1         General

1.1           Name

The name of this organization shall be the Liberty Ranch Jr. Hawks Youth Football and Cheer Association (LRJH). LRJH shall operate exclusively as a non-profit organization.

1.2           Purpose

The purpose of LRJH is to provide safe, supervised sport activities for the youth of Galt and the surrounding areas.

1.3           Objective

The objective of LRJH to:

·         Build healthy bodies and minds;

·         Develop skill and proficiency in football or cheerleading, and related activities;

·         Teach concepts of teamwork, sportsmanship, loyalty, honesty and pride;

·         Stimulate community interest in sports;

·         Have fun; and

·         Do all of these things with the welfare of the children first and foremost, without adult ambition for personal glory.

2         Membership

2.1           General

Any person sincerely interested in active participation to affect the objective of LRJH and currently in good standing with LRJH, the league, other teams within the league, and/or any other youth organizations, may be a member of LRJH, providing said person abides by these by-laws and the objectives and rules of LRJH and any entity governing LRJH (eg. league).

 

No LRJH member of any kind shall use drugs, alcohol, or tobacco at any and all team functions.

 

No LRJH member of any kind shall use illegal drugs.

 

2.2           Classifications

2.2.1        Player Member

Any youth meeting the requirements of LRJH and residing within the authorized boundaries of the league shall be eligible for participation.

2.2.2        Regular Member

Any adult who is the parent and/or legal guardian of a player member, or is interested in furthering the objectives of the organization may become a regular member.  All Coaches, team managers, and any appointed official is considered an active regular member and must remain in good standing to be a part of the organization.

2.2.3        Board Member

Any member elected to the LRJH Board.

 

2.3           Suspension or Termination of Membership

All Board, Regular and Player Members shall be held to the highest standard with regard to social media. Defaming of LRJH, opponents, teammates, coaches, officials or the league can be cause for termination of membership, suspension or ejection as set forth in these By-Laws.

 

The following Board Members shall have the authority to discipline, eject, or suspend the membership of any Player or Regular member on the spot when the conduct of such person is considered detrimental to the best interest of the players and the organization:  President, Football Vice President and Cheer Vice President. The Vice President may only discipline, eject or suspend the membership of any Player or Regular member when acting in the capacity of the President.

 

·         A Board Member may be terminated by resignation or by the action of the Board Members, by a two-thirds (2/3) vote of those officers present at the duly constituted meeting.

 

·         If a Regular Member is under review for possible termination, said member involved must be notified of a review meeting, informed of the general nature of the charges and By-Law(s) violated, and given an opportunity to answer such charges. All concerned parties shall be notified no later than twenty-four (24) hours of a meeting to review alleged violations. A review meeting shall be held, regardless of whether or not the member in question attends. The Board may vote to enforce corrective action, suspension or termination of membership.

 

·         If a Player Member is under review, the Board shall give notice to the parent and/or guardian, and the head coach of the team in which he/she is a member. An adult (21 years of age or older) shall appear in the capacity of the advisor with the player before the Board for a hearing. All concerned parties shall be notified no later than twenty-four (24) hours of a meeting to review alleged violations. The review meeting shall be held, regardless of whether or not the member in question attends. The Board may vote to enforce corrective action, suspension or termination of membership.

3         Board of Directors

3.1           General

The governing body of LRJH is the Board of Directors (Board).  Each member of the Board is entitled to a single vote for all matters brought to the Board requiring a vote (action items) with the exception of the President. The President will only vote if necessary, to break a tie.

 

Appointed volunteers such as but not limited to:  coaches, Team Managers, and team moms, do not have a vote. Members of sub-committees are not entitled to a vote.

 

The Board consists of the following positions:

Cheer Coordinator

Fundraising Coordinator

Concessions Manager

Equipment Manager

Recorder

 

3.2           Board Responsibilities

The Board shall manage the property and affairs of the organization.  The Board shall, upon election, enter into the performance of their duties described in Article 7 as of January 1st of the new season and shall continue in office for a total term of two (2) years ending December 31st of the 2nd year.  Each additional two (2) year term shall be approved by the Board.

