PLEASE READ CAREFULLY AS THIS POLICY HAS BEEN UPDATED.
We understand that it is not always possible for teams to attend every originally scheduled game in a season and so we do allow some flexibility for our members by coordinating reschedules.
However, due to availability constraints, heavy administrative costs, and the time limits of each season, unlimited reschedules are not possible. Below you will find instructions on how to request a reschedule and the constraints on reschedule eligibility that is applied as consistently and as fairly as possible for all teams.
Enforcing these limitations without showing favoritism for any particular team is a practical necessity. We also hope that players and team managers communicate early with each other, plan ahead, and make every effort to make it to their games to ultimately reduce the likelihood of forfeits in the first place. Reschedule Request Instructions:
Maximum of one rescheduled game per team, per season.
- Contact KEVA to notify us of your reschedule request at 608-662-7529 or by emailing the League Manager directly by 12pm on the day prior to your game or earlier.
PLEASE NOTE: All other forms of notification, such as messages through social media, will not be accepted as we cannot guarantee that the message will be received soon enough to notify opponents.
- If the requesting team has already used their allotted reschedule request, but their opponents have not, the opponents will be asked if they would like to use their unused request, or if they would like to accept the win due to forfeit and save their reschedule for another game in the future.
- After confirming the game's reschedule eligibility, the League Manager will reach out to both teams with the currently available reschedule times.
- Please note, game times are not offered exclusively to a single pair of teams at a time and they are first come, first serve. Teams that respond quickly have a higher chance of receiving their preferred game time.
- Teams will be allowed a maximum of five days to respond to initial reschedule communications. After the deadline is reached, the game will be considered forfeited by the team originally requesting a reschedule if no communication attempts have been answered.
- After finding a reschedule time that works for both teams, the league manager will finalize the reschedule in the calendar and make the new game viewable through the online portal.
General Limitations and Considerations:
- Teams are allotted a maximum of one rescheduled game per season.
- Requests must be submitted via direct email to a League Manager listed above or by calling KEVA and speaking with a staff member by 12pm on the day prior to the game to be eligible for rescheduling.
- Rescheduled games are not guaranteed to be available on the main day that your league is typically played and times may only be available on alternative days.
- Requests made for the final two weeks of league play or for any games during tournament play are not eligible for reschedule.
- Any reschedules requested for the first game of the season will be handled after the full schedule is released. This may take up to 7 days from the initial reschedule request.
- If the teams are unable to agree on a reschedule date within 5 days of the initial communication, the game will be considered a forfeit by the team that originally requested a reschedule.
- Refunds/store credits will not be issued to either team in lieu of rescheduling.
Weather Cancellations:
- When possible, team managers will be called at least two hours prior to the game if any games need to be canceled or moved inside because of weather or other uncontrollable circumstances.
- If an outdoor game can be moved inside, the game will be considered valid and will not be rescheduled.
- KEVA notifies teams of the possibility of moving their games inside prior to the games occurring so that players can bring the appropriate equipment such as sneakers for indoor volleyball games.
- Games that could be moved inside but cannot be played due to players not having the appropriate equipment will not be rescheduled.
- Games that are canceled by KEVA prior to their start time due to weather will be rescheduled.
- Refunds/store credits will not be issued to either team in lieu of rescheduling due to weather.
Forfeits:
- Forfeits are any game that are canceled and are not eligible for reschedule or could not be rescheduled after an attempt to reschedule.
- Forfeited games are not eligible for refund/store credit to either team.
- Teams whose opponents have forfeited may use the field or court to scrimmage.
- Games that are forfeited will result in the opponents receiving the victory.
