Entry into the ALL IN BARREL RACE. Each race includes two (2) qualifying rounds & Showdown round

Each contestant’s first entry into each race is $1036. Additional entries per contestant into each race are $995.

What else do I need to know about entering?

Drawout deadline - November 15, 2020.
Entries will close at the discretion of ALL IN BARREL RACE management.
Draws will post approximately one week before Race 1 check in.
Deadline for selling spots - at the end of contestant check in for each race.
All payments must be made by credit or debit card. Check payments will not be accepted.

What is the format for the ALL IN BARREL RACEs?

Race format

The two qualifying rounds will be 5D format with ½ second splits. Round 1 runs in draw order. The running order for Round 2 is to be determined. Fifteen (15) different horse/rider combinations from each of the five (5) divisions of the two (2) qualifying rounds will qualify for the Showdown round. A contestant can qualify on unlimited horses for the Showdown round. Each horse/rider combination may qualify for only one Showdown round position.

To qualify for the Showdown round:

A horse/rider combination must be in the top 15 fastest times in each D in either the first or second qualifying rounds.
From qualifying round 1: the top 15 fastest times in each D qualify for the Showdown round.
From qualifying round 2: the top 15 fastest times in each D qualify for the Showdown round.

If one of the horse/rider combinations in the top 15 were already qualified from round one, then that combination cannot qualify again in round 2.
We will drop the duplicate qualifying combination from the round 2 qualifiers, and the next fastest combination in that D will fill the position. This will continue until all 15 qualifying positions in round two are filled OR until there are no more contestants in the corresponding D to fill the qualifying positions – whichever comes first.

If there is a tie for the fastest time in the top 15, all ties will qualify for the Showdown round up until the fastest 15 times. Should 15th place have one or more ties, all qualifying ties in 15th place will advance to the Showdown round.
If there are not 30 horse/rider combinations from each qualifying round (15 from round 1 and 15 from round 2), we will not fill the remaining positions.

The time in which a contestant qualifies for the Showdown round will determine the contestant’s position in the Showdown round draw order.

It is your prerogative to make each run. Each contestant is responsible for acquiring Showdown round qualification status. The ALL IN BARREL RACE is not liable to inform you of your Showdown round qualification. Showdown round positions will be posted onsite, on Facebook, and at lvbarrelrace.com.

Showdown Round Format and Running Order

The Showdown round will be run as a clean slate. It will be a 5D format consisting of up to the top 30 runners from each D in each of the qualifying rounds. Based on the descriptions in the section above. The Showdown round will be run in qualifying time order, from slowest to the fastest qualifying time. Contestants' draw number is based on their qualifying time. ALL IN BARREL RACE 3 Showdown Round draw maybe adjusted if there are horse/rider combination conflicts due to the American Qualifier entries.

The $20,000 Added ALL IN BARREL RACE YOUTH CHAMPIONSHIPS race will be held December 3 - 5, 2020. You are required to enter the ALL IN BARREL RACE 1. Your times from the ALL IN BARREL RACE YOUTH CHAMPIONSHIPS will carry over to ALL IN BARREL RACE 1.

Open to any rider who is 18 years old and younger as of January 1, 2020.

Open to any horse foaled in 2015 or after which has never competed at any barrel race prior to November 15, 2019.

Bottom’s Up Payout

For each qualifying round of race 1, 2, and 3, we will pay the last three riders in the 1D, 2D, 3D, and 4D according to this scale:

Last in each D: $300
Second-to-last in each D: $200
Third-from-last in each D: $100

We will not pay out Bottom’s Up in the 5D in order to encourage contestants to make their best runs possible.

We will not pay out these monies if the contestant will win money from the guaranteed payout. Bottom’s Up checks must be picked up on site. These checks will not be mailed.

Average

Each ALL IN Barrel Race will include an average buckle award for each average D winner. The average will be calculated using the contestant’s Showdown Round Qualifying time and their Showdown Round time. Average will be a 5D with ½ second splits.

Do you accept late entries?

Entries are limited depending on scheduling and stall availability. Entries will close at the discretion of ALL IN BARREL RACE management.

What if I need to draw out?

Contestants entered in the ALL IN Barrel Race prior to September 20, 2020 can drawout with no penalty by notifying us through the Contestant Commitment Form.
Beginning September 21, 2020, the draw-out deadline is 11:59 CST on November 15, 2020.

Option 1: Receive a partial refund:

Per entry, AIBR keeps a total of $250, regardless of the reason for drawing out.
To draw out, email your vet or doctor release to info@lvbarrelrace.com before the deadline to receive a refund. Medical releases only apply to contestants. All draw-out requests must be submitted in writing.

Option 2: You may roll your entry fees (paid in full) to the 2021 ALL IN BARREL RACE.

