Introduction of the Board

Request to include the link to the PTO app in the newsletter

Fundraiser – Color Run was extremely successful.  Raised $62,950.  In the first 4 days of the fundraiser were hit $40K.

Spirit wear has been posted for sale with new t-shirt designs and will close soon.

Mosaic Church – adopted the school last year.  They are partnering more as volunteers to assist with events.

Color Run – parents are invited, and the kids get to keep the shirts.  Volunteer opportunities day of, especially after the run.  Kids will get popsicles at the end.  There will be a Dunk tank at the student pep rally to celebrate the fundraiser.

Membership – incentive with kids where class in each grade with most PTO memberships will get a pizza party.

Mother/Son Event 11/17

Whoville – 12/13, food trucks in the back and inflatables, spotlights, maybe a ferris wheel?

Daddy/Daughter dance – 2/1

5th grade day – 5/22

Mother/Son – when changed to spring money wise was not a huge change.  Just don’t schedule during a Texans game.  Cutting ties with Jeremiah’s.  

Opening membership before Meet the Teacher helped the numbers.

Sage

The Student Council has been raising money for things around the school.  Including mats and things in the atrium.  They are now saving up for new basketball goals.  They have asked to see if we can split the cost with them.  Half of the cost is about $7K.  The proposition was brought to a vote and the Board unanimously agreed to pay for half of the cost of the basketball goals.

There has been a change in the master schedule.  The first-grade class is small this year and we lost one First grade teacher.  Ms. Richards will be moving to Special Ed.

Financials –

We will get the fundraiser money 1 week after it is over.

$62,950 is our cut.  We gave them a $1K deposit and the 15% went to them.

August was slow with the start of the school year.

Luncheon for teachers was paid for.

There are more membership deposits.

Purchasing

Try to order items within 30 days of the event so that they can be returned if necessary

Spirit shop – preorder for PK through 1

Major Fundraising

We will be doing the color run 4 times.  9, 10, 1:45 and 2:45

Cross country runners will be there to volunteer.

Dunk tank – Sky High for $400

Will need dads to set up tents on Monday afternoon for the run

Minor Fundraising

Businesses need to be on the approved vendor list.  Can’t use for spirit night if not on the list.

Fundraiser blankets – maybe for Christmas.  Post an online order form for everyone to order and then will be purchased together.  $16 per blanket for a 14 day print.

Discussed box tops and Kroger rewards.

Membership

Fall spirit wear order form will be posted on Monday.

There will be an option to ship to home or school.

VIPS

Homeroom parents have been chosen.

They have been given a checklist and deadlines.

Created Groupme for HR parents.

Utilize Dashboard volunteers – especially for those not on social media; using volunteers who have expressed an interest in volunteering.

Communication

Upgrading the site.  Rotating social media posts.  Engagements posts.

Monday post about Lions in the Wild.  What are kids doing on the weekends.

Spirit Night pictures

Able to schedule the posts ahead of time.

Lions Loop – released on Second Tuesday of each month.  Schedule posts ahead of time.

It can be scheduled to be posted when people are most active on the site using analytics.

Great first 9 weeks

Boy Scout Eagle Project in the atrium. Bench is being built.

Garden club has started for grades K-1

Library –we have a full-time para for the library. So, our library will never

be closed.

Committee Updates

Mother/Son night is 11/17

Holiday party committee. Parties will be on the last day of school

before the winter break.

Day of drumming—drums with different rhythm, beats, etc.

Garden—plants watered weekly

Mother/son volunteer email will go out in about a week. Tickets for

the event. Photobooth, DJ, Sunday afternoon 2-5 with a Spirit Night

President’s Report and Financials

Fundraiser -- $79K brought in overall. Paid Boosterthon 15%, about

$12K

68 new families signed up in September for PTO

Low overall compared to last year in terms of membership dues

First spirit shop – raised $4K

We are over on operating supplies. Purchased PA system and

stamps at Costco.

5 th grade paw prints – 49 sold in September

Day of Drumming -- $2500

Hospitality – cheesecakes

School organized hospitality -- $1500

There are some outstanding checks.