·         The outgoing officer shall transfer all records, files and materials.

·         Communicate all practices and policies to the newly elected officers to insure a smooth transition of the duties.  Personally developed procedures, letters and records will also be helpful to this process.

 

No Director, Board Member or Regular Member of LRJH shall receive directly or indirectly any salary, compensation or emolument from LRJH for services rendered to the organization. Violating this section is not only an ethical breach of a Board Member, but also puts the organization’s not-for-profit status at risk.

 

No Board Member shall serve in the capacity of Head Coach or Assistant Coach unless approved by the Board on a case-by-case basis.

 

Each Board Member, upon assuming office, shall sign the Board Member Oath of Office  acknowledging each member has received,  read and will act in accordance with these By-Laws.

 

3.3       Board Structure

The President shall have the power to appoint such standing and special committees as he/she determines, and delegate such power to them, as deemed advisable. The Board will have the power to fill any vacant position.

 

The Board may adopt such rules and regulations for the conduct of its meetings and the management of the organization, as it deems proper.

 

3.4       Elections

·         The President should be elected from within the Board whenever possible.  The President for the upcoming year shall be voted in by the current year Board before December 31st.  If there are no candidates by 12/31, the new Board shall vote in a President.

·         The current Board will vote the Board positions with vacancies for the upcoming year before December 31st.  If there are no candidates by 12/31, the new Board will vote on candidates for any vacancies.

 

 

4         Board Governance

4.1       General

The Board shall meet no less than once a month from February to November. Regular meeting dates will be scheduled by the respective chairs of the Board and committees.

Special meetings may be called by the President at any time or if requested by a Board member and approved by 50% of the Board.

4.1.1        Rules of Order

·         The meetings will be presided over by the President.  In the President’s absence, the Vice President will assume responsibility of the President. In the absence of both the President and the Vice President, the Football Vice President and Cheer Vice President will coordinate the assumption of duties. The duties will be mutually agreed upon by the Football Vice President and Cheer Vice President.

·         Attendance at the regularly scheduled meetings is mandatory for all Board Members.  Any member who cannot attend a scheduled meeting shall notify the President or Secretary.

·         Any Board Member who misses three (3) of any five (5) consecutive meetings may be removed from office by a two-thirds (2/3) majority vote.

·         These Rules of Order shall govern all Board meetings unless suspended by the Board for a specific meeting.

·         A quorum will be a minimum of two-thirds (2/3) of all Board members. Once a quorum is formed, members leaving the meeting cannot break it.

·         All Board meetings must be noticed to the public and the Board members in advance.

·         All agenda items for meetings must be provided by the Board members to the Secretary within two (2) weeks of the meeting date.

·         All meetings must have a quorum to take place. If a quorum is not met, the Board may not act or motion any items on the agenda.

4.1.1.1       Classification of Agenda Items

 

Action Items: Items requiring a Board vote for a member to take action on a task. Generally speaking, any Board member wishing to purchase, hold an event, or take action of any kind requires a Board vote.

 

Action items must be presented to the Board with the following: Cost/Benefit analysis, detailed cost breakdown, anticipated revenue and profit (if applicable), time, hours and other pertinent details for the Board to make an informed decision.

 

Information Items: Information items are informational updates to the Board members. These items are generally taken up after Action Items are considered in the Board meetings.

 

New Items: Any new items requiring discussion or voting.

4.1.2        By-Laws

 

LRJH is governed by the By-Laws currently in effect. All members of LRJH must abide and adhere to the responsibilities, rules, and objectives of these By-Laws.  The Board may adopt such rules and regulations for the conduct of its meetings and the management of the organization, as it deems proper.

