The initial contract period is February 1 - June 30th, 2024. For the successful contractor, this contract has the potential to be renewed or become permanent PART-TIME employment on July1st, 2024.
Established in 1998, Atlanta Dance & Music Academy is a growing studio offering dance and music classes, private lessons, and lessons to students of all ages, 3 - ADULT.
This position will work directly with the school’s Directors to implement program changes. The ideal candidate has previous experience as an operations or program coordinator/director, bringing prior experience to the position to offer input and recommendations. A successful coordinator will independently prioritize competing tasks and have an ability to communicate effectively with directors, patrons, board members, faculty and staff.
Duties include, but are not limited to the following key responsibilities:
Front Desk/On-duty:
- Serving as the on-duty personnel for the Front Desk at least two evenings weekly
- While on duty, answering phones, greeting guests, and conducting tours.
- Serving as the point of contact to answer client questions regarding the program, lessons, classes and training opportunities
- Monitoring and answering all operational and administrative email inbox(es); distributing emails appropriately
- Coordinating cyclical front desk duties with interns, and other front desk associates
Program Coordination:
- Updating and monitoring the school’s registration system for children and adults
- Assisting with children and teen class placement
- Assisting with music coordination and lessons
- Processing children' s enrollments, monthly payments, and CityDance, Inc financial aid, where applicable; conducting all follow-up, as necessary for enrollments, trials, outstanding payments and balances
- Drafting and sending internal and external communications among directors, faculty, staff, and parents
- With the Directors, devising and implement a retention, marketing and recruitment strategy for children and teens
Other responsibilities as a part of the administrative team:
Administrative Cross Training:
- Coordinating front-of-house duties for productions and performances (programs, box office, lobby management, cash box)
- Coordinating and monitoring internal space usage and the online rental calendar; prioritizing and addressing time conflicts as they arise
- Addressing any space maintenance issues with the Director, to include, but not limited to: cleaning/janitorial schedules, needed repairs, rental violations
- Serving as part of the “on-call” personnel according to staff rotation: answering phone during off hours to address lock out and any operational issues that arise
Position Requirements:
- Background in dance performance or education is strongly preferred
- Must be available to work in person at least two evenings per week between 3.30p - 8:00p and virtually as needed to communicate with parents, staff and faculty.
- Reliable transportation, required
- A reliable laptop or computer to work from home required
- Ability to download organizational apps to a mobile device, required
- Previous experience in operations and administrative coordination, required
- Must be proficient in written and verbal English
- Proficient in MS Office (word, excel, publisher, etc.), and familiar with the Google environment for computing and communicating, required
- Experience with Canva, MindBody, Robly/MailChimp, WordPress, preferred
- Social Media experience preferred, not required
Contract details:
- Job Type: contract, with the option to renew OR transition to permanent part-time employment
- Average 15 hours per week during the contract period.
- Hourly Rate: $18/hr, during the initial period; a potential to an increase of $20/hr after the initial contract period.
