What is Trufflepig?

Trufflepig is a Trip Planning company based in Toronto, started in 2004. We’re really good at what we do, which is to plan and operate complex, imaginative, carefully-orchestrated custom trips in many different countries around the world. Our clients are couples, families, groups of friends, curious about the world and looking for top notch travel experiences. We are known for the depth of our planning expertise, our attention to detail, and our highly personal customer-service.

Beyond our HQ in Toronto, we have a second office in Burgundy (France) and a number of home offices spread around the globe. Trufflepig currently employs 35 full-time staff who work in a distributed fashion across those different locations. We operate in English.

We have 5 positions open in the Coordinator role within our Planning Team.

What is the Coordinator role?

The core of our team is made up of our Trip Planners, who are destination specialists, and whom we (and others) consider to be the best in the business. They are a varied and unique bunch of characters with personality to spare, all with years of different experience in their destinations, and all experts at planning travel. But they also excel at dealing with our clients who are smart, demanding, curious, and well-informed, and who expect the best at every turn.

Those planners are assisted by a team of dedicated Coordinators who help them run the trips with precision. Our Coordinators have a range of experience and destination expertise, and the role allows for some progression through from a starting position to a position where several years of work-experience in travel would be useful. We are hiring for positions based in Toronto, working in a hybrid fashion between the Trufflepig office and home-offices. What does the job entail?

The Coordinator role has two contrasting aspects to it. Working within our detailed trip planning process requires hawk-like attention to detail and precision, along with a willingness to follow instructions unwaveringly. But in addition to that, given the custom nature of our work (no two trips or clients are ever the same), it requires an ability to problem solve, to find new solutions for new situations, to view problems as opportunities, and to improvise to make smart, quick decisions.

In this way the role is very demanding and requires a wide range of abilities and attributes: an ability to think linearly but also out of the box, to be a careful order-taker but to show initiative, to tend to each and every tiny detail but not to lose sight of the big picture. Because, if wrangling the ingredients can sometimes be mundane, the end result is anything but. To do this job well, you need to care about the trips and about the places and people involved. At Trufflepig our aim is to establish not just transactional but long-standing relationships with both our clients and our suppliers, and that is a key part of how we try to show respect for the places in which we work.

What does a Coordinator do?

Our Trip Planners handle detail, nuance, tight time-lines, competing priorities, conflicts, and unexpected situations with remarkable skill and humour. You’ll be working alongside them and learning something new every day. Our clients demand real answers to difficult questions, extremely high quality work, and smart service. We believe that after a few years in this role, you will be a functioning travel industry ninja. You’ll also have learnt skills that could set you up for success in any number of jobs or professions.

You’ll be doing:

• A significant amount of grunt work. The devil is in the details.
• A great deal of problem solving. No two trips are alike.
• A lot of following instructions, closely, to the letter. Our Planners are a demanding bunch.
• Plenty of improvising, filling in the gaps, and using your noggin. We give people responsibility and autonomy.
• Some tedious stuff. No one likes booking flights.
• Some challenging stuff. What’s the best way to get from Brest to Briançon in one day?
• In short, a wide variety of tasks to assist the planners in putting together amazing travel and to help deliver it to our curious clients.
• Along the way, you’ll be learning how to manage a large workload and a tight timeline; to communicate clearly and effectively; to collaborate within a high-functioning team; to coordinate and curate large amounts of detail and information; to solve problems efficiently and effectively; to show initiative, know when to step up and when to step back.
• You’ll be working alongside people trying to be the best in their industry, who’ve learnt these skills and who bring them to bear every day, and who will be itching to teach them to you.
• You’ll be dealing directly from day one with some pretty intimidating people and you’ll need to be happy picking up the phone, talking to clients, and handling situations without ever saying you know something you don’t.

No previous work in travel is required; there is no minimum education level

required; this position is open to candidates of all ages.

The Ideal Candidate:

• Is willing and able to live and work in Toronto (Canada)
• Has excellent written and spoken English.
• Writes well, listens well, talks clearly.
• Has some travel experience, or some cultural curiosity, and/or some language skills – some positive reason to want to work in travel.
• Is very comfortable working with computers.
• Is highly organised.
• Is motivated by a job well done.
• Is keen to be a high-performing member of a very well-oiled team and of a small company at the top of its game.

Position Details

• Hybrid Office-based and home-office position in our Toronto office (minimum two days in the office/week).
• Reporting to the company Managing Directors
• Salary range $46-60K per annum dependent on experience
• 4 weeks paid vacation
