Online Absence Request

Learning Objectives: Parents and guardians can now put in absence requests themselves in the Parent Portal/Infinite Campus App. You will be able to process these attendance requests for a single student or multiple students at once using the Online Absence Request Processing tool in Infinite Campus. You will also be able to process students who arrive late or early. This will reduce the manual entry of our attendance practices, and send accurate messages to families about student absences.

Note: When you process attendance for your school, it is important you process attendance reported through all reporting methods for your school. This now includes Online Absence Requests (OAR).

Process Individual Student Absences

1. Use Absence Request Processing.

  1. In the Index tab, click on Attendance.

  1. Click on Absence Request Processing.

Note: All new parent/guardian absence requests are placed in pending status by default (under the Status column). This indicates that the Absence Request has not yet been processed and needs your attention.

  1. Click on the request you want to process from the Current Requests list. 

A new Absence Request Processing window will open that displays information about the absence request such as student info, who submitted the request, the reason why a student is absent, etc.

  1. Scroll down and click the Request Status from the dropdown list.

  1. Select an Excuse Code from the Request Status dropdown list. You can place any request in Processed, Awaiting Parent Verification (not shown here but is available), Ignored, or Hold status.

  1. Select the Excuse Code that matches most closely to the parent/guardian’s entry.

  1. Enter Attendance Comments.

  1. Click Process.

The screen will update and let you know the absence request has been updated.

Continue to process the next pending absence request from the list until all pending requests are complete.

Process Student Absences in Mass

You can quickly process multiple absence requests at the same time (in mass) by processing requests by absence reason.  

1. Use Absence Request Processing.

 

  1. In the Index tab, click on Attendance.

  1. Click on Absence Request Processing.

Note: All new parent/guardian absence requests are placed in pending status by default (under the Status column). This indicates that the Absence Request has not yet been processed and needs your attention.

  1. Click on Excuse to bring up a list from the dropdown list in the table header.

  1. Choose the desired excuse. This example shows Sick. 

Now all pending absence requests are filtered by Sick.

  1. Click Mass Process in the bottom left corner

  1. A new Mass Processing pop up box will appear. Select the appropriate Attendance Code. 

  1. Enter any Attendance Comments.

Note: The comment you add here will be added to all absence requests with the Sick excuse code.

  1. Click Process.

The page will update and should be blank because you filtered and mass processed all absences with the Sick excuse. All the Sick excused absences are now in Processed status.

  1. Click the Excuse dropdown to select the next excuse code you want to process. Continue to process using the same steps from this section until all pending excuse codes have been processed.

Process Late Arrivals or Early Departures

You will quickly identify absence requests that are entered as Arrive Late or Leave Early by the looking at the times added in the Request Time column.

1. Use Absence Request Processing.

 

  1. In the Index tab, click on Attendance.

  1. Click on Absence Request Processing.

Note: All new parent/guardian absence requests are placed in pending status by default (under the Status column). This indicates that the Absence Request has not yet been processed and needs your attention.

  1. In the Request Time column, click the desired absence request based on a late arrival or leave early time.  

A new window will open that displays information about the absence request such as student info, who submitted the request, the reason why a student is late or leaving early, etc.

  1. Scroll down and click on Request Status to see a selection of options and select the desired status. This example the request has been put on Hold. 

Use hold to remind yourself you are working on this request and you are waiting for the student to arrive or leave before you complete the request.

  1. Add relevant and detailed information in the Attendance Comments box.  

  1. Click Process.

The window will update back to the list of pending requests. You will now see the request you processed on a Hold status. It is on hold because the student has not arrived yet and you are waiting for them to show up.

  1. When the student arrives or leaves, click on the hold record to open it.

The Absence Request Processing screen will open.

  1. Scroll down and click on the Request Status dropdown to see a selection of options.

  1. Click Processed.

An Excuse Code box will appear next to the Request Status box.

  1. Click the Excuse Code dropdown and select the appropriate excuse that closely matches the reason provided by the parent. This example Transprtn (Transportation) was selected.

  1. Update the Attendance Comments. 

  1. Click Process. 

You will be brought back to the Current Requests screen and you will see the absence request you just processed has been removed.

You can then process the next late arrival or early departure request.
