Overview
For 2nd Year Film and Thesis Productions, you will check out equipment from both NYU and Abel Cine. You will need to submit equipment picksheets and manage both check outs and returns.
Equipment picksheets for both NYU and Abel Cine on the Kanbar FTV Production Website. Navigate to Grad Film > 2nd Year or Thesis.
NYU Check Out / In
2 weeks prior to your check out, you will receive an email from Production.Office@nyu.edu to confirm your reservation time and collect your NYU equipment picksheet. Follow the instructions in the email, otherwise your reservation will be canceled.
If you would like to adjust your NYU reservation times, email production.office@nyu.edu.
Note:
- The Production Office is open M - F, 9am to 5pm. Reservations can be changed during business hours. Emails received at night or over the weekend will be responded to during business hours.
- The Production Center requires a minimum of 24 hours (1 business day) to make any changes or adjustments to a reservation. Weekends are not business days.
- A minimum of 4 people are needed at the equipment check outs and returns.
- If the Director cannot be present, submit a Director’s appointment form to delegate responsibility to a crew-mate.
- Showing up on time for Check outs and returns is required and absolutely necessary to ensure that the next student isn’t delayed. Being late may result in a disciplinary meeting.
Abel Cine Check Out / In
Abel Cine is a separate check-out and students must coordinate directly with Tom Digges and his team at AbelCine two weeks prior to their scheduled check out time. Email Tom at TDigges@abelcine.com, rentalquotesny@abelcine.com.
You will need to provide Tom and his team with your equipment list and COIs several days ahead of your check out. COIs are required 48 business hours ahead of check out.
Note
- Gear from AbelCine is checked out from Abel at noon and returned to Abel before 10am unless you coordinate a different time with Tom.
Note: The AbelCine return is a quick drop off and they open at 9am. You can show up at 9am, drop everything off, and be done by 9:10am. - Be sure to request COIs for Abel in your Production Review. COIs are issued upon completion of your production review, and not prior.
- If you change your reservation at the NYU PC, you must also email Tom Digges and his team (TDigges@abelcine.com, rentalquotesny@abelcine.com) to coordinate with Abel.
- If you choose to rent additional equipment from Abel, they will offer a 40% discount on anything that they carry in house. If they need to sub-rent, it would be a lesser discount.
Infield Transfers
With advanced planning, it is possible for 2 directors to arrange to check out an equipment rig together, and transfer it from one production to the next. This is called an “Infield Transfer” (IFT) and it allows students to check the gear “in the field” and not come back in/out of NYU and AbelCine between shoots. IFTs can be helpful for students who are traveling long-distance or sharing crew.
The following conditions are required to set up an IFT
- Directors must be scheduled consecutively on the same rig. IFTs can not be coordinated across rigs.
- Directors must have the same camera selection (digital or film)
- There will only be one equipment check out, and after that check out no gear can be added or returned early. Thus, Directors must coordinate to submit a single picksheet for both NYU and AbelCine.
- Directors are required to meet with Elizabeth to discuss the plans of the IFT, and they will agree in writing on the process.
- Directors are responsible for doing an IFT Log sheet to itemize/account for all items and note any issues/damage at the exchange.
IFT are only confirmed after each director has signed off on the process in writing. Email Elizabeth to set a meeting to have an initial conversation, then follow up with a signed agreement of understanding on the process.