 

These By-Laws may be amended by two-thirds (2/3) vote of the Board and a quorum must be in effect.  All proposals must be submitted in writing to the President and the Secretary.  Proposed amendments must be on the agenda.  Either the author of the proposed By-Laws or the President may request that the proposed By-Laws be presented at one meeting and not voted on until the next meeting.  All amendments go into effect immediately unless the amendment specifies a future date and time.

                                                                                    

The By-Laws will be reviewed every year; the Board shall review the current By-Laws in January of the new season.

5         Financial and Administrative Year

LRJH shall operate both financially and administratively on a yearly basis, beginning January 1. The financial records shall be closed December 31st.

 

The Board shall decide all matters pertaining to the finances of LRJH and shall place all income in a common treasury. Directing the expenditures of such as will give no individual or team an advantage over those in competition with such individual or team. All cheer competition fundraising and other income not specific to registration or the League shall be maintained in a separate Cheer account.

 

The Board shall not accept nor solicit any donation specific to any single level of football or cheer. All donations must be voted on and approved by the Board to be accepted.

 

The Board shall not permit the disbursement of LRJH funds for purposes other than the conduct of football and/or cheerleading activities, or normal business expenses to meet the objectives and ensure efficient operation of the organization.

 

No Director, Board Member or Regular Member of LRJH shall receive directly or indirectly any salary, compensation or emolument from LRJH for services rendered to the organization.

 

All monies received shall be deposited to the credit of LRJH in a designated local banking facility. All disbursements must be made by either check, debit checking card or electronically via an app where a record of the disbursement can be viewed and/or printed. Checks require only one signature by either the Treasurer or President.

 

All monies received shall be turned in to the Treasurer in a timely manner for proper recording.  All checks received shall be deposited in a timely manner.  Receipts shall be exchanged immediately.

 

The LRJH maintains a “no refund” policy on all fees after June 1st. No refunds shall be granted for players/cheerleaders injured during the season. The Board may make exceptions with an approved vote, on a case-by-case basis.

6         Equipment and Property of LRJH

All equipment owned by LRJH shall be stored in a secured location. If any equipment is to be temporarily stored in a personal garage, it must have prior approval from the Equipment Manager.

 

The following Board Members shall have access/keys to equipment at all times – President, Vice President, Football Vice President, Secretary, Facilities Manager and Equipment Manager.

 

All equipment shall be inventoried at the beginning of each year and the end of each year, and shall be properly numbered for accountability beginning and end of year inventories shall be presented to the Board and used in preparation of the organization’s tax returns.

 

7         Duties of Members

7.1           Duties of Board Members (Elected)

7.1.1        President

The President will represent this organization at all meetings of the League and will keep this organization informed as to the activities of the League. The President will be responsible for coordinating or causing the coordination of all activities where this organization has a responsibility to the League.  He/she will appoint three (3) alternates to attend the meetings in his/her absence.  The President will preside at the Board meetings and assume full responsibility for the operation of LRJH according to these By-Laws. He/she will be responsible for the conduct of the organization in strict accordance to the policies, principles, rules and regulations of the League. The President shall supervise the functions of the Board and any sub-committees. The President shall vote only to break a tie. The President will attend all scheduled Board meetings. The President will handle the organization’s insurance administration and maintain a record of all official documents pertaining to the organization. The President will act as a liaison between the parents, and Board members in the handling of any disputes. The President will oversee that all Board positions duties and responsibilities are being met by each Board member. The President is responsible for either filling any Board vacancies that occur mid -season or vacant positions by January 31st or for completing or delegating the duties of that vacant Board position. The President is responsible for the safe and effective operation of this organization.

 

7.1.2        Vice President

The Vice President will preside in the absence of the President. The Vice President will assist the President in fulfilling the duties described in Section 7.1.1.