Jumping Fiesta

Requests from school for transportation for field trips. This year it is

$12k. Last year it was $7k. 4 th grade to Minute Maid is $1100.

Volleyball equipment for gym is $1297

Principal’s Report

Headphones for talking to computers. Need 5 per classroom for 3-5

grade. Total of 186 at $20 each

Laptop charging carts for 4 th grade. 9 carts at $250 each for

$2240.91

Field trips – transportation. 5 th grade is not going to Galveston again

this year.

Kindergarten teachers – Big books for $279

Volleyball equipment

Substitutes – District used to give budget, now no budget for

substitutes for teachers going to leadership class. 6 teachers are

going. Can we use the consultant budget to pay for subs? $12k was

set aside for consultant/Staff development. Will use $4K to pay for

the subs.

Transportation – PTO will pay for up to $7k

Decodable books is approved

Volleyball – poles will be installed, $1300 for system – approved

PTO will research carts to see if they can find cheaper shipping

Headphones – would be $3720. Looking into cheaper pricing or bulk

pricing.

Purchasing

Google form for purchase requests will be emailed to Board.

Next Spirit shop. Pep rally will be during STARR. Open it up online.

It will show if items are available. After orders, can then do in person.

Will help to alleviate the craziness at lunches.

No Principal’s Report as Principal is at Veteran’s Day Ceremony

Committee Updates  Mother/Son night is 11/17. Tickets will go on sale today on the PTO website. They will be $5 per family. Dress in camo. There will be a nerf battle, inflatable obstacle course, DJ and photo booth. Still considering whether there will be a Sign up for volunteers.  11/13 – Kindergarten and 5th grade group pictures for the yearbook.  Spirit Nights have been a huge success.  11/18 is Day of Drumming

Hospitality – Sweet and salty spooky spa theme for October. Volunteer donations made it successful.  Elf Shop – setting up prior to Thanksgiving. Information will be sent home soon. There will be envelopes sent home to designate who the child is shopping for. There will not be a view only day. There will be social media viewing of items. Teachers are currently signing up for times. Homeroom parents will send out a sign up to volunteers. Then individuals who expressed interest in Elf Shop. Then it will be posted on social media.  

Whoville – 12/13. Need volunteers.  Need volunteers for picture retakes  The 5th Grade memory book reminders for pictures have been going out.

 Marcos – October class winner was Prejean.  Spirit blankets have been posted and orders are coming in. Blanket options are parent pick up so it doesn’t have to go home with the student if you intend for it to be a gift.  Lion Spirit Shop –linking products on the website like extra t-shirts. Do not have to be a PTO member to purchase.  Ticket sales for mother/son to keep it streamlined on the website.  Lions Loop—Second Tuesday of every month. Provides information and showcasing volunteers.  Survey – want to hear from parents and volunteers about changes and suggestions.  Whoville—there is a Groupme for committee heads

Sage Papaioannou President’s Report  Main Event was booked. Went with Urban Air and it will be set up as a private party. In lieu of a food package, students will come back to school and will order pizza.  

Memory book – because there are more students this year and will need more pages, opting to have it spiral bound to accommodate the extra pages.  5 th grade t-shirts – Nataly Armour. Extra cost last year for shirts because there was printing on the back. Need to reduce cost and do front graphics only. Name search with all student’s names was on the back, if still want to do that maybe have it in the memory book instead.  Looking into doing a fundraiser to help pay for 5th Grade activities Principal’s Report  The cafeteria manager is retiring after 30 years. Switching tacky sweater day to Tuesday so that everyone can dress in purple (her favorite color) on Wednesday. There will be a parade through the school in her honor. She will be awarded a golden spatula. The kids will sing during lunch.