You must pay your entry in full for the 2020 ALL IN BARREL RACE in order to roll it over to 2021.
Your “rolled over entry” is non-transferrable. If you do not use it in 2021, it may not be sold/given to another contestant.
Your “rolled over entry” is only good for 2021. If it is not used in 2021 then 100% of your entry fee is forfeited.
To draw out, email your vet or doctor release to info@lvbarrelrace.com before the deadline to receive a refund. Medical releases only apply to contestants. All draw-out requests must be submitted in writing.

As an alternative to forfeiting your entry, paying the $250 cancellation fee, or rolling your entry over to 2021 you may:

substitute your horse
sell your entry as a horse and rider combination (substitution) for no additional fee. If you sell your entry, the new contestant accepts the jacket size reserved for your entry. If the draw has already been posted, the new contestant accept the draw position that is already drawn for you. Sidepots can be refunded until the contestant’s first run is made.

Note: If a contestant is buying a $995 entry from another contestant, but does not already have an entry, then the new contestant is required to pay the difference to make this a full entry (each contestant’s first entry in each race is $1036).

After the November 15, 2020 draw-out deadline, no refunds or rollovers to 2021 will be given for any reason, including partial refunds. You may sell your entry until check in of the race you are entered in.
Draw-out refunds will be issued NO LATER than February 1, 2021.

How will substitutions work?

Horse and/or rider substitution

Before the draws are posted, horse and/or rider substitutions can be made by emailing info@lvbarrelrace.com. Horse changes will not be accepted prior to November 1, 2020.

After the draws are posted, horse and rider changes can be made onsite at contestant check in for each race. You may substitute for a different horse, but if the horse/rider combination is already entered you cannot change draw position. A horse can only be entered one time in each ALL IN Race. Horse and/or rider substitutions must be made with the contestant office prior to the horse being numbered. A form will be available in the office to process the change.

Once a horse substitution has been made, that horse must be ridden through the Showdown round for that race.

Once a rider substitution has been made, that is the only rider for that horse through the Showdown round for that race.

A contestant may not resell their stalls.

Are we required to be in dress code for the races?

Full dress code is required for all races. All contestants must wear a long-sleeved shirt, long pants,

western hat or helmet, and cowboy boots or equestrian sport shoes. Contestants may wear any and all individual sponsors.

Do I need to check in when I arrive?

There are three different check ins for each race:

Stalls - you may check in to your stalls 24/7, in accordance with the time and dates allowed for each race. You will present your coggins and health certificates at stall check in, per Texas Animal Health Commission guidelines.
Horse numbering - during the designated hours for each race, your horse must be numbered. If you are substituting a horse, you must make the horse change with the contestant office prior to numbering.
Contestant - during the designated hours for each race, each contestant must check in with the office for contestant photographs and to receive contestant packets.

Do I need to check in prior to my run?

You will need to check in with the gate man and be in the holding area five horses before your run. Failure to do so will result in a disqualification. The gate man will be located next to the alleyway going Into the arena. Contestant's name will be called by the gate man three times, if the contestant is not in the arena by the third call, they will be disqualified. Only one horse may be in the alleyway at any time. Remember - the three official calls come from the gate man, not the announcer.

Other general rules

Sportsmanship

All contestants and their family members are expected to display good sportsmanship at all times. No level of abuse toward any animal at this event will be allowed. Foul language, misconduct, or abusive comments spoken to any contestant, spectator, staff member, or arena personnel will result in immediate contestant disqualification and no refund of entry fees. Contestants are also responsible for traveling companions and their family members.

Photos and videos

ALL IN BARREL RACE, LLC and its affiliates may photograph and/or videotape each contestant’s individual run. These photos/videos are the property of ALL IN BARREL RACE, LLC and its affiliates. Decisions made by ALL IN BARREL RACE, LLC management as a result of viewing photos and/or video are final. By entering you consent to the use of your image and/or likeness of your run and participation for promotion of the ALL IN BARREL RACE, ALL IN BARREL RACE, LLC, and Group W Productions for any and all future use.

Returned checks

There is a $35.00 service charge on all returned checks from the bank, for any reason. If a check is not replaced with a cashier’s check or money order within 30 days after the check is dated, the contestant will be put on the ineligible list.

Vendors

Vendor forms can be requested by emailing info@lvbarrelrace.com. Selling of any type of merchandise or professional service on the arena grounds, in stalls, or at trailers without a vendor contract with ALL IN BARREL RACE or Group W Productions is prohibited.

Time begins

Any time a contestant crosses the starting line, the time will begin.

