Meeting started with Prayer
Approval of previous month meeting minutes – Approved and signed by the members present.
Committee Reports
Temple Manager’s Report –
Temple Manager attended today’s meeting and provided following suggestions:
- Review the contract for HTSTL wedding events. Marriage party should pay the Full amount while booking for the marriage event. If any cancellations are made one month in advance of the event date, party will receive a 100% refund and other cancellations should incur a fee. Charges may also be applicable if the reserved events are cancelled without any valid reasons.
- Rewrite of document to make sure that the Marriage party keeps the hall neat and clean without leaving any leftovers, failing which proper compensation shall have to be paid before vacating the hall.
- Revisit the logistics on out-of-town Pujas where Priests have to leave the previous day of the event if it is scheduled in the early hours and Temple will be losing that Priest’s half work day
- If any party reserves the Temple basement for any event and if meals is served in the event, then that party will be responsible for the Table cleanup expenses
Treasurer's Report –
- Treasurer presented May month’s Financial Summary Report:

- Peggy’s access to Quick books account has been removed
- Treasurer committee met with Beverley Hacker, an Accountant from BeanCounter Solutions firm and recommended to use her services whenever needed in future
- Committee mentioned that Beverly suggested to adapt ‘pay to QuickBooks’ feature as one of the options to allow devotees to pay from the Emails itself
- Treasurer committee is still researching on the Donor Management software
- Annual Sponsorship reminder automated emails will go to Devotees and Team is working on it
- Shiva gets training in the downstairs office after the process is established
- Currently Shiva is working on fixing the devotee’s details issues in Quick Books like including the Spouse name, Kids names, Gothram etc. Once that list is completed, the second database won’t be used any more.
- Treasurer committee discussed their findings on Clover machines with the EC and provided the cost of two companies- First data and PNC. After reviewing the pros and cons, EC team voted and made a final decision to go with FirstData. FirstData is a local company and also Temple could save $111.50 per month over the PNC’s offer. Hema will communicate this decision with FirstData contact person – Andrew soon.
- Treasurer committee and Kishore discussed the integration of Authorize.net for recurring donations and Pooja income. They will have further discussions on the setup later.
Prasadam/Food committee:
- Kitchen capacity is at peak in terms of the orders getting from on-line, contributing to the 60% of revenue generation and Prasadam Committee is willing to keep continue this Model.
- Committee felt that team is not ready to open Kitchen with 100% occupancy as there are some limitations and challenges like setting up Printer machines, Sign Boards, dry runs etc. and also ongoing on-line model cannot be mixed with in-person services
- Committee recommended to keep continue with the current model and it can be revisited after a month or two
Operations committee:
- As the covid numbers are declining and things are slowly getting to normal, it’s decided to lift some of the restrictions at Temple
- Barricades will be removed from all areas except from the Lord Balaji, Sri Ram and Sri Krishna Deities area
- No temperature checks will be done from Saturday 12th June onwards and no volunteers will do the temperature checks
- Mask wearing and maintaining 3-feet distance restrictions are still mandatory until further notice
- Teertham and Shatagopam services still will not be available until further notice
- Food will be allowed at Temple Basement and renting Kitchen will be resumed.
- Operations committee received some queries for renting the Chairs. EC recommended to keep some chairs in Temple basement and remaining will stay in CEC
- Operations committee will check with Funeral homes on what role priests can perform there before any Priest attends those services
- Kitchen remodeling work at new Building is expected to start some time in July
- Operations committee will hold a meeting with committee volunteers on first Sunday of every month and communication will be sent to the previous year signed up Volunteers
Pooja committee:
- Previous events were discussed in the Pooja committee meeting and Vasavi Group complained that Prasadam was not enough during the Vaasavi Jayanthi event
- Teppotsavam is still under consideration - no details at this time
- EC discussed and agreed to extend some of the Pooja committee members’ membership for two more months
- Shree Veera Prathapa Abhayaanjaneya Homam and Lord Ayyappa Padi Pooja are upcoming events in this month.
Publication/Website/Calendar committee:
- Youth Group enquired the yearly membership Registration details visibility and Kishore is working on it
- Calendar committee requested EC president to initiate the Calendar work in the Pooja committee and to request priest Sreenivas Rao garu to start the compilation work
Cultural committee:
- 25th Annual Thyagaraja Aradhana event went well and Guru Smt. Vidya Anand was honored with a memento at the event
- Cultural committee invited Hindu Temple youth group members to participate in Bahagavad Gita Homam event and many of the Youth group students participated and chanted shlokas from Bahagavad Gita
- It was brought to EC’s attention that Gurus are not showing interest in participating in the Thyagaraya Aradhana event and Cultural committee is exploring more options on the participation
- Cultural committee is working on upcoming Annamayya Aradhana event
Human Resources committee:
- Priest Bharadwaja requested for Green Card sponsorship and it was discussed in HR Committee meeting. EC President will discuss further with the priest in-person and clarify Temple’s policies on Green card sponsorship.
- Second new priest –Puneeth Sharma will be joining the Temple on June 13th Sunday. He studied at TTD pathashala in Kesarguda and knows Telugu, Tamil, Kannada, Hindi and English languages.
- Sendil is working on the Insurance of second Priest.
- HR committee is working on reviewing all Employee contracts on comp-time, Health Insurance and Non-compete clauses etc.