 

7.1.3        Football Coordinator

Football Coordinator will preside in the absence of the President and the Vice President, in conjunction with the Cheer Coordinator, and will work with other Board members. Football Coordinator will manage the football coaches, and will carry out other duties and assignments as may be delegated by the President.  The Football Coordinator will attend all meetings and vote on action items. Primary Duties of the Football Vice President include but are not limited to:

•                 Recruit, develop and train football coaches;

•                 Schedule, hold and manage coaches meetings;

•                 Act as a relationship manager with LRHS Football Coaches;

•                 Develop and implement, in conjunction with LRHS, a football development plan;

•                 Meet with Recorder and President the first week of practice to review books;

•                 Ensure all coaches meet LRJH and league standards/requirements;

•                 Manage parent concerns regarding coaching;

•                 Communicate to Recorder any changes in the rosters (adds, drops, or inter-level changes). Coordinate and run Football Camp;

•                 Manage disputes between coaches;

Ensuring all coaches adhere to the Coaching Ethics and Guidelines (set forth in these By-Laws);

•                 Attend the League’s Coach’s Clinic; and

•                 Review the game stats for Minimum Play violations (if applicable).

 

The Football Coordinator runs the Football Coaching committee, which is a Sub Committee of Regular Members. This Sub Committee is comprised of the Football Coordinator, and all Head and Assistant football coaches (as defined in these By-Laws). The Football Coordinator will ensure all members of the above named committee adhere to the objectives and rules of the organization’s By-Laws. The Football Coordinator may delegate specific tasks to Regular Members such as coaches; however, should the Football Coordniator delegate a task(s) to a Regular Member, the responsibility of the tasks completion rests with the Board member. The Football Coordinator will have other powers and perform other duties as prescribed by the Board.  The Football Coordinator is responsible for the safe and effective operation of this organization.

 

7.1.4        Cheer Coordinator

Cheer Coordinator will remain educated on the duties of the President and work closely with him/her to support and assist whenever needed. Cheer Coordinator is obligated to provide enough cheerleaders to form a squad for each football team assembled by Jr Hawks Football wherever possible.  The Cheer Coordinator’s main focus is to ensure that all squads are provided with the necessary means to meet their cheerleading obligations. Cheer Coordinator must prepare the coaching staff through educational clinics or meetings and provide all with the necessary information to successfully fulfill their duties.  The Cheer Coordinator will ensure that the coaching staff is maintaining a teaching standard set forth by this organization and ensure that all squads remain on schedule, including assuring that background checks are performed on all coaches and will assign coaches and team moms for each squad. Cheer Coordinator will determine which cheers and sidelines will be acceptable for games.  In addition, complete competition routines including motions, movements, music selection, attire, and props will be approved by the Cheer Coordinator for quality and content before execution.

 

The Cheer Coordinator will ensure that the safety standards and disciplinary actions set forth by this organization are upheld.  The Cheer Coordinator will communicate to the President all verbal and written disciplinary actions.  In addition to the aforementioned, Cheer Coordinator will have the responsibility for the following duties:

 

·         Member of the Executive Board;

·         Remains versed in the President’s duties;

·         Form squads based on registration;

·         Prepare coaches for their duties by way of coaching meetings/clinics and documentation;

·         Coordinate content of Cheer Clinics and Coaches Meetings/Clinics;

·         Determine which cheers and sidelines will be acceptable for games;

·         Ensures safety standards are being upheld;

·         Initiates disciplinary actions through verbal or written notices;

·         Registration, payments, revenue and expense tracking and all other tasks related to the;

·         management of finances for the cheer program;

·         Ensuring all coaches adhere to the Coaching Ethics and Guidelines (set forth in these By‐Laws);

·         Approve cheer and competition material;

·         Attend all competition meetings hosted by the competition events coordinators;

·         Acquires competition rules and regulations;

·         Determines competition participation and eligibility;

·         Seek outside professional cheerleading services when necessary;

·         Oversees the responsibilities of the Cheer Director;

·         Coordinate & delegate the Uniform Exchange Program;

·         Organize & coordinate written & verbal communication with Cheer parents & coaches regarding practices, games and competitions;

·         Approve cheer uniforms and camp uniforms;

·         Substitute as coach as needed.

