Exhibitor, Artist, Panellist and Performer (EAPP) Policy

  1.  Definitions

  1. All uses of the word ‘you’ or ‘your’ refer to all attendees of Adelaide Anthros.
  2. All uses of the words ‘Adelaide Anthros’, ‘we’, ‘us’ and ‘our’ refer to the event Adelaide Anthros and its operator Fur Dinkum (ABN: 40 698 983 803).
  3. Any reference to 'Artist' includes a person, partnership, trust, trustee, corporation, or any other business entity on completion of the Artist Alley Application. Further, the said Artist’s representatives, agents, employees, associates, business entities, assignees, assignees affiliates, or other person or entity authorised to act on behalf of the Artist is bound by these Terms and Conditions
  4. Any reference to the ‘Exhibitor' includes a person, partnership, trust, trustee, corporation, or any other business entity on completion of the Exhibitor application. Further, the said Exhibitor’s representatives, agents, employees, associates, business entities, assignees, assignees affiliates, or other person or entity authorised to act on behalf of the exhibitor is bound by these terms and conditions.
  5. Any reference to the ‘Panellist' includes a person, partnership, trust, trustee, corporation, or any other business entity on completion of the Panellist application. Further, the said Exhibitor’s representatives, agents, employees, associates, business entities, assignees, assignees affiliates, or other person or entity authorised to act on behalf of the exhibitor is bound by these terms and conditions.
  6. Any reference to ‘Product’ being a product for sale by an Exhibitor or Artist.
  7. Any reference to ‘Venue’ includes Adelaide Anthros' chosen venue and its representatives, management, officers, agents, associates, business entities, assignees, assignee affiliates, or other persons or entities authorised to act on behalf of Adelaide Anthros' chosen venue.
  8. Any reference to ‘Allocated Space’ being space within the Venue during the Adelaide Anthros event contractually provided by Adelaide Anthros to an Exhibitor, Artist or Panellist for the sole use of their business activities.
  9. Any reference to ‘Display’ being any structures, materials or equipment used for advertising or business within an Allocated Space
  10. Any reference to ‘Costume’ or ‘Fursuit’ includes cosplays, outfits, any article of clothing separate from the norm including accessories like paws, tails and ears.
  11. Any reference to ‘Panel’ being a pre-organised event, workshop, panel discussion or activity run by a Panellist, Exhibitor or Artist.
  12. Words importing or signifying the singular shall embrace the plural, and words importing the masculine gender shall embrace the feminine or neutral gender and vice versa, respectively.
  13. Words importing a person shall be deemed to include a corporate body and vice versa.
  1. Termination

  1. Should the Exhibitor, Artist or Panellist breach any of these terms, their approval to use the allocated space may be terminated with or without notice.
  2. Venue and Adelaide Anthros have the right to move any Allocated Spaces/cancel any agreements with the Exhibitor, Artist or Panellist at any time without notice.
  1. Selection and Placement

  1. Artists, Performers, Panellists and Exhibitors must not assign, sub-let or otherwise deal its allocated space to a third party without declaring so and receiving approval from a Adelaide Anthros director.
  2. Adelaide Anthros reserves the exclusive right to determine the placement of Exhibitors, Performers, Panellists and Artists on the Venue floor. These placement decisions are not subject to external disclosure. All decisions made by Adelaide Anthros are final.
  3. Adelaide Anthros reserves the right to select or reject Exhibitors, Artists, Panellists or Performers for whatever reasons it deems fit. All Exhibitors, Artists and Panellists are selected via a set of internal criteria.
  4. In the case where you are not selected by Adelaide Anthros to be an Exhibitor, Artist, Panellist or Performer, you will be placed onto a backfill register and may be contacted at any point in the future to fill in for another individual who has dropped out of the event. You are not required to fulfil these requests to backfill and will not be penalised for refusing a request.
  5. The offer to participate in the Artist Alley must be accepted or declined within fourteen days of being sent, otherwise the offer will be withdrawn and made available to the next selected Artist. In the event that no other Artists are available, you may have your offer renewed.
  1. Conduct

  1. Exhibitors, Artists, Panellists or Performers are not to go into their Allocated Space, into performance areas or into restricted areas without their relevant Exhibitor identification visible.
  2. Exhibitors, Artists or Panellists must ensure their display has one Exhibitor attending it at all times while the event is open to the public.
  3. Exhibitors, Artists or Panellists must conduct themselves in a professional manner and must not cause disturbance or nuisance at the event.
  4. Exhibitors are deemed responsible of any supplied equipment for their Allocated Space or Display, Supplied equipment must be returned to Adelaide Anthros staff in the condition it came within a reasonable timeframe.
  5. Exhibitors must take no public action, make public speeches or make public comments that impact the name/reputation of Adelaide Anthros or the venue.
  6. Exhibitors must not spruik their Display or pester Attendees to purchase goods or services.
  7. It is the responsibility of the exhibitor, artist, panellist or performer to take reasonable care of their health/wellbeing whilst in the den.
  8. If at any point you are feeling unwell, please notify the Staff who will source first aid or other car/support as required.
  9. If you feel uncomfortable at any time with an attendee or another Artist, exhibitioner, performer or panellist, please notify Adelaide Anthros staff to resolve the situation.
  1. Sales

