Present:, Stacey Wicksall (Director), Helen Darrow (President), Steve Hanrahan (Vice President), Gary Crane (Financial Officer), Nancy Simpson (Secretary), Chris Harris (Treasurer), Carol Deys, Halin Perera, Suzanne Gears, and Kathy Koehler (Scribe).

H. Darrow, President, called the regular meeting of the Board of Trustees of the Macedon Public Library to order at 6:31 p.m.
APPROVAL OF AGENDA, AUGUST’S MINUTES, DIRECTOR’S REPORT (preread): RESOLVED, on motion by S. Hanrahan to approve the agenda with a second from N. Simpson. Motion carried.
ABSTRACT REVIEW AND APPROVAL OF EXPENDITURES: Discussion that the library did not receive an itemized bill from the Town regarding their request for payment for the retirement accounts and health insurance of library employees. C. Harris stated that an invoice from New York State should be provided to support these bills, and he would contact S. Pagano, the Town Supervisor.
RESOLVED, that payment be made of claims #115-130 inclusive for August 29-September 25, 2017, in the amount of $32,813.50, except for vouchers #128-129 totaling $24,519.66, until appropriate documentation for these bills is provided by the Town of Macedon. Motion made by S. Hanrahan and seconded by H. Perera. Motion carried.
TOWN LIAISON: S. Pagano did not attend meeting but sent an email stating:
A. The Town Budget Workshop will be Thursday, October 5. The time for the library to defend its budget has yet to be determined.
B. The interest check from the Bullis Fund is on the town abstract for September 28, 2017 approval.
C. Linda Braun has been appointed Town Historian as of October 2, 2017.
Trustee G. Crane wanted it noted that the library has still not received an answer to their January 2017 letter requesting a financial reconciliation from the Town of Macedon.
FINANCIAL REPORT: C. Harris (Treasurer) presented a budget summary through August and stated that the budget was on track, the general account is doing well but the library is operating on a $22,000 deficit.
DIRECTOR’S REPORT: The Director’s report was sent to all trustees prior to the meeting for review, and included the purchase of three sewing machines for the library’s new “Sew What?” program, and the purchase of two medium size Wacum tablets for future programming. Also, the Patron Appreciation Day was extended through Friday to let people enjoy all the yummy treats. Many patrons have read the presentation documents regarding the library’s budgetary needs and want to be notified of the upcoming budget hearing date.
UPDATE ON FLOORING QUOTES: S. Wicksall, Director, will get three quotes for new flooring in the Community and Discovery Rooms. It was suggested that she get quotes from Spectrum Custom Flooring, L & S Specialities, and Tri-R-Floors.
EMERGENCY CONTACT FORMS: All Trustees filled out emergency contact forms that will be shared with the Town of Macedon.
FAMILY LEAVE ACT: Eric Chapman of Chapman Insurance presented more information regarding the Family Leave Act. If the Town is going to opt out of this program for their employees but the library employees want to participate, the library will have to get their own disability insurance with an attached family leave rider. At the present time, with 9 women and 1 man employed, the cost would be $421.40.
RESOLVED: a motion was made by G. Crane and seconded by H. Perera that the Town of Macedon be notified that the library is planning to get their own Disability and Family Leave Act insurance as of January 1, 2018. Motion carried.
TRUNK OR TREAT: The Friends of the Macedon Library will be sponsoring Trunk or Treat in the library parking lot on October 30, 2017 at 6:00 pm. H. Darrow, H. Perera and S. Hanrahan will be participating.
BARNES & NOBLE FUNDRAISER: There will be a fundraising event at the Barnes & Noble in Pittsford on October 14, 2017 from 11:00 am to 5:00 pm. All are invited to attend and participate.
TOWN COUNCIL CANDIDATES INVITED: The three people running for Macedon Town Board have been invited to an informational session at the library on October 9, 2017, at 3:00 pm, where they can present their goals and aspirations for the Macedon community. S. Wicksall, Director, hopes to record this session and put it on the library’s website for the community to see.
CONSTRUCTION GRANT: It was discussed whether or not the library should apply for a construction grant to pay for some of the changes planned for the future. It was decided to table this discussion until next month’s meeting.
PLS LUNCHEON: The Pioneer Library System will be having their annual meeting and luncheon on October 11, 2017 from noon to 3:00 pm at the Canandaigua Inn on the Lake. Julia Koberlein, Pam Dibble and Kathy Koehler have been selected as the recipients of the 2017 Library Innovator Award. H. Darrow requested that as many Trustees as possible be there. PLS will pay for Julia, Pam and Kathy’s meals.
LIBRARY ASSISTANT: S. Wicksall, Director, announced that Julia Koberlein took and passed the Library Assistant test.
READING FROM THE TRUSTEE HANDBOOK: A portion of “Library Board Meetings” was read by H. Darrow, President.

RESOLVED, that the meeting adjourn at 8:09 p.m., on motion by N. Simpson and second by S. Hanrahan. Motion carried. The next meeting will be October 23, 2017 at 6:30 p.m. at the Library.
