Check-in time: 15 minutes before the first session of your shift starts
Meeting point: near the swag station
Contact person: Swag Station Lead
INTRODUCTION
The Swag Station is the place where you can get your WCEU t-shirt and other things like stickers, badges etc. As swag stations assignee you will be responsible for distribution of t-shirts and other swag that is not sold.
You will be part of the Swag station team.
YOUR TEAM
Here you can have a look at your team during your shift: When I Work
In this video, we give further information about finding teammates and leads in When I Work.
DURING THE EVENT
These are your main tasks during your shift.
- Unboxing swag and move it where it is needed.
- Prepare the lists with attendee names and sort them alphabetically.
- Create a group of letters (A-F, G-M etc) and split the groups with other volunteers.
- You get to give swag to the attendees and check on a list who has received their swag. Here is the flow:
- Attendee come to swag table and ask for their t-shirt
- You ask for their name.
- You check the list to see if the attendee name exists.
- If exists you check the size of the t-shirt that they have requested.
- You gave him/her the t-shirt and mark his/her name in the list as received t-shirt.
- Try to keep order on the table to make the process smooth and to preserve a professional look of the table. This will also prevent mixing up sizes for the t-shirt and giving out the wrong one.
You are going to report to Swag Station Lead.
Before you shift starts, you’ll meet Swag Station Lead who will give you some brief instructions about your role.
Meeting point: near the Swag Station
Time: 15 minutes before the first session on your shift starts
POSSIBLE ISSUES:
Sometimes the attendee name doesn’t exist in list ( they have bought the ticket from someone else, they have won the ticket or their company bought it ). In such cases you asked them, how do they bought the tickets and search for original buyer name or company name. If you find them, you stick to the flow above.
- The t-shirt size the attendee require is different from the t-shirt size they filled on registration. In this case you kindly ask them to come back right before the end of day two. Usually at the end of the conference all t-shirt are given away to attendees, because we don’t need them anymore.