 

The Cheer Coordinator will attend all scheduled meetings and vote on motions.  The Cheer Coordinator is responsible for the safe and effective operation of this organization.

 

7.1.5         Treasurer

The Treasurer will act as the financial officer of the organization. The Treasurer’s responsibilities include but are not limited to:

        Manage and maintain the organization’s books and financial recordings and bank account(s)

        Provide a status report once a month to the Board at each Board meeting;

        Prepare a proposed budget at the beginning of the year and distribute a copy to the Board no later than February 28th;

        Supervise all finances and pay all approved purchases and/or expenses;

        Provide receipts for all monies collected and spent; and

        Prepare or oversee the preparation of the organization’s tax returns and related tax issues.

 

The Treasurer will attend all scheduled meetings and vote on motions.  The Treasurer will perform other duties as prescribed by the Board.  The Treasurer is responsible for the safe and effective operation of this organization.

 

7.1.6        Recorder

The Recorder will act as the organization’s registrar. The Recorder’s responsibilities include but are not limited to:

·         Coordinate, with the approval of the Board, registration dates;

·         Coordinate with the Secretary, online registration and payment (if applicable);

·         Create, maintain and publish all forms and policies relating to registration and membership of the organization;

·         Maintain a repository of archived registration information;

·         Monitor payment plans and scholarships and assist the Treasurer in the monitoring the accounts receivable for football registration;

·         Create and maintain football certification books and ensure the books meet the league’s requirements;

·         Maintain and distribute registration forms of the organization and the league (including volunteer forms, volunteer background checks, and issuance of badges for volunteers);

·         Represent the organization with the President on any league matters concerning registration or rules affecting registration;  and

·         Maintain the organization’s record of volunteer hours for both football and cheer.

 

The Recorder will perform other duties as prescribed by the Board.  The Recorder may delegate specific tasks to Regular Members; however, should the Recorder delegate a task(s) to a Regular Member, the responsibility of the tasks completion rests with the Board member. The Recorder is responsible for the safe and effective operation of this organization.

 

7.1.7        Secretary

The Secretary is responsible for the governance administration of the organization including but not limited to:

·         Official correspondence and communication of the organization;

·         Provide the Board Members with a copy of the minutes and distribute them at the following meeting;

·         Maintain a record of all official documents;

·         Scheduling all Board meetings (in collaboration with the meeting chair (the President);

·         Creating and distributing Board meeting agendas and minutes;

·         Archiving all of the organization’s governance and administration documents (including insurance documents, tax returns, IRS and FTB communications, and inventories, as provided by the respective Board Members); and

·         Maintaining the organization’s communication tools including websites, social media, and fliers.

 

The Secretary will perform other duties as prescribed by the Board.  The Secretary may delegate specific tasks to Regular Members; however, should the Recorder delegate a task(s) to a Regular Member, the responsibility of the tasks completion rests with the Board member. The Secretary is responsible for the safe and effective operation of this organization.

 

7.1.8        Facilities Manager

The Facilities Manager will coordinate facilities and all auxiliary equipment needs for facilities in which the organization requires to operate. Facilities Manager’s duties include but are not limited to:

1.) Facilities and Equipment Procurement               

·         Procuring facilities to meet all of the organization’s needs (including but not limited to: camp, practice, home games, picture day and parties). The terms and conditions of the facilities procurement must be transacted on a written contract and presented to the Board for approval prior to entering into any contract.

·         The Facilities Manager is responsible for procuring, if necessary, lighting for the field, and maintenance and storage of lighting.

2.) Field Management: Game Days

·         The Facilities Manager shall coordinate the setup and take down of the field for all home games. Setup and take-down tasks include but are not limited to: setting up field markers, goal post pads, score board controller, roped off areas, and any other necessary equipment.  The Facilities Manager is responsible for making sure there are first aid supplies on the field.

3.) Field Equipment

·         The Facilities Manager is responsible for the safe and proper storage of field equipment necessary to complete the objectives of this organization.

