Haileybury Hearts - Team Manager Role and Guidance
Objective:
The Team Manager ensures their nominated Haileybury Hearts team runs smoothly by coordinating communication with the parents, as well as oversight of player availability for training and games. The role involves acting as a key liaison between the club, coaching team, players, and parents.
The Team Managers are collectively supported by one another via a WhatsApp group and The Club.
This role is so important, a team will not be entered into the BDNA Winter season without a designated Team Manager. As critical as the Team Manager is, possibly 20 minutes a week maximum would be needed.
Team Managers must have current valid working with childrens check
In line with Child Safety Standards, team managers should be aware of and be an advocate for player, coach and spectator codes of conduct.
Key Responsibilities:
1. Team Communication and Coordination:
○ WhatsApp Group Setup: Create and manage a WhatsApp group including the lead coach, assistant coach, and parents. The Club will provide you with a contact list once teams are finalised via the grading process.Also include Club Admin as a simple way to tag and resolve any questions etc.
○ Parent Liaison: Serve as the main contact between parents and lead coach, addressing any questions and providing timely updates. The Club is also there to support the Team Manager should any curly questions arise etc
○ Training and Game Availability:
■ Confirm player attendance for training via the WhatsApp group each week two days before training.
■ Confirm player availability for games and communicate this to the coach.This can be combined with the first action, does not need to be two separate
communications.
■ Source replacement players, when needed, using the team manager’s WhatsApp network. Once aware of the gaps, consult with the coach what playing positions they would like to backfill. The Club will provide you with a list of teams you may borrow players from, teams are not permitted to borrow players from teams in higher divisions regardless of whether they are the same age group.
■ Establish a parent scoring roster for the season. If we are the first named team, we are responsible for scoring via the courtside ipad, when we are the second named team, we must provide an observer to ensure goals are correctly noted.
2. Club Communication:
○ Conduit for Club Updates:
■ Act as the key messenger for important club communications. Pass on any updates, policies, or information from the club directly to the team and parents.
■ Event Announcements: Share details of upcoming club events, BDNA (Bayside & District Netball Association) events, or any other activities that may be of interest to players and their families.
3. Attendance and Player Management:
○ Training Attendance: Confirm player attendance at each training session ideally two days in advance..
○ Game Day Player List:
■ Ensure that the official playing list is submitted accurately via Netball Connect before each game.
■ Record any borrowed players for each game and include them in the playing list.
■ Be aware of by laws and ensure borrowed players do not exceed their game limits, eg. A player can only play three times in the same team, if they play a fourth time they become a member of that team and no longer part of their original team.
4. Player Absences & Qualifications:
○ Prepare for Absences: Plan ahead for potential player absences during the second half of the season (e.g., due to holidays or school commitments).
○ Player Qualifications: Work with the coaches to ensure that all players meet the qualification requirements for finals eligibility. This may involve managing minimum game attendance and ensuring players are recorded in Netball Connect as borrowed players.
5. Sourcing Additional Players:
○ Replacement Players: When players are unavailable, use the team manager's WhatsApp network to find substitute players. Confirm coaches preference for borrowed player positions before reaching out..
○ Keep Coaches Updated: Ensure coaches are kept up to date on player availability and any borrowed players for the upcoming game.
6. Game Day Support:
○ Ensure scorer is aware of scheduled duties in advance
○ Handle any last-minute needs or changes, coordinating with both players and coaches.
7. Team Task Allocation:
It takes a village and as a volunteer run club each year each team is allocated a task to assist via the team manager. E.g BBQ duty, handing out club hoodies, etc. The team manager is responsible for allocating the task to their team members and ensuring any jobs are completed within the timeframe provided. It is not envisaged that the Team Manager actually completes the task as you are already doing your bit.

Team Manager Support:
● Team Manager Community: We establish a Haileybury Hearts Netball Club Team Manager WhatsApp group at the beginning of each season. This group is an invaluable support network who are always proactive in jumping in to help each other. This is the forum to place borrowed player requests, general questions etc.
● List of team/s you are able to borrow from: We understand this can be a tricky area to navigate and the Club will provide each Team Manager a list of team/s they can borrow players from after the grading rounds are complete (some teams may move divisions which impacts who they can substitute for).