  1. Products & Services

  1. Display/sale of Products or other materials must comply with relevant South Australian Legislation and Australian Consumer Law (ACL) protections, which guarantee consumer rights when goods and services are bought in Australia, this ensures consumers are entitled to replacement or refund for major failure of product.
  2. You are not to sell foods or beverages. You are permitted to distribute free, unexpired, packaged foods that are store-bought and sealed.
  3. If a product is deemed prohibited under any conditions outlined in this policy, the product must be withdrawn from sale and public view immediately or upon request by a Leader.
  4. No gambling games or raffles can be held unless all participants are able to win a prize. This means you cannot run any sort of 'gamble' where the consumer is not guaranteed a product from the Exhibitor or Artist. All potential prizes should be reasonably valuable compared to the price of admission, be visible and known to the buyer, be immediately claimable and constitute a product that conforms to these policies.
  5. Adelaide Anthros reserves the right to have any products or services removed from display, sale or distribution.
  1. Original Works

  1. No generative artificial intelligence should be used to create any part of the Display or products being sold or distributed. This is considered intellectual property theft and is strictly forbidden.
  2. Reselling of products is forbidden within the Artist Alley. Exhibitors selling outside the Artist Alley are permitted to resell products.
  3. Artwork that has been traced, copied or noticeably referenced from another artist’s artwork is not to be sold or distributed.
  4. All items sold in the den must be the creation (via original work or manufacture of an original work) of the dealer.All items sold in the den that are derived from a base, template or pattern of another individual must only be made so with the direct or indirect permission of the original base, template or pattern creator. The Artist who has created the derivative item must follow the terms and conditions of use, as well as crediting policies outlined by the creator of the base, template or pattern.
  5. The sale and display of fraudulent, plagiarised or bootleg items are strictly prohibited, display or sale of these items will result in removal from the den.
  1. Appropriate Products

  1. Products and services provided by an Exhibitor are required to be "family-friendly" and should not contain any sexual or suggestive themes.
  2. Marketing materials, pamphlets or any advertised content on or in the Display must not contain links to any mature, explicit or 18+ material or accounts.
  3. Products and services should not contain any nudity.
  4. Products and services should not promote bigotry or hateful groups
  5. Products should not contain extreme graphic violence or gore. Light amounts of blood and visible wounds are allowed, but large wounds, cuts (self-inflicted or otherwise) or any kind of extremely graphic body horror are not permitted.
  6. Final determination as to whether the item adheres to the rules above will be at the discretion of the Artist Alley Manager.
  1. Displays

  1. Safety and Obstruction

  1. Both Adelaide Anthros and the venue reserves the right to require the Exhibitor or Artist to remove or alter any part of the Display erected for any reason and at any time.
  2. The Artist/Exhibitor’s Display must not extend into other tenant’s space or in any way obstruct: the free movement of customers in the common area of the exhibiting area; any emergency exit or stairway; and access to, or the line of sight to, the Allocated Space of any tenant in the exhibiting space.
  3. If more Allocated Space is needed for a Display, Exhibitors or Artists must state so within their applications. Adelaide Anthros reserves the right to Allocate any amount of space, and if the need for more space/certain items within the Allocated Space isn’t properly communicated, these needs may not be met on the day of the event.
  4. The Exhibitor or Artist must ensure that all Displays are safe, stable and have been erected in a professional manner.
  5. All electrical equipment must be tagged and tested if used for a display
  6. Distracting/obtrusive Displays will not be permitted in order to ensure comfort and accessibility for all dealers and attendees. Distractions may include excessive/flashing lights or loud music/sound played from audio/display devices at a table. Obstructive displays include those that protrude beyond the front of the table, or that protrude onto other dealers’ table space. The final determination of what constitutes a distracting or obtrusive display will be at the discretion of the Adelaide Anthros Staff.
  7. All parts of a Display, including chairs, participants or components of a Display must be kept within the Allocated Space and cannot fill up the walkways.
  8. Board Games and TTRPGs must be kept at a reasonable volume, with parts and pieces kept within the Allocated Space.
  9. Audio must be of a respectable volume and not overly repetitive. Audio may be asked to be switched off at Adelaide Anthros' discretion, or during Panels or activities.
  1. Property

