Elected Positions

President

  1. Preside at all meetings of the association and ensures a written agenda is prepared for meetings;
  2. Serve as an ex-officio member of all committees except the nominating committee;
  3. Coordinate the work of the officers and committees of the association in order that the purposes may be promoted; and
  4. Perform such other duties as may be prescribed in these bylaws or assigned by the association.
  5. Serves as official contact, communicator, and representative of the PTA
  6. Designated as an authorized signer for PTA checks, contracts and authorizations for payments

Vice President

  1. Act as aide to the president;
  2. Helps lead the PTA towards specific goals consistent with PTA purposes and policies
  3. Perform the duties of the president in the president’s absence or inability to serve; and
  4. Perform such other duties as may be assigned by the association.

Treasurer

  1. Have custody of all the funds of the association;
  2. Keep a full and accurate account of receipts and expenditures;
  3. Make disbursements as authorized by the president, executive board, or association in accordance with the budget adopted by the association;
  4. Present a financial statement at every meeting of the association and at other times when requested by the executive board;
  5. Make a full report at the meeting at which new officers officially assume their duties;
  6. Be responsible for the maintenance of such books of account and records as conform to the requirements of Article V, Section 5 of these bylaws and State Bylaws, Article VII, Section 5;
  7. Have the accounts examined annually or upon change of officers by an auditor or an auditing committee of not fewer than three members, who, satisfied that the treasurer’s annual report is correct, shall sign a statement of that fact at the end of the report.

Administrator

  1. Record the minutes of all meetings of the association;
  2. Have a current copy of the bylaws;
  3. Maintain an up-to-date membership list; and
  4. Perform other duties as assigned.

Members at Large

  1. Serve on the board as the voice of the general PTA members;
  2. Attend board and general meetings;
  3. Assist with PTA leadership functions as needed by the association;
  4. A great way to experience the PTA governance without taking on a huge role.

Standing Committees

Each committee chair will be in charge of their committee for the entire year. They will be asked to gather other volunteers to assist with the different aspects of the committee. The chair will get the full support of the board and other staff to accomplish their goals for the year.

Fundraising

Fundraising is all about bringing in money to the PTA to support the PTA initiatives, school programs, and events. With declining school budgets and increasing costs for everything this committee is bringing more and more value every year. Major fundraising initiatives include: grant applications, Give to the Max Day, Community Business Fundraising, Silent Auction, Read-a-Thon

Chair Position - Approved by Board - The Fundraising Chair will serve on the PTA Board and will make regular updates and recaps of fundraising initiatives. The main function of the Fundraising Chair is to recruit and organize volunteers to bring in as much money as possible. This person will work with the board for funding requests and help plan the funding resources that are needed for the PTA.

School Support

This committee supports are great school, the school initiatives, and the staff. School Support is about ensuring that the staff and school have everything that they need. Organizing room parents and luch room volunteers, providing teacher appreciation meals and gifts, running the classroom grant program, and supporting the unique programs that are utilized in the classrooms on a daily basis and which gives our students such a stand out education.

Chair Position - Approved by Board - The School Support Chair will serve on the PTA Board and will make regular updates and recaps of different support activities and funds. The main function of the School Support Chair is to recruit and organize volunteers to ensure that all the initiatives (like room parents, lunchroom volunteers, teacher grants) are being fully implemented and supported. This person will work with the board for funding requests and help plan the spending resources that are needed for the school.

Sustainability Council - Approved by board

Did you know Jie Ming is a Zero Waste Initiative School? The Sustainability Council works to support and further that initiative. This committee will work with the school to help educate on what Zero Waste means and create action plans with the school that can reduce that amount of waste being created. The Sustainability Council will also work with the PTA to help ensure our events and initiatives are also meeting our zero waste commitment. The council has no chair and any volunteers will work year round to create and execute a plan that furthers our communities sustainability efforts.

Special Committees

The board will create all special committees for the sole purpose of carrying out the project that the board wants that committee to work on. The board will appoint all committee positions, and once all of the work is carried out and the final report is submitted, the committee will be disbanded.

Elections Council - Approved by Board

The elections council is in charge of the PTA Board elections every year. This Council looks for 3 - 4 volunteers in January that will recruit PTA members to run for board positions. The first meeting of the council will be run by the parliamentarian and the goals and purpose will be discussed. The council will also choose their head councilor. The council assists with campaigning efforts, and plans the elections. They are also the ones that run the elections and tallies the votes. They will also help with the transition of the board positions and responsibilities by planning and hosting a new board member training event where the new board members are given the access that they need to the systems, and introduced to the tools that are needed to be successful in their position.

Events

Each event will have its own special committee that will be appointed by the board to do all of the event planning and will get plan outline, budget, and changes approved by the board. Once the event is over the committee will report at a general meeting the wrap up and the committee will be disbanded.

Other Volunteer Positions

Parliamentarian - Support Position

The Parliamentarian is the rules master. This person is there to ensure that rules get followed and decorum is maintained. They help keep the schedule, ensure the meetings are staying on track and following the timelines, ensuring the parliamentary process is being followed, and the keeper of the Rules of Order.

Communications Manager - Support Position

Our Communications Managers are responsible for managing all of the outbound communication for the PTA. They manage the communication platforms with the members, non-members, and the community, they manage and post on social media platforms, and keep our website updated with all the latest news and events. Every month the communications manager will create a PTA newsletter, updating the community on the happenings within the PTA and communicating the exciting things that are upcoming. This position is the outbound voice of the PTA.

Librarian - Support Position

The librarian assists the Administrator with keeping everything documented. This person is the backup for keeping the minutes during the meetings, collecting and filing documents, pictures, flyers, and any other useful info or tool that can be used in the future. This person manages the online files and systems, ensures that people have the correct access to the information that they need, helps create and manage the schedule with the Administrator and will help train the new board on the organization system of the PTA.

Commerce Manager - Support Position

The E-Commerce manager manages the PTA store and all things spirit wear and Uniforms. This person works with our vendors to get great deals and seasonal apparel. They will get all of this on the online store and manage the in-person sales. The commerce manager also manages our contacts with the local embroiderers for the uniform embroidery programs.

Community Development/ Outreach Coordinator - Support Position

This position is responsible for getting the Jie Ming name out in the community. Tabling at community events, building relationships with other immersion schools and day care centers, ensuring that everyone in the Twin Cities knows about Jie Ming. This is a new position this year and we are looking for someone that can help foster what amazing impact this position can bring.