No time

A no time will be given to the contestant for the following reasons:

If the contestant circles their horse after entering or exiting the arena. The arena area begins past the plane of the alley.
If the contestant breaks or misses the barrel pattern.
If the contestant runs out of turn. It is the contestant's responsibility to know their draw position.
If a contestant knocks over a barrel. A no time will also be given if a barrel is knocked over and it sets up again on either end. Touching a barrel, including keeping it from falling, is permitted without penalty.
If the contest’s horse falls during the run in such a manner as to break the pattern, or if the rider falls off the horse after entering past the plane of the alley
If the contestant is unable to get horse in arena in a 60-second time limit.
If a horse stops forward motion.

Time limit

If a contestant is in the holding pen and attempts to enter the arena, but is unable to get the horse down the alleyway, then the gate man, after the second call, will give the rider 60 seconds to enter the arena. At the end of 60 seconds, if the horse has not broken the plane at the end of the alleyway into the arena, then the rider will be disqualified. (The reason for this rule is the safety of the contestant, the other contestants in the holding area and the arena personnel.)

Barrel moved

If a barrel moved off its marker during competition, the barrel must be reset prior to the next

competitor's run.

Horse and rider rule

Contestants may run any horse, regardless of ownership, but horse can only be entered 1 time in each

ALL IN race.

Horses in arena/alley

Only one horse may be in the arena, or alleyway, at any time during competition. (The reason for this rule is the safety of the contestant. Accidents can occur where the assisting horse gets in front of the contestant horse and the contestant horse then decides to go and runs into the assisting horse.)

A horse can be assisted to the mouth of the alley, but persons on foot are not allowed in the alley or the arena once the horse and rider have entered. The gate man will enforce these rules implicitly.

Re-runs

Re-runs shall be granted if the official and backup timer both fail to work properly, unless a barrel has been turned over resulting in a no time. If the barrels are not placed properly on their markers, a rerun shall also be granted without any penalties being applied; however, any penalty occurring on the rerun shall result in a no time.

Training in arena

Contestants who are given a no time, either for breaking the pattern or for knocking down a barrel, may complete the pattern. However, show management may, at its discretion, ask a rider who is taking excessive time to train to leave the arena immediately.

Fastest run possible

Contestants must attempt to make the fastest run possible. Any obvious attempt to pull up or pace their run may result in the following penalties- 1st offense - Warning, 2nd offense - $50 fine, 3rd offense – placed on the ineligible list for future ALL IN BARREL RACE events.

Tie for prizes

If any contestants’ times are tied, the prize money will be split equally. We will flip a coin to determine who wins prizes.

Payout requirements

To receive your winnings, a completed W-9 must be submitted at check in or payout will be delayed or even forfeited.

Different documents may be required for non-U.S.A. citizens. Prizes will not be mailed.

Fines

Fines must be paid prior to collecting winnings.

Disqualifications

Any act deemed prejudicial to the best interests of ALL IN BARREL RACE, LLC or Group W Productions, LLC may result in the disqualification of the contestant, with no refund of entry fees. The contestant may also be placed upon the ineligible list for future ALL IN BARREL RACE events. These acts may include but are not limited to the following:

Using abusive or intemperate language or attempting to threaten, bribe, influence, or harass any contestant, spectator, staff member, or arena personnel. Also, any remarks made with the intent to cast aspersions on the character or integrity of a staff or management member.
Moving or attempting to move markers at any time.
Use of electronic and/or remotely controlled devices to alter the outcome of a run.
Abuse of a horse in any way either on the ground or in the saddle. No whipping a horse from the ground by a bystander.
Abuse of an animal in the show arena and/or evidence that an act of abuse has occurred prior to or during the exhibition of a horse in competition.
Competing while under the influence of drugs or alcohol.
Misidentifying a horse in any ALL IN BARREL RACE barrel class.
Misidentifying a rider in any ALL IN BARREL RACE barrel race class.
Other conduct that is not in the best interest of ALL IN BARREL RACE, LLC, Group W Productions, LLC, or its contestants.
Failure to make good on a returned check to ALL IN BARREL RACE or to any other association which has a cooperative agreement with ALL IN BARREL RACE on the returned checks.
ALL IN BARREL RACE at their sole discretion shall have the authority to disqualify or deny entry to any horse they deem dangerous to the rider, or to other individuals, animals or property.

Safety

Safety is a prime objective at this barrel race. If you have a horse that could be dangerous to yourself, other contestants, or other horses, DO NOT come to this barrel race. Any horse or contestant deemed to be dangerous by the management of ALL IN BARREL RACE, LLC or Group W Productions, LLC will be disqualified and entry fees will not be refunded.

Rules and Postponement of Event

The management of ALL IN BARREL RACE reserves the right to create any new rule, or modify any existing rule, in order to better the sport or this barrel race. Rules are posted at lvbarrelrace.com.

ALL IN BARREL RACE reserves the right to to adjust, change, or modify any rule, format, payout or element that is deemed affected by any uncontrollable circumstance that may affect the event. This includes, but is not limited to circumstances caused and/or related to Covid-19.