Financials  November was slow  4 new families joined the PTO  Chick-fil-a - $615  Marcos -- $614  Blankets -- $909  $150 for Membership toolkit  Spent money on tablecloths for Elf shop  Elf Shop – Made $3800, picked a higher percentage return this year. Had about $22K in sales.  Whoville -- $5640 in ticket sales as of today. Purchasing  Store lists so that volunteers know what stores to go to that we have relationships with, and they are aware of tax documents  Arnie’s—have good items and can do tax exempt  Sam’s—have more junk food type items than Costco  Cash – can leave in school safe after Whoville. Just credit card after 7:30  All holiday party stuƯ is coming in.  Labels for blankets

Major Fundraising  Venus for Spring fundraiser. They are expensive. The price is better if it is on a Thursday or Sunday. Planning for April. Option of Enchanted Ballroom on Holy Thursday  Gambling tables. Live auction with big ticket items like sports tix, concerts, Airbnb, baskets.  Want to have alcohol.  Next year look to switch this one to the Fall. Spring events are popular. Maybe have it in February.  Casino Night and coordinate with K2 for childcare.  Kids take over auction will be in the Spring.

Cultural Arts  Nana Puddin’ – 1/27, there will be 2 shows  Day of Drumming  2/21 – 4 shows of Mad Science. School assemblies, Up and Away and Forces of Air where they make Hovercrafts. $1680 for 4 shows that would be at 9:40, 10:40, 11:40 and 3:00. This would not include PK, Kinder and 1st  5/7—Crocodile Encounter – would need $300 more in the budget.  Board voted to approve the extra money to the budget.  Discussed reaching out to Howdy from the Rodeo. Minor Fundraising  Blanket – next Wednesday 5-6 for pick up  Kendra night online and in store  Crust Pizza—next Thursday Membership

Teachers should also know which kids cannot have their picture taken.

Committee Updates  Watchdog training date is changed to the 15th .  The Hospitality Committee will be treating the staff to a New Year's Luncheon on January 14th.  Marcos spirit night this month will be for 2nd grade.  Father/Daughter dance—Tamara Freeman, the Father/Daughter Dance Committee Chair has planned an exciting Alice in Wonderland themed event on February 1st!! There will be a balloon lady, DJ. Ice cream truck last year took too long. Brainstorming other ideas. Dentist in the area has an ice cream truck that he will take to events for free. Decoration ideas. Popcorn bar or candy bar with cotton candy. Snocone lady from 5th grade paw print reveals also does popcorn as well. Unicorn popcorn. Volunteers and donations will be needed so stay alert for those signup genius links to come soon as well as all the details for the event!  Need volunteers for PBIS winter carnival. A volunteer signup genius for the PBIS Winter Carnival will be coming out soon to sign up to help during this school led event.  Spring fundraiser will be in April.  Be on the lookout for Shoutouts for the Memory book to go on sale in the upcoming weeks! Also please remember to submit 5th Grade memory book pics to Meg Hackney the 5th Grade Memory Book Lead.  It's never too late to log into your PTO website account and find the "Volunteer Opportunities" form where you can check the box for different events to receive more info when the time comes. You don't want to miss out!  Unfortunately, the Mother/Son event was cancelled due to weather back in November and the new date will be announced soon! Mother/son event rescheduled and date will be locked down today.  Our students enjoyed their Holiday Parties on Friday, December 20th. This is a huge event that takes an immense amount of planning. Thank you to our Holiday Party Leads Amber Simpson and Lindsey Parks for all your hard work and to the volunteers who helped during the parties. Whoville was a HUGE success despite the weather. Thank you to Alexis Ceasar White and each and every volunteer who made it possible!  Our Spring Major Fundraiser will take place in April and we are so excited to share what we have been planning!  These Cultural Arts Events have been scheduled for the Spring: Dennis Lee and Nana Puddin' on January 27th, a Mad Scientist on February 21st, and a Crocodile Experience on May 7th. Thank you to Cecilia Ferron for getting these planned for our students!  PTO Lions Loop is sent via email each month. COMMITTEE UPDATES  

 The Hospitality Committee treated the staff to a Chick-fil-a lunch on January  14th. Teachers loved the luncheon. The hot plates kept the food warm  throughout all the lunches.  

 February Hospitality treat was sponsored by multiple local businesses. Each  staff will be gifted with a colorful selection of markers and pens.

 Mother/son event has been rescheduled to March 2nd. Tickets will be  available to purchase on the PTO website. No need to repurchase if  purchased before.  

VOLUNTEERS AND NEEDS  

 Spirit shop will be held on March 20th during lunches. A sign up for  volunteers will be coming out.  