4.) Volunteers

·         The Facilities Manager is responsible for tracking all volunteer hours for Facilities Committee and reporting hours to the Recorder.

 

The Facilities Manager will attend all scheduled Board meetings and vote on motions.  The Facilities Committee is comprised of the chair, and Regular Members. The Facilities Manager will ensure all members of the above named committee adhere to the objectives and rules of the organization’s By-Laws. The Facilities Manager may delegate specific tasks to Regular Members; however, should the Facilities Manager delegate a task(s) to a Regular or Sub Committee member, the responsibility of the tasks completion rests with the Board member.  The Facilities Manager will perform other duties as prescribed by the Board.  The Facilities Manager is responsible for the safe and effective operation of this organization.

 

7.1.9        Equipment Manager

The Equipment Manager will ensure each Player member (for football) of the organization has the equipment required to play. Equipment Manager’s duties include but are not limited to:

·         Responsible for all the football uniforms and equipment;

·         Locate sources for purchasing quality uniforms and equipment at reasonable prices;

·         Inspect and inventory all uniforms and equipment before February 15th and provide an inventory report to the Board along with a list of items needed;

·         Manage helmet certification and complete no later than January;

·         Should uniforms need to be washed, he/she will coordinate a trip to a laundromat, along with other volunteers;

·         Order the uniforms and equipment early enough to receive them by the start of the season;

·         Ensure each Head Football Coach has a “Coaches Box” that contains first aid supplies and extra parts for repairing helmets or shoulder pads (i.e. Helmet screws, shoulder pad straps & fasteners, jaw pads, chin straps, etc.);

·         Ensure each team has five (5) footballs, two (2) kicking tees, & one (1) hitting bag;

·         Ensure and deliver practice pads for football and cheer are available for teams use at practices;

·         Coordinate storage of football and cheer pads;

·         Arrange a site for equipment distribution, which will take place the first Saturday after the first week of practice.  He/she will coordinate the equipment distribution with Board Members and Head Coaches;

·         Coordinating the collection of the uniforms at the end of the season along with the Coaches and Board Members; and

·         Secure the uniforms and equipment in a storage unit.

 

The Equipment Manager runs the Equipment Committee, which is a Sub Committee of Regular Members. The Equipment Manager will ensure all members of the above named committee adhere to the objectives and rules of the organization’s By-Laws. The Equipment Manager may delegate specific tasks to Regular Members; however, should the Equipment Manager delegate a task(s) to a Regular Member, the responsibility of the tasks completion rests with the Equipment Manager. The Equipment Manager will attend all scheduled meetings and vote on motions. The Equipment Manager will perform other duties as prescribed by the Board.  The Equipment Manager is responsible for the safe and effective operation of this organization.

 

7.1.10        Fundraising Coordinator

The Fundraising Coordinator shall generate revenue for the organization. The Fundraising Coordinator shall submit information on the most reasonable and profitable events to the Board of Directors for approval.  After an event has been approved, the Fundraising Coordinator shall plan the event, place orders, make arrangements, distribute products or information, and maintain necessary records.  The Fundraising Coordinator shall record all monies collected, provide receipts as needed, and turn in all monies received to the Treasurer in an expedient manner.  He/she will work closely with the Treasurer and the Board in order to produce the funds needed to meet the goals and needs of the organization.

 

The Fundraising Coordinator’s responsibilities include but are not limited to:

·         Write grants, obtain corporate sponsorships;

·         Coordinate at least one mandatory fundraiser and all related activities (distributing fliers, collecting money/sales, placing orders, and distribution);

·         Generate new sources of revenue for the organization. All terms and conditions relating to agreements with food truck vendors, must be approved by the Board prior to the fundraising coordinator signing an agreement;

·         Responsible for tracking all volunteer hours related to Fundraising activities and reporting hours to the Recorder.

·         Coordinate purchase, sale and distribution of "Jr. Hawks Gear."

