River Wednesday Enrichment Procedures, Fall 2020

All students have been assigned to small 7-9 student grade-level groups for the rest of the fall semester on-campus enrichment activities from 9-12 on Wednesdays. These activities will take place outdoors or in the larger rooms on campus. As before, we will still have symptom screening with Magnus. Masks and social distancing protocols will be adhered to at all times.

The Friday before your child’s scheduled visit, we will send a reminder email to your group. It will have a list of reminders for your visit. See below for a more detailed set of protocols and information for further review.

Update from 12/4 Weekly Updates:

As we are in Stage 4, our Enrichment activities will not be held on the 9th and 16th of this month. Please be advised that the Health Advisory Board is currently reviewing our school’s rubric in light of our better understanding of how COVID-19 is transmitted. Any changes made to our rubric will be communicated as soon as possible. We have also updated the calendar with this information.

Update for 12/2 from Stage 4 Update for River Campus Email sent on 11/19:

We are canceling the Wednesday, 12/2 enrichment session. We are not yet canceling the sessions for 12/9 and 12/16 in hopes that we will be able to welcome students to campus in some capacity on those days. We do realize that this is different from the original rubric. We will be revisiting this rubric on December 1 with the Health Advisory Group and will share any adaptations that are made. Updated enrichment schedules will be available after the Thanksgiving break.

Attendance

As we move into a new phase of these on-campus activities, we will plan that your child is attending unless you tell us otherwise or have confirmed you are distance-learning only for the year. Please only reply to this email to notify us if your child will NOT be attending your next assigned Wednesday.

Things To Bring

Please make sure you dress appropriately for the weather when you come to campus. We will be outside for almost all activities. Students should wear adequate layers, appropriate footwear and may need to bring a hat, gloves, and a rain jacket. Remember, a cotton hoodie is not a rain jacket. Being outdoors is awesome and comfortable when dressed the right way!

We require that a student bring the following items:

  • Mask
  • Backpack
  • Water Bottle
  • Laptop + charger (if necessary)
  • Notebook
  • Pencils and pens

Highly encourage students to bring:

  • Camping chair as this helps spread students out.

Students are also welcome to bring the following:

  • Sunscreen
  • Bug Spray
  • Hat
  • Sunglasses
  • Hand sanitizer (will be available, too)
  • Snacks (neither the Food Trailer nor Cafe are open)

If there is inclement weather, still bring your laptop.

We will be sure to provide an indoor space to store your backpack safely from any rain or weather conditions.

Symptom Screening Procedure with Magnus

Staggered Arrival

Arrival will be staggered in the mornings to accommodate all arrivals. Below are the arrival times and procedures for each program. We have an arrival procedure that ensures student separation.

Middle School

Between 9:00-9:15, families will drive from Nueces Street through the alley to pull up between Buildings 2 and 4.

Drivers must show a screenshot of your Magnus Go message to the screener, who will then take another temp check.

Students exit the car there. Upon exiting, please turn right onto Rio Grande St.

MS students will head to the picnic tables by basketball hoop between Buildings 4 and 5 to await further instructions.

High School

NEW Between 9:15-9:30, parents dropping off students will drive from Nueces Street through the alley to pull up between Buildings 2 and 4.

Drivers must show a screenshot of your Magnus Go message to the screener, who will then take another temp check.

Students, driven by parents, exit the car there. Upon exiting, please turn right onto Rio Grande St.

NEW THERE IS NO ON-CAMPUS PARKING FOR STUDENTS. Students driving themselves can park in front of the school in the city’s pay to park areas or a paid parking lot near campus. Please go to a screener to have your temperature checked once you have parked.

HS Students will head to the Deck between Buildings 1 and 2.

Late Arrival: Please come to the Visitor Check-In of Building 4 to see Campus Manager Paula Pacotti. She will check in your child and send them to the correct place.

Dismissal

There are two dismissal times for MS and HS students. Just like in the morning, please drive through the alley from Nueces Street to pull up between Buildings 2 and 4. Your child will be released to you when you pull up.

Campus Safety Protocols

Over the summer and throughout the first few weeks of the year, Headwaters has prototyped a wide variety of practices and protocols. We’ve piloted different hand sanitizer stations, handwashing stations, coverings for picnic tables, thermometers, and drop off procedures. We’ve added shade and enhanced outdoor spaces, and we’ve had an epidemiologist and our HVAC expert walk through our campuses to make recommendations related to ventilation, airflow, and air purification. We’re in the process of addressing those recommendations across all three campuses and will continue to monitor best practices and adjust. Every day we learn more about what works and what doesn’t, and processes continue to improve as we gain practice and experience.

As a reminder, these guidelines are a work in progress and will evolve as we continue to learn. We will notify you of any changes.

Outside Space: 

Inside Space for Inclement Weather/Indoors

Use of rooms will be compliant with the 30 square foot/per student guidance, and we will only have a max of 10 total people in a space (9 students maximum and 1 guide).

Guides & Staff

Safety Protocols 

Guides complete a morning symptom screening, similar to the Magnus symptom screening, before coming to campus. If a staff member fails this screening due to symptoms or exposure, they will not come to campus and will follow our illness procedures from the COVID-19 Addendum on Illness Procedures and reach out to their direct supervisor and HR director for further support.

On Campus Support

Students will be in their small 7-9 person cohorts with one or more guides. We will also have guides and staff helping with arrival and dismissal. To allow for a smoother transition and further refine our Enrichment Programs, we have invited guides to observe the safety procedures that have been put into place during our prototyping phase. Guides who attend to observe will follow the same guidelines for all participants. These guides will not participate in/or lead the cohorts; they will be observing at a distance. Although the number of individuals on campus will increase, the number of individuals in cohorts will not.

Magnus App Questions

We have sent out a few emails about Magnus and how we are using it for symptom screening before your child goes to campus. However, we wanted to share a few common questions about Magnus in this document:

How to Update Your Credentials & Download the Magnus App

You will need to login to Magnus through the Nest first create a  new username and password. Then, you can login to the app. Here are those steps below:

FIRST: How to create your app login credentials:

  1. Log into Magnus through Nest. Go to Resources and click the Magnus Health tile (this method uses single sign-on or SSO).
  2. Hover over your name within Magnus (top left of screen).
  3. Choose "Change Credentials."
  4. Create a Username & Password that only you know and will remember. This username/password combination will be used as your Magnus Mobile app login only. Magnus requires 1-uppercase, 1-lower case, 1-number, and 1-special character.

SECOND: How to download and login to the app:

  1. Download the free "Magnus Mobile V2" app from the Apple Store or the Google Play store.
  2. The daily screening assessment is accessible ONLY on the app.
  3. Your current username/password combination can be used to log in to the mobile app.
  4. If you have more than one student, you will need to do a screening for each student every morning but will need only one login/password.

Using the Magnus App

The Magnus Mobile app will allow parents to complete their child's symptom screening from a smartphone in just a few clicks. After completing the quick survey each morning, you will receive a message on the screen with the student's attendance instruction for that day; we call that the “Go Screen.” Magnus requires a login each time you use the app since it contains sensitive information about your child. Here are a few tips for ease:
