Working as a Drop-in Tutor at Reed
All Drop-In Tutors
- Shift reports: All drop-in tutors are required to fill out a shift report form at the end of each shift. [Language tutors only use this form.] This helps us track when people are coming, so we can better meet drop-in needs. Please reserve a few minutes to do this at the end of your shift, and let students you are working with know that you will need to wrap up by that time.
- Timesheets: Please use your Drop-In Tutor timesheet in GPS/Banner.
- Finding a sub: If you are unable to make your shift, you are responsible for finding a substitute tutor. You can post substitute requests to the Tutor Moodle. We encourage you to do so as soon as you know that you will be unable to work your scheduled shift. If you are unable to find a substitute, please contact David or Helen, as well as the other tutors you would be working with, prior to the start of your shift.
- What do I do if I don’t have any tutees?: Sometimes you may find yourself working a drop-in shift without any tutees. You are welcome to spend this time on your own studies, but please be aware of your body language while doing so. If a student enters the building, please look up and make sure that they have found the resource they are seeking before returning to your work.
Drop-In Tutors who work in the DoJo
- Subject Flags: When you’re working in the DoJo, please grab one of the subject flags found on the bookshelf to the left of the entrance, and place it on your table.
- Head tutors: Almost all shifts in the DoJo include a head tutor. These are experienced tutors who oversee operations during their shift, such as setting out snacks and answering questions. If you have any concerns during your shift, try consulting with the head tutor first. (They should have a “Head Tutor” flag with them, in addition to their subject flag.)
- Sign-in kiosk: Please instruct tutees to sign in at the computer by the front door. This helps us collect important data. We require all students using the DoJo to sign in, unless they are working as tutors. Reliable reporting helps us make accurate budget requests, which means more tutoring and more snacks!
- Welcoming tutees: When a student enters the building, make sure someone has greeted them, asked them to sign in, and offered help. While this is primarily the responsibility of the Head Tutor, everyone should help make new students feel welcome. If the doorbell rings, please answer it! A blinking light will also flash when the bell is rung; this is an assistive technology tool for people who cannot hear the bell.
- Supplies: You should find copies of introductory science, math, and Economics textbooks, Hum 110 texts, and other useful resources in the bookshelves. These are non-circulating, so don’t let your tutee take one home by mistake. We also offer a limited selection of school supplies that any student can use while they are here. If we run out of something or if you think of a supply you would find useful in your tutoring work, let David or Emily know.
- Clean up: Please encourage your tutees to clean up after themselves, and spend a minute at the end of your shift to clean up your workspace. This includes washing dishes (or leaving them in the dishwasher), recycling scratch paper, and returning textbooks to the bookshelves.
- Close up: At the end of the final shift of the night, make sure that all the windows and doors in the building are closed, and that all the windows are locked.