 

 

The Fundraising Coordinator runs the Fundraising Committee, which is a Sub Committee of Regular Members. The Fundraising Coordinator will ensure all members of the above named committee adhere to the objectives and rules of the organization’s By-Laws. The Fundraising Coordinator may delegate specific tasks to Regular Members; however, should the Fundraising Coordinator delegate a task(s) to a Regular Member, the responsibility of the tasks completion rests with the Fundraising Coordinator.

The Fundraising Coordinator will attend all scheduled meetings and vote on motions. The Fundraising Coordinator will perform other duties as prescribed by the Board. The Fundraising Coordinator is responsible for the safe and effective operation of this organization.

 

7.1.11        Concessions Manager

 

The Concessions Manager shall generate revenue for the organization through concessions and merchandise. The Concessions Manager shall submit information on the most reasonable and profitable products to the Board of Directors for approval.  After a product has been approved, the Concessions Manager shall place orders, make arrangements, distribute products or information, and maintain necessary records.  The Concessions Manager shall record all monies collected, provide receipts as needed, and turn in all monies received to the Treasurer in an expedient manner.  He/she will work closely with the Treasurer and the Board in order to produce the funds needed to meet the goals and needs of the organization.

 

·         Manage concession sales at home games. Depending on field location this may include one of  the below two scenarios for home games:

·         1.) Snack Shack: requires Concessions Manager to purchase food and drinks for sale; prepare food on game day, setup and take down concession stand, coordinate with the city and/or county to pass health inspection (if an inspection is required)

·         2.) Food trucks: Coordinate and schedule with food truck vendors to sell hot food at home games. Also, sell non-perishable snacks and drinks at home games

·         Responsible for tracking all volunteer hours related to Fundraising activities and reporting hours to the Recorder.

7.2           Duties of Appointed Regular Members

7.2.1        Head Coach

There will be one Head Coach for each level (team) for each football and cheer. The Head Coach of each team reports to the Football Vice President or Cheer Vice President. The Head Coach will have control over all activities for their team but is subject to the rules set forth by their respective Athletic Vice President. He/she is responsible for managing the Assistant Coaches and Team Managers. Assistant Coaches and Team Managers may be proposed by the Head Coach but subject to final approval of the Athletic or Cheer Director. The Head Coach is responsible for supervising the selected crew for each level.  The Head Coach is responsible for using proper drills and methods to physically condition and develop each player or cheerleader.  He/she is responsible for teaching either the game of football or cheerleading.  The Head Coach is responsible for knowing and following the Coaching Ethics and Guidelines for LRJH and for the league.  He/she will be held accountable for any ineligible members found to be participating in the organization’s activities. The Head Coach will attend all scheduled coaches meetings. The Head Coach will perform other duties as prescribed by their respective Athletic Vice President.  The Head Coach is responsible for the safe and effective operation of this organization.

7.2.2        Football Team Manager

The Football Team Manager is responsible for all of the administrative duties for an individual team (level) and reports directly to the Head Coach and the Football Vice President.  The Team Manager shall have the player information and medical information and equipment on the field during all games.  Team Manager’s responsibilities include but are not limited to:

 

·         Take attendance at each practice and game and maintain attendance records for all players;

·         Keep stats during the games and keep the Head Coach informed as to the status of players receiving their required minimum plays (if minimum play requirements are enacted by the league and/or the organization);

·         Monitor the sideline/bench to ensure a player needing medical attention receives it;

·         Monitors the sideline/bench to ensure players remain hydrated;

·         Be the keeper of the Team’s Book for weigh-ins at each game (after the books have been certified by the League and turned over to the Team Manager by the Recorder);

·         He/she will make every attempt possible to ensure each player receives his or her minimum plays without interfering with the coaching of the game (if minimum play requirements are enacted by the league and/or the organization);

·         Report to the Athletic Director, immediately following the game, the names of any players that did not receive their minimum plays (if minimum play requirements are enacted by the league and/or the organization);

·         Be prepared to show stats at any time during or after a game if requested by a league or Board Member plays (if minimum play requirements are enacted by the league and/or the organization);

·         The Team Manager shall maintain all necessary records on their team including medical information;

·         Will attend scheduled Coach’s meetings or other meetings; and

·         Maybe ought to act as Weighmaster when possible.

