FOUNDATION MEETING MINUTES

Chouteau County Library

Wednesday, July 24, 2024

Fort Benton - 1:30 p.m.

  1. Call to order: Richard Jespersen calls the meeting to order at 1:13 p.m.
  2. Members present:
  1. Richard Jespersen - Chair, Stacy Bronec, Tamara Engellent, Kim Hibl, (Dani Engellent - absent, excused)
  2. Guests on Zoom:
  1. Bethany DeBorde, Sami Jo Summers, Sissy Felton
  1. Additions or changes to the agenda:
  1. Rich Jespersen would like to address the current check-signing procedure
  1. Minutes from April meeting
  1. Hibl moves to approve minutes, Bronec seconds - Motion carries
  1. Treasurer’s Report:
  1. Tanya Allen sent reports - please contact her with questions
  2. Hibl reports on CD - Renewed at 4.20% and will reset on November 22.
  3. Hibl moves to approve the treasurer’s report. Engellent seconds. Motion carries
  1. Announcements/Dates to Remember:
  1. Mary Jane Bradbury - September 16th Humanities MT
  2. Chris La Tray, Montana poet laureate - October 1st Humanities MT

  1. Unfinished Business:
  1. GBL shed - Final report
  2. Air filters for each branch - Apply for Lippard-Clawiter
  1. BSBL - 2 units
  2. GBL - 1 unit
  3. FBBL - Number of units dependent on size. Units for upstairs only.
  4. Jespersen and Wicks will work on logistics and get prices. Should be under $5000.00 including extra filters.
  5. Book binding machine for book repair for all branches - initial machine cost plus any extras to keep going.
  1. Check signing procedure
  1. Signers will meet with Tanya to set a plan on what will work for check signing. Will report at the October meeting.
  1. Trustee representation
  1. Jespersen will contact Jessalyn Ritland about joining the foundation.
  1. Director Report:
  2. New Business:
  1. Capital improvement plan
  1. A capital improvement plan needs to happen for the FBBL. Jespersen and Wicks will complete a walk-through and create an initial list.
  2. Wicks will contact Corey Sloan about a state-level expert who does assessment.
  3. Jespersen will contact Robyn Scribner about state-level.
  4. Engellent & Hibl will contact Northwest Energy
  1. Pilcrow Foundation Grant - Received confirmation. Need to commit $400 in matching funds to unlock $800
  1. Jespersen calls for a motion to release the $400 to release the $800
  2. Engellant moves, Hibl seconds - Motion carries
