City Dance and Music seeks a contract Program Operations Coordinator.
The initial contract period is July 15th, 2025 - December 31st, 2025. For the successful contractor, this contract has the potential to be renewed or become permanent PART-TIME employment on January 1st, 2025 as a Program Operations Manager.
Established in 1998, Atlanta Dance & Music Academy is a growing studio offering dance and music classes, privates, and lessons to students of all ages, 3 - ADULT.
This position will work directly with the school’s Directors to implement program changes. The ideal candidate has previous experience as an operations or program coordinator, bringing prior experience to the position to offer input and recommendations. A successful coordinator will independently prioritize competing tasks and have an ability to communicate effectively with directors, patrons, board members, faculty and staff.
Duties include, but are not limited to:
Front Desk Coordination:
- Serving as the on-duty personnel for the Front Desk at least two evenings weekly
- While on duty, answering phones, greeting guests, booking rentals and conducting tours
- Serving as the point of contact to answer client questions regarding the program, lessons, classes and training opportunities
- Monitoring and answering all operational and administrative email inbox(es); distributing emails appropriately
- Replying to customer concern emails and/or, escalating as necessary
- Coordinating cyclical front desk duties with interns, and other front desk associates
Operational Coordination:
- Addressing any space maintenance issues with the Director, to include, but not limited to: cleaning schedules, urgent repairs, rental violations.
- Serving as part of the “on-call” personnel according to staff rotation: answering phone during off hours to address lock out and any operational issues that arise
- Monitor space usage and support the maintenance of usage calendars, addressing scheduling conflicts*
- Update and monitor the school’s various registration platforms and systems to ensure accuracy, usability and accessibility (i.e. Dance Studio Pro and MindBody)
Program Coordination:
- Draft and send internal and external communications among directors, faculty, staff, and parents and adult clients
- Send reminders, promotions, newsletters as scheduled via Roby, DSP, and Email
- Serve as a liaison between all clients/students and instructors
- Coordinate student surveys and feedback processes to ensure program relevance and satisfaction
- Coordinate and distribute pertinent performance information
- Coordinate backstage duties and efforts for proscenium and community performances
Children
- With the Director, support the coordination of all aspects of the school's annual registration events for children (summer, fall, spring, and winter). Serve as the main point of contact.
- Assist with children and teen class placement; conducting all follow-up, as necessary for enrollments, trials, outstanding payments and balances
- Assist with music lesson coordination with contract music staff
- Coordinate privates
- Update season calendar
- Monitor attendance - alert parents, make recommendations
Adults
- With Directors, plan weekly, monthly and pop-up class offerings, and implement marketing strategy
- Organize occasional community classes, workshops, and performance opportunities for adults
- Troubleshoot student questions related to class levels, schedules, or payments
Marketing & Community Engagement
- With the administrative team, devise and implement a retention, marketing and recruitment strategy for children, teens and adults
- With the Executive Director and Marketing Coordinator - help develop and implement a seasonal marketing calendar (email, print, social media)
- Represent City Dance & Music at local events, as scheduled
- Collect stories, photos, and milestones for communications and grant reporting, as requested
Position Requirements:
- Background in dance performance or education is strongly preferred
- Must be available to work at least two evenings per week 3:30p - 8:15p, and at least 2 Saturdays monthly 8.30a -1:30p
- Be available for weekly staff check-in meetings
- Reliable transportation, required
- A reliable laptop or computer to work from home required
- Ability to download organizational apps to a mobile device, required
- Previous experience in operations and administrative coordination, required
- Must be proficient in written and verbal English
- Proficient in MS Office (word, excel, publisher, etc.), and familiar with the Google environment for computing and communicating, required
- Experience with Canva, MindBody, Robly/MailChimp, Wix, and/or WordPress, preferred
- Marketing experience preferred not required
Contract details:
- Job Type: contract, with the option to renew OR transition to permanent part-time employment
- Average 15-20 hours per week with at least 50% of the hours being onsite– weekly schedule determined by the contractor in consultation with the Directors, Front Desk Assistant, and Intern(s). This is an in-office role with ‘work from home’ privileges.
- Hourly Rate: $18 - $20/hr commensurate with experience.
