Sound Training for Reading Limited (trading as Lexonic)

This Account Inactivity Policy (this "Policy") describes when Lexonic may suspend, close, or remove an Account, or delete associated data, due to Account inactivity. It applies to all Authorised Users on any product, online service, application, software, or service provided by Sound Training for Reading Limited also referred to as "Lexonic" — including but not limited to Wordology, My Lexonic and Lexonic Learn (each a "Lexonic Online Service" and together the "Lexonic Online Services").
This Policy forms part of, and should be read alongside, the Agreement between Lexonic and the Customer (including any applicable Terms of Service, Order Form, Data Processing Addendum, and the Acceptable Use Policy). You may close an Account at any time in accordance with the Agreement. Lexonic may suspend, close, rename, or remove an Account as set out in this Policy, and for other reasons permitted under the Agreement.
In this Policy, "Account" means any user account on a Lexonic Online Service; "Customer" and "Authorised User" have the meanings given in the Acceptable Use Policy; and "Order Form" means the order or agreement under which a licence was granted.
Because the Lexonic Online Services are used in schools and trusts, we measure inactivity by reference to the academic year, not by rolling calendar time. An "academic year" runs from 1 September to 31 August.
The following do not count as inactivity and will never, on their own, cause an Account to be treated as inactive:
An Account is used in an academic year if there is any qualifying activity (see Section 2) at any point during that year. Term-time-only usage is active usage.
An Account will only be considered inactive if it meets none of the "active" criteria in Section 2 across two consecutive complete academic years, or if it has been suspended for two or more consecutive years. An account is unused if never activated and so would not come under this definition for the purposes of this Policy.
Your Account will continue to be considered active for so long as any of the following apply:
Notwithstanding the above, Lexonic reserves the right to maintain an Account's status as active, or not to close an inactive Account, as required by applicable law or regulation, or as otherwise determined by Lexonic in its discretion.
Where an Account is considered inactive, Lexonic may suspend, close, rename, or remove it, in accordance with this Policy and the Agreement. Before closing or deleting an inactive Customer Account, Lexonic will:
If the Account is not reactivated within the notice period, Lexonic may close the Account and delete related data in accordance with the Agreement and Data Processing Addendum. Please review the Agreement for the full consequences of a closed Account.
The Lexonic Online Services process student data, and many student users are children. The following protections apply regardless of inactivity:
Lexonic does not retain or reuse student data following closure for any purpose beyond what the Data Processing Addendum and applicable law permit, and never for marketing, research, or AI training.
To keep an Account active, an Authorised User simply needs to sign in and use the relevant Lexonic Online Service during the relevant period. If you receive an inactivity notice and would like us to retain your account, you must provide explicit notice by contacting support@lexonic.org prior to closure.
This Policy should be read alongside the applicable Terms of Service, Terms and Conditions, Acceptable Use Policy, and Data Processing Addendum for each Lexonic Online Service.
