Title: Google 2-Step Verification
Purpose: This document will help you enroll your Utica email account in Google 2-Step Verification, which is required starting in 2024.
We highly recommend you follow these instructions using a computer. It may be possible using just a phone or tablet, but the steps may vary.
Remember, the main purpose of multifactor authentication is to prove you are the person trying to sign in. If you get a notification of login and you did not login, DO NOT approve it and contact the Help Desk immediately.

- On a computer login to your Utica email at https://mail.utica.edu.
- Use this link and skip to the next step
Or click on the circle at the top right of your email, then on Manage your Google Account.
Click the Security menu on the left.
Click on the arrow next to 2-Step Verification
- Click the Get started button.
- Enter your phone number and choose the text message option. Only if you are using a landline phone should you choose the Phone call option here.
- Click the NEXT button at the bottom.
- Check your phone for a text message. You should have a code in the message. Enter that on code on this screen and press NEXT.
- The page will show a confirmation that it worked. Press the TURN ON button at the bottom to complete the process.
- You’ll now see the Security settings page and next to 2-Step Verification a green check will indicate it is on.
We recommend that you click the arrow on the end of that row and add additional sign in methods to your account so you have backup options.
- You may see Google Prompts listed. This is easier than using a text message code. This will appear automatically if you have a phone or tablet with a Google app signed in to your Utica account.
- If you do not see something like the example above:
- For iPhone / iPad: Find the Gmail, YouTube, or Google app on your phone (obtain one from the app store if needed) and make sure you’re signed into your Utica account.
Go to this page for more iOS details. - For an Android phone or tablet, open your Settings and look for an Accounts option. Click Add account, choose Google and login with your Utica email address and password.
Go to this page for more Android details. - After checking your account on your phone you can return to the Security settings page on your account to check that your device appears and Google prompts is enabled.
- If your device is not compatible or you don’t wish to sign into any Google apps on your device you will get the text message codes only.
- When you login the login screen will look something like this.
If your default method isn’t available use the Try another way button.
- If you wish to add additional phones (with either the text message or voice call option), click the arrow next to the Voice or text message section.
Use the “Add a backup 2-Step Verification phone” button to add more.
Employees may want to use the landline phone at their office desk as a backup number to their primary method. Alternatively you can add the number for a trusted person so they may be able to help you login if your phone is unavailable.
- A few additional sign in methods are also available to you as shown below. Use this link to get back to these options in your account if needed. Click the arrow next to each one that you want to configure.
- Backup Codes - this is a printed code that you can keep somewhere safe in case you need it. This is a one time emergency use item and after using it new codes would have to be generated. It’s good to have, but should be rarely needed.
- Authenticator app - This is an app you add to your phone and/or tablet and configure for your account. When you login to email you would open this app and enter the code shown in the app on the login page. This method is useful if you expect your phone will not have internet or cellular service but the device you want to check your email on does.

- Security Key - This is a physical device (example) that plugs into your computer or phone. When logging in you would plugin this device and press the button on it. This must be with you any time you would need to login and it is something you would need to purchase.
