Proper configuration will make Account Management run successfully every time. Use the following pages as a guide to configure your instance of Account Management.

Logging into the Admin Portal

Login to the Account Management Admin Portal using the email address and password provided.

This is where you will manage your configuration, Admin Portal users, and view reports.

Person Lookup Tool

This is the Person Lookup tool.

This is the landing page for all users when they log in.

All columns can be sorted.

The table can exported as a csv file by clicking on the Export button.

You can search for users by using the Search feature.

If searching by the date created or deactivation date columns, use his format:

YYYY-MM-DD ex: 2011-08-31 

Configuration Guide - General Settings

General settings are global settings that Account Management needs configured to run successfully.

Configuration Guide - Data Source

Account Management can connect to a SQL database or a csv file for the data source.

Field mappings must be done so that Account Management knows how to read the data it receives from the SQL query.

The values entered from each field must match the column name from the SQL query.

Setting -> Global -> Data Source -> File

The settings found on this page should only be filled in if you plan to use a csv file as the data source instead of a SQL database.

Setting -> Global -> Data Source -> Google

Download the CSV template here. Do not include column headers in your file.

The first 5 columns are required. If you choose to populate any of the other columns, you must include a comma for each position even if the column is NULL or blank.

OR

Setting -> Global -> Data Source -> Google

These settings will allow you to use a Google sheet as a datasource. This would be useful in the case that you either can’t access your SQL datasource, or aren’t able to generate a file from your datasource. Often times this is used to maintain a small set of data that just a few people need to touch, ex. staff in a small school system.


To configure Google as a datasource use the provided Google Sheet. Make a copy and save to your Drive or Team Drive.

Enter the spreadsheetID in the AM Admin interface. To find the spreadsheetID, look in the url for the string between /d/ and /.

Example: https://docs.google.com/spreadsheets/d/1X9ZZLor6inQyBfK4qF_Ik-AXi_QHnFQ6cPgQ1Cw3KMQ/

The range will be something like Users!A2:I - where Users is the name of the current sheet - not the name of the Google Sheet.

To allow AM access to read the Google Sheet, AM has to be run from the command line the first time to go through the approval process.

Configuration Guide - Add New Location

Proper location configuration is a big part of making sure that Account Management works.

Settings -> Location -> Add New Location

***Typically for school systems, the Location Number is the state assigned school code*** A LEADING ZERO IN THE LOCATION NUMBER IS REQUIRED. Ex. 0191

Configuration Guide - Location: Account

Proper location configuration is a big part of making sure that Account Management works.

Settings -> Location -> [LocationName] -> Account

The fields found on this page control what settings are set when an Active Directory user account is created, moved, or updated.

Configuration Guide - Location: Home Directory

Proper location configuration is a big part of making sure that Account Management works.

Settings -> Location -> [LocationName] -> Home Directory

If you would like to create home directories for this location, check the box then fill out the fields.

Configuration Guide - Location: Groups

Proper location configuration is a big part of making sure that Account Management works.

Settings -> Location -> [LocationName] -> Groups

Adding users to groups in Active Directory is essential to managing users. To a group to a location, simply type the name of the group as it appears in your Active Directory. You can add as many groups as you need for a each location.

Configuration Guide - Location: Attribute Mapping

With attribute mappings, you have the ability to set other Active Directory user attributes. This can be very handy when you need the display name to include a unique identifier or the description to have the school abbreviation  plus a static value. All of the variables that can be used to create the username, can also be used here.

All attribute mappings are location specific and can only be set once per location.

List of variables:

%f - First Name

%l - Last Name

%if - First Initial

%il - Last Initial

%xf** - First Name up to chosen number of characters

%xl** - Last Name up to chosen number of characters

%a - School Abbreviation

%n - School Number

%c - Custom Value

Examples(Christopher Smith):

%f.%l - Christopher.Smith

student.%f.%l - student.Christopher.Smith

%xf03%xl04 - ChrSmit

%if%c%il - CRyanS - In this case %c is the person's middle name.

Configuration Guide - Admin Portal User Management

This screen will allow you configure users that should receive daily digest reports, errors, and the can access the Admin Portal to make changes or to view the person lookup tool and reports only.