 Shoutouts for 5th grade memory book will go on sale February 18   Board positions and committee chairperson open positions will be listed on  all PTO platforms soon.  

 Field day volunteer sign ups will be sent out for both days.  

THIS AND THAT  

 Father/Daughter dance was a success with a total of 503 tickets sold   Students experienced the one and only Nana Puddin on January 27th. Some  new cultural arts events coming this year is the Mad Scientist on February  21 and a Crocodile experience on May 7.  

 Our Spring Fundraiser, Neon Nights, will be held on April 11 at Lindsay  Lakes. This ticketed event will be Hamilton’s first ever Parents Night of  Giving. There will be both a live and silent auction, DJ, food and more.  Creating committees to help with everything. Additional details are coming  soon.  

 Minor Fundraising has arranged a Crust Pizza night on March 2nd to  coordinate with Mother/son.  

 Gong Cha Tea spirit night on March 5 to raise funds for the 5th grade  activities.  

 Learning Express all day on April 15th. Must mention Hamilton Elementary  to receive credit. Online shopping for instore pick up is available by using  code SPIRIT DAY

President’s Report  

 Karen Lowery – finished for the year. Surprise visit for the 5th graders. Will  ask the cost, but think it’s included.  

 Shout outs –ask Meg when she wants shout outs to end  

 Board – Leads and chairpersons. Voting process and following the bylaws.  Nomination committee. 2 year terms, can be reelected. Open positions and  chairpersons. 5th grade activity positions.  

 Discussion of committee chairs reporting to VP of Committee Management.  Then there is a connection to the Board. Liaison between Board and  Committees. Provide Committee leads with folder and job description. Set  aside a day in August to plan with board members and leads. Coordinate  with Committees and brings back to Board. Folder with all expectations and  who to reach out to with questions.  

 Vote was taken regarding adding VP of Committee Management. All in  favor of adding the position into the by laws.  

 Yearbook person taken out of the by laws.  

 Nominating committee—Board member, Sage, President and Staff Member   Chair leads will all be posted.  

 Positions posted in March.  

 Nominating committee formed and all votes in place by April meeting. New  members at May meeting.

 Garden – Ready to Grow.  Trough garden at cost and will install 4 beds

with growing space.  Keep current as herb garden.  How will it be

watered?  On a schedule?  Water on timer.  What about the summer?  

 Remove existing beds, bur save 1 for herbs.  

 It was put to a vote and all agree to move forward the Ready to Grow’s

proposal.

COMMITTEE UPDATES

 Hospitality Committee stocked the lounge just in time for STAAR, Snacks,

treats, coffee and more.

 5th Grade Memory Book shout outs close on April 20th

 Biztown will be on May 9th and volunteers should have received information

from Mrs. Brezniak.

VOLUNTEERS AND NEEDS

 5th Grade day is May 22nd at Urban Air.  Volunteers will be needed and there

will be a Sign up coming out.

 5th Grade memory book requests and end of year updates.

THIS AND THAT

 Front of school beautification done by Texas Turf Management.  New plants

and flowers added to the blue planters and a leaf and debris clean up.  

 Parents Night Out was on April 11 and was a huge success.  Raised over

$30K through auctions and donations.  It was a small crowd this year, but

made a huge impact.  Suggested by member about a child care option next

year.

 May 7th is the Crocodile Experience

 May 1st is the Kids Take Over Silent Auction

 May 8th is a new spirit night at BB’s New Orleans

It’s a volunteer job on the part of the teacher.

 Ready to Grow—confirmed new garden beds.  They are requesting that they

be relocated closer to the fence line because of the tree coverage.  $3200 for

the beds.  They will also be doing the normal clean out of the beds that we

are already paying for.

 Need a solid, firm watering schedule.  Grade level assigned garden day

could be covering that week.  Blue planter boxes need physical watering.

 Cultural Arts—Sage has approved for next year the BMX.  Early bird

pricing ends on the 30thl.  $1200 for all grades

 PNO was a great event.  Really enjoyed.  Lindsay Lakes was great.  

Organized, good flow.  Positive feedback from those that were there.  Plan to

have it earlier next year, maybe February

change to get in on the PNO.
