Preparing for Camp

Thank you for choosing Hickory Cove Bible Camp for your child’s summer camp this year!  We want you to know that we will do everything we can to make sure this is the best week of his/her summer.  Below is some information to help you prepare for summer camp:

Drop-off and Pick-up 

Drop-off and pick-up will be a drive-thru only experience.  Specific drop-off and pick-up details will be provided closer to your child’s camp dates.  

Please Note:  Children will only be released to authorized individuals who present their photo ID at pick-up.

Registration Fee Balances

A separate non-refundable application fee for summer camp is required to reserve a spot for your child’s session and does not apply towards the balance of the registration fee.  Due dates to have summer camper registration fee balances paid in full are as follows:

For any unpaid balances after the above deadlines, Hickory Cove reserves the right to give these spots to other children on our waiting list.

Swim Test

Each camper will be given a swim test unless he/she has passed it at a previous Hickory Cove camp.  

Trading Post (Camp Store) Money

All Trading Post (camp store) money is included in the Registration Fee.

Visitors

Campers will not be allowed to receive visitors during their session at camp.  Thank you in advance for doing your part to help give our campers the best possible “camp experience away from home”.

Contacting your Child

As a reminder, campers are not allowed to have cell phones.  However, should you have a concern about your child during the week, please call us at (828) 632-2987.  Please let us know at drop-off if you need to pick your child up early from camp.

You can also email your child at camper@hickorycove.org (please include his/her first and last name in the subject line).  Please limit two emails per camper per day.  Emails will be printed out and given to campers. Note: Campers don’t have access to computers to reply to any emails.

Photos/Videos

Photos and videos of your camper’s session will be posted throughout their week on our social media, so be sure to follow us on Facebook and Instagram!

Healthcare

All medicine (other than rescue inhalers and epipens) must be turned in during the drop-off process to be stored in the First-Aid Station.  We provide over-the-counter medication, along with first-aid supplies, so no need to bring those.  Be sure to bring any prescription medications in the bottle they came in.

A Hickory Cove Healthcare Center team member will notify a parent/guardian if your child has:  thrown up; spent the night in the Healthcare Center; visited the Healthcare Center multiple times for the same illness; an injury to the head, back, eye, or teeth; a severe cut or injury; a fever greater than 100 degrees Fahrenheit for more than 24 hours; or a medical emergency.                

What to Bring:

  • Enough clothing for your child’s entire stay (Put your child’s name on clothing and personal items.  Hickory Cove is not responsible for anything lost, stolen, or damaged.)
  • Tops covering entire shoulders, back, chest, and stomach to help prevent sunburns to these areas
  • T-shirts or athletic tops
  • Swim shirt
  • Long sleeve top (muted colors recommended for paintball*)
  • Rain jacket or poncho
  • Hoodie, sweatshirt, or light jacket
  • Longer shorts to wear during adventure activities (i.e. high ropes course) to prevent harness pinching
  • Athletic shorts
  • Pants (muted colors recommended for paintball*)
  • Closed-toed, closed-heeled athletic shoes        **
  • Pool/lake footwear (sandals/flip-flops/Crocs)
  • One-piece athletic bathing suits
  • Hat
  • Personal toiletries (soap, shampoo, etc.) Bedding (single sheets/blanket or sleeping bag, pillow)
  • Washcloth and 2 towels (1 for showers/1 for swimming)
  • Bug spray and sunscreen (spray-on preferred) - NOTE: Counselors do have bug spray and sunscreen for camper use
  • For soccer camp: bring cleats and shin guards

What NOT to Bring:

  • Electronic devices (Cell phones, laptops, tablets, MP3 players, etc.)

  • Smart watches

  • Food, snacks, gum, etc. (medical exceptions apply)

  • Illegal substances

  • Alcoholic and tobacco products

  • Guns and knives

  • Inappropriate reading/viewing material

  • Fireworks and lighters

  • Pets

  • Jewelry and other valuables

  *6th grade and up

**Sandals/flip-flops/Crocs are not appropriate footwear for athletic activities.

Nice to Have

Flashlight, laundry bag, sunglasses, or camera (no photos allowed in bathrooms, dorms and sleeping areas)
