Kirtland Elementary Community School
Meeting Days, Times, Locations
- 1st and 3rd Tuesday of every month
- 4:15pm-5:15pm
- In person in Library
- District guests and non-IC members presenting an agenda items can attend virtually via Kirtland Google Classroom Meet Link
- IC Chat (gmail) will be used to communicate/make decisions in-between meetings
Role Descriptions
- IC Lead is notetaker
- Erika Adams is time keeper
- Facilitator is whoever initiates the topic
- Principal will ensure equity of voice in the meeting (all being heard)
Minutes Dissemination Process
- IC lead moves minutes from Google Classroom “stream” to “classwork”
Agenda-Setting Procedure
- Any staff can request an agenda item by filling out the IC Google Form
- Person requesting item needs to include their name
- IC lead will review submission prior to each meeting
- IC lead will state when the item will be visited
- If item does not pertain to IC, IC lead will give direction as to where that item needs to be addressed
- Any non-IC member must attend the meeting where their item is being addressed to be available for questions. They are allowed to attend in person or virtually.
Decision Making Method
- Thumb up: agree, everything’s okay
- Thumb to the side: I might disagree, but I’ll be okay
- Thumbs down: I disagree, and have something to add
IC Chat
- IC Chat (gmail) will be used to communicate/make decisions in-between meetings
- IC chat messages cannot be edited
- IC lead will email members when a chat item is sent
- Time-sensitive issues go directly to principal (less than 24 hours)

- IC chairs (grade-level leads) will share out IC information at weekly PLC meetings

- IC Protocol will be shared on Kirtland website by Webmaster (Elijah Carbajal)
Publication and Distribution of Group Protocols
- IC protocols will be posted to Kirtland Google Classroom as well as shared at the next staff meeting
Publication of All Decisions Being Made
- All decisions will be included in the weekly minutes
- Major decisions will be highlighted or bolded within minutes and added toKirtland IC Decisions 22-23
Procedure to Revisit Protocols
- Protocols will be revisited at the beginning of each term (August) and at the discretion of the group
- Date of each review/revision
- 10/28/20 began defining IC protocols
- 11/20/20 revised the Agenda-Setting Procedure
- 08/17/21 revised meeting day, time, location, added Time Keeper under role descriptions, and membership configuration
- 9/7/21 revised membership configuration
- 4/5/22 added Community School Coordinator as member
- 8/2/22 updated membership configuration to reflect 22-23 SY, changed meeting location to the library, updated agenda setting procedure to Google Form, will now publish IC decisions on Kirtland IC Decisions 22-23
- 9/6/22 added Elijah Carbajal as ATF Representative
- 1/17/23 IC chat messages cannot be edited, IC lead will emails IC members when a chat item is sent, time-sensitive issues go directly to principal
- 2/28/23 non-IC members presenting an agenda items can attend virtually via Kirtland Google Classroom Meet Link instead of joining in person
