Action for Education values the privacy of our supporters' personal information and is committed to protecting it. Action for Education has adopted this privacy policy to demonstrate our firm commitment to internet privacy.

This notice explains how to collect, store and use personal data and information. This notice was most recently updated on 15 May 2018 in line with the new EU General Data Protection Regulations (GDPR) which take effect from 25 May.

Events and Website Privacy Information

Events

We use a range of third-party services to manage event booking and registration. You are advised to refer to the relevant terms and conditions and privacy policies before proceeding with your booking.

At the point of booking, all bookers are notified that the information provided in the form will be used by Action for Education to administer and manage bookings and stored for monitoring and evaluation purposes. This includes the following processing activities; to administer and manage bookings, such as producing a registration list on the door and notifying you of any essential information about the event you have booked for.

We store information about your booking for evaluation and monitoring purposes. Our lawful basis for this is legitimate interest – as we use this information for impact reporting and to help us improve our programme of events. We will not store your data for a period longer than two afters after the event, unless you provide express consent for us to do so.

Additionally, at the point of booking, we will ask for your consent to send you a follow up email after the event – so that we can provide further information about the content of the event and any related opportunities.

We do not share the details provided with any third parties. On occasion, we do run joint events in partnership with other organisations, and therefore the data you provide will be jointly processed by both organisations. However, we will notify you about this at the point of booking.

You can withdraw consent for the processing of your data at any point by sending a ‘Delete personal data’ request to jacob@actionforeducation.co.uk.

If you wish to attend one of our events but cannot or do not wish to use our third-party digital services to book a place, please contact us. Note: We sometimes film and photograph events. Please let us know if you do not wish to be filmed or photographed.

Our Website

We collect information through the website to receive applications to volunteer, collect queries via the contact form and for general newsletter subscription. If you visit the website but do not provide your details as above, we do not collect any personal information about you through the website, although we may track your use of the website using cookies. Cookies are small anonymous text files that are placed on your computer by websites that you visit.

We use Google Analytics cookies to track anonymous usage statistics and do not collect any personal information that can be used to identify you. This helps us analyse data about web page usage and improve our website in order to tailor it to user needs.

Most web browsers allow some control of most cookies through the browser settings. Information for E-Newsletter Subscribers

Our lawful basis for processing your data for the purposes of sending e-newsletters is consent.

These e-newsletters are sent at regular monthly intervals and are intended to inform any interested individual about news, information and opportunities related to the education projects operated by Action for Education. Your consent for us to do use your information in this way is gained when you ‘opt-in’ to receive emails via an online form (linked to from our website). Our data protection policy means that we do not use pre-ticked boxes or any other method of default consent to enable us to collect and process personal information for this purpose. We do not pass on this information to third-party companies.

Any individual can unsubscribe at any point using the Unsubscribe link at the footer of the e-newsletters. From May 2018, Action for Education will contact any inactive subscribers (individuals who have not recently opened or engaged with the emails they receive from us) on an annual basis to re-confirm their interest in receiving our e-newsletters.

You will be given an opportunity to unsubscribe in every email we send.

This information is stored securely using Mailchimp (a third-party service) which we use to send out e-newsletters. Please review their terms and conditions and Privacy Policy.


Information for Volunteers

When we refer to ‘volunteers’ we mean individuals that have signed our ‘Volunteer Consent Document’, committing to work with us to build pathways into education with displaced communities.

What information we collect and why

When a volunteer joins our organisation, we ask them to provide a full name, email address, phone number, curriculum vitae and supporting documents to their volunteer application. These ensures we recruit the most experienced individuals for work on our projects.

From 25 May 2018, we will securely store all membership information securely on our password protected Google cloud-based software.

When a volunteer unsubscribes or moves on from Action for Education, or we receive an email bounce-back, their record will be deactivated and they will no longer be included in our communications.

Information about their engagement with Action for Education will remain within our database for a period of no more than two years. After this point, individual information will be anonymised. We store this data for evaluation and reporting purposes only.

Lawful basis for processing data

Our lawful basis for processing personal data is consent. Volunteers freely join Action for Education and individuals opt-in to become volunteers by providing their consent for us to process their data for this purpose.

