwork and supervision hours obtained in the month. See the screenshot below for a reference.

Once you complete those fields and click "Request", the form will be sent to your supervisor. Your supervisor will then approve/reject the form based on the data you provided and their knowledge of your experience for the month. If rejected, you may resubmit with corrected values. You and your supervisor will receive email notifications for each step in the process (requesting, approving, rejecting).

There is no sharing of documents back and forth. The form will be electronically signed on your behalf and your supervisor's behalf when the form is accepted.

How do I find a supervisor?

To find a supervisor, navigate to the Supervisor Marketplace. There you will see the list of available supervisors. Press the “Connect” button to make a connection with the supervisor. The supervisor will reply with next steps.

onboarding@hoomhouse.com for assistance. There may be other supervisors on our team that have upcoming availability.

Which certifications do you offer supervision for?

We offer supervision for individuals pursuing their BCBA or BCaBA credential. We do not currently offer supervision for maintaining or obtaining an RBT certification.

What if I already have a supervisor and want another?

You may revisit the Supervisor Marketplace to find an additional supervisor.

What type of work qualifies as experience hours?

A wide variety of work can qualify as an appropriate placement for supervision. Some examples include:

It is important that the role includes work with others to increase skills and decrease interfering behaviors. Your BCBA will support you with identifying how the BACB task list applied to the daily activities and duties performed at your place of employment.

Do I need a supervisor in my state?

The majority of states do not require your supervisor to be licensed in your state. There’s a handful of states that do require that you are supervised by a state licensed LBA. We prepared a document that summarizes requirements by state, but you should contact your state’s board if you have questions/concerns.

How often should I meet with my supervisor?

In order for your fieldwork hours to count each supervisory period, you must meet with your supervisor for a minimum of 5% of those hours. This typically ranges from 1 hour to 6.5 hours each month. It is helpful to think that for every 20 fieldwork hours you would like to count each month, you will meet with your supervisor for one hour. You are also expected to meet a minimum of 4 contacts each month. The number of supervision hours will be split to meet this requirement.

What if I can’t find a supervisor that I like?

Contact onboarding@hoomhouse.com and we will help you find a supervisor. There may be supervisors that are not displaying in the marketplace but could be a good fit for you. We will contact the supervisors and see if they are open and willing to supervise you.

How do I find my BACB Account ID?

You should have received your BACB account id when you registered with the BACB gateway prior to starting supervision. You can login again to the gateway to find it. https://gateway.bacb.com/Account/Login.aspx

If you have not created your account in the BACB Gateway, please do so as soon as possible. You cannot start supervision without that number.

How do I enter prior hours in my fieldwork tracker?

You are able to enter your total unrestricted, restricted, and supervision hours prior to using the Hoom House Fieldwork Tracker. To do so, navigate to your Tracker -> Setup -> Prior Hours.

You should be prompted to enter your prior hours as one of the onboarding steps when you first start using the Fieldwork Tracker. You may change the values at any time and your totals will be recalculated.

How do I track unrestricted vs restricted activities in my fieldwork tracker?

The Hoom House Fieldwork Tracker automatically encodes your activity entry as restricted or unrestricted based on the activity type. That means you can document what you did and the system will determine for you if it was restricted or unrestricted. That should make it simpler for you.

Sometimes the classification is obvious from the name (for example, the activity type name may include “restricted”). Feel free to document some sample activities to learn about their classification. You can always delete activities.

You need to meet the restricted/unrestricted requirements overall (not each month). You can see how you are doing by looking at the top of your Fieldwork Tracker.

How do I export my fieldwork tracker?

You are able to export your Fieldwork Tracker to CSV format at the summary or monthly detail level. In either case, find the “Export” button at the top of your Fieldwork Tracker.

Clicking export will generate a CSV file output for you. That file will contain the relevant activities for that time period.

Look for the (R) and (U) icons for restricted vs unrestricted classification at the summary or detail level.
