General Duties of Assigned Portfolio
Goal of Portfolio
The Membership Director is accountable for developing policies, programs, and initiatives, which promote the integration, retention, and development of members. The Membership Director is responsible for setting and collecting Membership fees and for informing members about Safety practices. In performing these duties, the Director is supported by the Introductory Programs and Adult Rowing Manager.
Duties and Areas of Responsibilities
Primary responsibilities of the Membership Director include, but are not limited to the following:
- Develop policies, programs, and initiatives by liaising with the membership committee to promote and enhance member integration, retention, and development, as described below:
- Integration of members into the club, in conjunction with the ISP Director, for example defining pathways from Learn to Row to Learn to Train and Club and competitive rowing to foster an improved sense of belonging and involvement of new members into the clubs’ programs
- Member retention including direct and indirect ways of engaging members to demonstrate the value of club membership
- Member development through their participation in the clubs’ activities.
- Assess cost and fees analysis in conjunction with the Membership Committee to recommend appropriate fees for each year (for approval in January).
- Responsible for ensuring membership understands how and when to pay fees; and that partners such as Branksome Hall Rowing are invoiced annually for racks and membership.
- In conjunction with the ISP Director, provide supervision to the Introductory Programs and Adult Rowing Manager and ensure that the ARM understands and executes their responsibilities vis-a-vis enhancing the membership experience
- Supervise the ARM in the design of Learn to Train program for graduates of LTR who wish to continue with additional instruction, to be integrated into Club Program, including (as needed) explanatory handouts, instructors’ guides, class schedules, etc.
- Work with the Club Program Coordinators to recruit volunteer coaches and provide supervision and support as needed.
- Manage member information through an online provider database and liaise with the Treasurer or other relevant Director concerning membership information.
- Responsible for membership fee collection via online provider.
- Ensure members (including coaches, volunteers) are registered with Rowing Canada Aviron (RCA) and ROWONTARIO (RO), and that each member has completed the RCA member registration process.
- Correspond with members and potential members with regard to club fees, and general club information, and conduct or arrange for club tours for potential members.
- Respond to questions and requests for special consideration from members.
- Liaise with the Head Junior Coach and Facilities Manager concerning Singles Storage Committee, assist in maintaining rack waiting list and confirm payment and membership.
- Work with the Communications Director, Captain and coaches to promote to all members, awareness of all club Rules and Policies including, but not limited to the Club Rules, Club Safety Policy and the Safe Sport Policy Manual.
- Take a leadership role on the Board in representing members’ interests and in drawing members’ issues of concern to the Board for speedy resolution.
- Act as the Director Responsible for the Safe Sport Policy Manual, liaise with the two Safe Sport Officers, take a leadership role in ensuring that members are aware of Safe Sport, and understand who to contact if they feel an incident has taken place.
- Act as the Club’s Privacy Officer, in implementation of the Privacy Policy.
- Responsible for presentation of the Lifetime Achievement Award and the Jim Miller Award for volunteer contribution at the Double Blue Awards Gala.
- Work with the Captain, Head Junior Coach, IP&AR Manager and other Board members for ensuring that there are nominees each fall for the ROWONTARIO Volunteer Recognition awards.
- Ensure that the Board President and Secretary are kept informed of all major activities of the portfolio and any scheduled sub-committee meetings, to support the President’s responsibility to monitor overall Board governance.

Evaluation
Director’s performance is evaluated annually through reporting to the membership at the Annual Meeting.
Review and Approval Date
The Board reviews the Board Member Job Descriptions annually to ensure appropriate assignment of duties and responsibilities.