  1. The Display is to be of temporary nature only, and the Exhibitor or Artist must not affix items to any part of the Venue if it would cause damage to the Venue in any way unless they have express permission from the Venue.
  2. The Exhibitor or Artist must not allow any part of their Display to stain, mark or otherwise damage any part of the Venue.
  3. Artists and Exhibitors must keep pathways clear as much as possible, and that any large items are stored underneath the table. Adelaide Anthros Staff may request that items that obstruct pathways and exist be removed from the Artist Alley.
  4. Please use bins provided within the venue, if unsure, please ask Adelaide Anthros Staff. Dealers will be responsible for their own waste.
  1. Presentations and Performances

  1. Performances involving dancing or any other type of physical performance are required to use an appropriate amount of space and safety markers to avoid safety hazards or potential collisions.
  2. All Panels and Performances must be strictly “family-friendly” unless otherwise permitted by Adelaide Anthros and cannot discuss violent, sexual, suggestive or otherwise inappropriate topics or display any inappropriate imagery or videography.
  3. Music played during Performances and Panels must not be explicit where attendees under the age of 18 are present and permitted. Where attendees of an event must be 18 or older, music in Performances and Panels is allowed to contain explicit, suggestive or inappropriate themes or language.
  4. Panels and Performances must not have a fee associated with them that is collected by the Panellist or Performer. Any extra ticketing for a Panel or Performance is to be handled by Adelaide Anthros.
  5. Panels and Performances displaying video games, video clips or voice clips are not to present any media officially rated above an ‘M’ where attendees under the age of 18 are present and permitted. Where attendees of an event must be 18 or older, video clips, voice clips and any other media presented is allowed to be rated up to MA15+.Panels and Performances must not contain or present any flashing or strobing lights, except in select cases and with explicit pre-approval by a majority of the Adelaide Anthros directors.
  6. Panels and Performances must not include any smoke, pyrotechnics, fireworks, explosives or any other type of potentially dangerous light displays.
  1. Setup and Pack-up

  1. Exhibitors, Artists and Performers will only be permitted to bump-in and bump-out if they are wearing their identification badge.
  2. All rubbish, displays, prints or objects brought in by the Exhibitor or Artist must be vacated by the end of the designated bump out time.
  3. The Exhibitor or Artist must have vacated their Allocated Space and removed all Display by the end of the designated bump out time or may be liable for the cost related to the extension of Venue hire.
  1. Payment and Refunds

  1. The Exhibitor or Artist will agree to make any requested payments before deadlines clearly stated by Adelaide Anthros upon acceptance of applications. In the event of a non-payment by said deadlines, the Performer, Artist or Exhibitor will forfeit their spot at Adelaide Anthros, and it will be offered to others.
  2. Dealers must contact Adelaide Anthros if they are running late on the day of the event.
  3. If the Exhibitor or Artist can no longer attend Adelaide Anthros and clear communication of cancellation is made within one month of acceptance of the application and before the 8th of February 2025, any payments made by the Exhibitor or Artist will be refunded in full.
  4. If the Exhibitor or Artist can no longer attend Adelaide Anthros and clear communication is made within two months of acceptance of the application and before the 8th of February 2025, a partial refund of 50% of any payments made by the Exhibitor or Artist will be refunded to reflect expenses Adelaide Anthros has incurred.
  5. If the Exhibitor or Artist can no longer attend Adelaide Anthros and clear communication of cancellation is made after the 8th of February 2025, the Exhibitor or Artist will forfeit all payments made to reflect expenses Adelaide Anthros has already incurred.
  1. Liability

  1. Exhibitor, Artist or Panellist accepts that it occupies allocated space at own risk. Adelaide Anthros and its venue shall not in any circumstance, be liable to any Artist exhibitor for any damages suffered by it/its property.
  2. Exhibitors and Artists are expected to have a valid public liability insurance policy of up to $5 million AUD that covers them during the running of the event.
  3. Adelaide Anthros and its directors, staff and volunteers are not responsible for any loss, damage, theft or injury sustained during the event or within the Venue.
  4. Exhibitors, Artists, Performers and Panellists are responsible for their own insurance over its property and/or employees.
  5. Adelaide Anthros does not accept responsibility for security of any Display or product left unattended.
  6. The Exhibitor, Artist and Panellist must indemnify Adelaide Anthros and Venue and against all claims, demands, damages, costs and expenses for which they may become liable in respect to: loss, damage or injury to any person/property within the venue caused by or contributed to by the Exhibitors, Artists or Panellists failure to comply with the terms of the agreement; loss, damage or injury to any person or property contributed to or caused by the negligence of the Exhibitor, Artist or Panellist or;  loss, damage or injury to any person/property caused/contributed to/by/or arising from the use of allocated space.
  1. Policy Changes

  1. Adelaide Anthros reserves the right to amend or alter the Adelaide Anthros Exhibitor Policy at any time up to and during any Adelaide Anthros event.
