To provide an inviting and welcoming experience for first time guests that helps each person feel comfortable at church and treated as a VIP.
What Is the VIP Team?
A team of people who create a comfortable environment for our first time guests so that their hearts are open to the truth of God’s Word.
Why Join the VIP Team?
Every person matters to us because every person matters to God. There is no replacement for the impact that you can make on other people. You have the opportunity to change the world, one life at a time.
Guidelines
- Remember: We serve because we love God and love people. Ensure the mission drives everything you do when you serve.
- Arrive on time (45 minutes prior to service start time) and check in at appropriate kiosk available to serve team members.
- Have your lanyard on while serving so we are easily recognizable to our guests.
- Connect with Team Lead after checking in and attend the huddle. The Team Lead will assign you to a particular area and communicate any details specific to the weekend.
- Have a team prayer before service (time allowing). We are welcome to join the welcome team team prayer.
- Be proactive!
- Maintain positive body language
- Smile and make eye contact
- Stand with welcoming, energetic posture ready to assist
- Assist the Team Lead as needed
- Get to know your teammates
- Refrain from eating, drinking, or using your phone while serving. Personal belongings in designated area ( VIP cabinet or lockers in storehouse 2).
- Attend one service and serve one service.
- If you will miss your opportunity to serve, please inform your Team Lead
Responsibilities
Actively look for first time guests to assist:
- Providing them with a gift
- Inform them of child care locations and services (if applicable)
- If they have children, assist with introducing them to a Gracelife Kids Guest Services team member.
- Give them an informational tour of the facility. Direct guests where to find the auditorium , coffee bar, and restrooms
Follow up with First Time Guests within 2 days of the first visit. The intent is to help answer any questions and help streamline the Guest getting connected
- Welcome Text- sent from team member’s personal phone to make interaction more personal
- Welcome Card -completed by team members each Sunday and mailed by team lead
Assist with setting up the Welcome Tent, table, gift bags, and documents
VIP Setup
- VIP Team Members arrive 1 hour prior to service when setting up the tent
Outdoor Tent setup is generally used:
- When temperatures are comfortable to most guests (above 40-50 degrees) for winter and (below 85 degrees) for summer. There are fans for when it’s warmer outside
- Clear skies- No rain in the forecast
- When winds are not above 10-15 mph
Outdoor Tent Setup:

- Tent Setup Steps:
- Extend legs until 3 holes show on each leg
- Put black weights on base of each leg
- Navy blue Flag banner to be positioned on one side so First Time Guests can see it.
- If help is needed for heavy items, ask the parking team to assist
Indoor Setup
- If Temperatures are outside of the ideal range, or as needed for special events, the VIP Team will set up inside the Desoto Main Doors. Team lead and Angie Hudson will make that call.

- Put umbrellas at 2 entrance doors in the Main entrance when rain is in the forecast
Table Setup:

- Table Setup Steps:
- Setup table with brown placemats then baskets & clipboards
- Display Fresh Start books x 6
- Extension cord for fan/heater
Tear Down- 15 min after the last service dismisses( when crowd has cleared) Please place all items back where they were found
Items stored in Storehouse 2
- Tent
- Wire baskets x 2 (in first tall 2 door cabinet in storehouse 2)
- Gift bags (keep baskets full and let Nina know if we run low)
- Fresh Start books x 6
- Black weights for legs of tent x4
- Connection Card clipboards and pens x 3
- “First Time?” Blue and White tall and flag banners x 2
- Fans and extension cord
Items Stored in the Foyer
- Table
VIP Team Lead Specifics
- Arrive 1 hour in advance of service start time (depending on set up/ prep needed)
- Ensure welcome table is prepared, and stocked
- Lead pre-service huddle and prayer
- Make sure setup & tear down is complete
- Keep track of number of guests per service/location and post in Metrics by 1:30 on Sundays
- Any team members who did not report in or notify in advance that they would not be able to serve, follow up within a day or two. Share any important details/issues with direct report
- Other serve opportunities outside of weekend services such as checking on the well-being of team members, special events, or other.