Currently, this joining process is through our online forms at www.actionforeducation.co.uk/volunteer. We have updated our online form privacy statement to provide more information about our data processing for volunteers at the point of joining.

Our lawful basis for processing and storing information about your engagement with Action for Education is legitimate interest – this processing is essential to the development of the organisation and the projects we operate by helping us to understand how and to what extent you have engaged with us.

Anyone who currently or has previously volunteered with Action for Education has the option to terminate their email engagement with us, or to terminate their entire engagement at any point. Information for Donors

When we refer to ‘donor’ we mean an individual that chooses to freely contribute financially or materially to Action for Education’s projects, whether through online bank transfer, cash, direct debit or in the form of physical resources. When we refer to ‘donation’ we mean the monetary sum or physical resources handed over or transferred to Action for Education.

What information we collect and why

When a donor supports our work with a donation, we may ask them to provide us with their full name, email address, phone number and place of residence. These ensures we can continue an appropriate relationship with the donor.

At the point of receiving a donation, or within a reasonable time thereafter, we may ask the individual to remain in contact with our work by giving their express consent to receive updates and emails, following the terms and privacy statement outlined for e-newsletter subscribers.

Action for Education uses third-party services such as BT Donate alongside others crowdfunding platforms to manage monetary donations. Whilst we only use accredited third party organisations that prioritise internet privacy and will keep your personal and financial information private, Action for Education shall not be responsible for any harm that you or any person may suffer as a result of a breach of confidentiality in respect to your use of this site or any information you transmitted through our third party partners.

General Information

OPTING OUT

All persons who join or donate to Action for Education, whether via regular postal mail, over the phone or through the website, will receive periodic updates from Action for Education by email. You may request to opt-out of these updates by contacting jacob@actionforeducation.co.uk.

COLLECTION OF PERSONALLY IDENTIFIABLE INFORMATION

There are instances where Action for Education requests personally identifiable information to provide you with organisational or programming updates, relevant information, or correspondence. This information, such as name, mailing address, email address, type of request and possibly additional information, is collected and stored in a manner appropriate to the nature of the data by Action for Education. The information you provide is used by Action for Education to improve the services and information we provide our visitors.

Personally identifiable and financial information (including donation amounts) that you enter as part of the website's online donations, fundraising, or contact forms is strictly confidential and will not be shared with any other organization.

Action for Education is an organisation built on the hard work of volunteers.  While volunteers names and likenesses may be used in project update publications, Action for Education will not post personal contact information for volunteers, including their email address, street address and phone numbers, without that individual's consent. Staff and volunteers who submit material for the website are responsible for securing permission from any volunteer whose personal contact information is to be posted on the Web site and for communicating that consent to website staff. Without such consent, website staff will withhold posting personal contact information for that individual.

SURVEYS

Occasionally, Action for Education requests website visitors’ and e-newsletter subscribers’ participation in surveys to improve our organisation and our web presence.  These surveys are entirely voluntary and each individual can choose whether or not to disclose information through them.  All personal information, including email addresses, street address, phone number, and other contact or personally identifying information will be kept in strict confidence and stored on our secure servers.  Survey responses will be used solely to improve organisational operation.

SECURITY

This site has security measures in place to protect the loss, misuse and alteration of the information under our control. However, your confidential use of this site cannot be guaranteed by Action for Education.  Action for Education uses trusted third party organisations for some online functions.  Each of these third parties has been carefully vetted and are accredited third party organisations that prioritise internet privacy and will keep your personal and financial information private.   However, Action for Education shall not be responsible for any harm that you or any person may suffer as a result of a breach of confidentiality in respect to your use of this site or any information you transmitted to this site, or through our third party partners.  

INFORMATION ABOUT YOUR RIGHTS

You have a number of rights in relation to your personal data. These include the right to:

  1. find out how we process your personal data
  2. request that your personal data is corrected if you believe it is incorrect or inaccurate
  3. obtain restriction on our, or object to, processing of your personal data
  4. withdraw your consent to our processing of your personal data
  5. obtain a copy of the personal information which we hold about you.

If you would like to make a subject access request and obtain a copy of the personal information that we hold about you, we are more than happy to do so free of charge – with the exception of requests that are manifestly unfounded, excessive or repetitive. If we determine this to be the case, we may charge a reasonable fee or refuse to act on the request.