 

The Team Manager will perform any other duties as prescribed by the Head Coach or by Football Vice President.  The Team Manager is responsible for the safe and effective operation of this organization.

 

7.2.3        Assistant Coach

An Assistant Coach will assist the Head Coach with all coaching activities for their team.  The Assistant Coach shall abide by the decisions made by the Head Coach and the Football Vice President.  The Assistant Coach is responsible for knowing and following the Coaching Ethics and Guidelines for LRJH and for the league.  The Assistant Coach shall attend all football or cheer coaching clinics as required by LRJH and/or the league. The Assistant Coach shall perform any other duties as prescribed by the Head Coach or Football Vice President or Cheer Vice President. The Assistant Coach is responsible for the safe and effective operation of this organization.

 

8         COACHING ETHICS GUIDELINE AND RESPONSIBILITIES

All coaches associated with LRJH will abide by the following guidelines and responsibilities. Violations of these rules shall be cause for suspension or termination according to Section 2.3 of these By-Laws.

 

·         Do not criticize the opposing team, its coaches or fans, by word of mouth, by gesture or through social media.

·         Refrain from using abusive and profane language before anyone connected with the game.

·         Do not allow an ineligible player/cheerleader to participate in practices or games until LRJH and the league have approved the player for play.

o   Any coach who knowingly plays an ineligible player will be automatically suspended by LRJH and may not assume coaching or any other duties with any team in the organization without the approval of LRJH Board.

·         Do not permit an injured player/cheerleader to re-enter the game if further play would jeopardize his/her health.

·         Coaches shall not terminate game play at any time unless the game officials terminate the game, or deemed necessary by either the Athletic or Cheer Director.

·         Use appropriate methods and drills for developing good physical conditioning and skills.

·         Emphasize that good athletes are good students both physically and mentally.

·         Strive to make every activity serve as a training ground for life, and as a basis for good mental and physical health.

·         Be on alert for any signs that would indicate possible health hazards.  Also, ensure alertness in the members of coaching staff.

·         Explain clearly and thoroughly any additional or more stringent rules.

·         Make it clear to players/cheerleaders the expectation is that players/cheerleaders are expected to attend all practices, meetings and games.

·         Explain and discuss with the players/cheerleaders the rationale and philosophy, playing rules and any other additional rules.

·         Enforce all rules and regulations of LRJH and the league.  Rules are only as effective as the coaches’ attitude towards them.  If there is a problem or question, immediately seek the assistance of the Athletic Director, Cheer Director, or President.

·         No coach may join another team’s coaching staff until released by the team he originally committed to.

·         Don’t intimidate the players by calling them names that are degrading, and don’t yell or scream at players/cheerleaders in a negative manner.  Yelling or screaming in a positive manner, a coaching manner or a cheering manner is acceptable.  If you are not sure of the difference, please ask the Athletic Director or the Board for clarification.

·         Have fun and encourage players/cheerleaders to have fun as well.

·         Teach the players to lose and to win in a sportsmanlike manner.

·         Invoke fair and respectful discipline.

·         Constructive criticism only, not degrading criticism.

·         Do not dispute officials’ calls beyond the acceptable questions.

·         Remember team play, not individual play.

·         Always keep a positive attitude around the players.

·         Teach respect to the players by respecting authority yourself.

·         Explain rules and consequences regarding missed practices or games.  Enforce these rules equally with all players/cheerleaders with no exceptions.

·         MAKE SURE ALL PLAYERS PLAY THE REQUIRED MINIMUM PLAYS PER GAME (if the league and/or the organization have affected a minimum play requirement).
