DCC Meeting

August 1, 2022 @ 6pm

Welcome Meeting called to order at 6:00pm by Kayla

Attendance:  Jolynn Holtzman, Kayla Henise, Erika Chesnavage, Steff Smeltzer, Cindy Rupert, Erica Cerutti, Amber Whymark, Lauren Dieter, Nicky McLane, Karen Chilcoat, Malina Colon

Treasurer's Report:  Review & Approve month of May treasurer reports - Just received minutes  an hour prior to the meeting.  DCA is slow to give us our reports. Such updates have not been made since May. As soon as we receive the updates it will be sent out to the Cougar Members ASAP.

DCA board has a lot of people wanting to step down. Kayla and Stef have been trying to get our reports from the treasurer. Both know our credit card is getting paid.

Commissioner’s Report:

• Concussion Training/Clearances- finish up all clearances and concussion training to be complete asap. Will not be able to go on the field if documents not turned in
• Practice Supplies - everything has been ordered and will be handed out at mandatory
• Car Wash- Schedule/Signups - Sent out on the evening of August 1st.
• Band App will be used for everything. There will be no emails being sent unless it is very important information.
• Game Day Information will be sent through email to the teams. Emails for Game Day must be sent by Thursday
• Squads - Smurfs into 3 squads, Rinks into 3 squads Ponies into 2 squads midgets into 1 squad. The schedule has been added to the football app and this should be determined to what will work time wise for coaches.
• Team Parent - Emails should be sent by second week to one parent per game day to see if someone would be willing to assist in the bathroom, music playing etc. Will need clearances ASAP by second week of Mandatory

• Practices
• Mandatory - Smurfs 6- 730pm Rinks, Ponies, Midgets 6-8pm

• Smurfs & Rinks- Must have parent to check in and out
• Ponies and Midgets - May go out on their own to parent
• Bottom level of Yorktownship will not be dismissed from the top field.
• No practice Monday August 27th

• Inclement Weather- you must use the BAND app to notify your parents. Kayla will make a decision by 5pm and send the first notification out on our main BAND app page first. Please limit your BAND app posts to a minimum.

• Monthly Calendars
• Photo Waiver- if you don’t want your child photographed needs to be signed
• Routines/Chants
• Parents- Must stay behind the cones
• Snacks - no allergies something small individual is best
• Last Day of Mandatory- Popsicles

• Each squad will still have to practice together for cheers and dance. Then break into smaller game day squads. Make sure the dance is the same for each squad so homecoming is all the same
• Playoffs for football will be discussed when time comes

Committee Reports:

• Uniforms- (Erika)  - Everyone has a uniform
• Cougar Night & Homecoming- (Steff) Cougar Night- coach Erin says that there were too many girls for cougar night and we were asked if we could make some adjustments. Girls will cheer the boys onto the field. Then the smurfs and rinks would be asked, Ponies and midgets will be the only ones on the track able to cheer during the first quarter. The cheerleaders and coaches will be able to get in for free.

 Homecoming - October 29th - it is our last game and we just ordered a  lot of                      merchandise to sell. Football confirmed today. The game will be at the highschool. We may be getting food trucks for that day.  Fan kits, headbands, earrings, magnets for items to sell. Looking for cake pops or cookies. Need to prepare a list of graduates to be able to order their items. Will be doing a baked good table

• Raffle Tickets-(Kristin) - Drawing needs to be completed on the Wednesday of Mandatory. August 17th
• Spirit Wear & Season Sweatshirts- (Josie)  - Everything is ordered. The items were ordered late and hopefully everything by the second week of mandatory. August 1st will end. Jolynn asked if we could possibly take the items from football and change the logo to Cougar Cheer and possibly open the store again.
• Bows, Poms & Rain Gear- (Lisa) Pink Pom Sample- Pink pom was sent looks like previous a little smaller.$11.99 each 23.98 a set. Will bring an example to mandatory to decide on Monday evening August 8th. Cheer zone neon pink 15.50.Wll be looking to get a 168 sets.   Paper bags and labels will be done. The bows will be here by mandatory and new poms.
• Banquet- (Malina) - List was made for things to be prepared. All paper invites. Kayla will send an invite from two years ago. Looking for DJ and schedule date for food tasting - November 20th 2-6 for Banquet. Headcount date? Food Items will be priced out and looking for gluten free. Look at different options for food.Decorations will be simple. Cupcakes will come from Sam’s,
• Banquet Raffle - (Malina & Erika) Date for when the raffle items are needed by.
• Public Relations & Sponsorship- (Lauren) - Checks are still coming in. $4800 in total at this time. Some small business checks are still coming in with no cheerleader attached. Handful of personal checks also coming in with no name attached.
• Picture Day- (Amanda I) September 12 smurfs and rinks September 15th for ponies and midgets decide if we are practicing and let Kayla know. Okay if practicing in uniform
• Cancer Event Coord.- (Sarah)
• 4 year jackets- (Amber) - Looking for printers and need final numbers
• Halloween Parade/Meet & Greet- (Kayla) - Halloween october 20th positive feedback for meet and greet
• Dinner Nights & Fundraising- (Kristin O) - Comp R&K August 29th orders due and instructions all to be handed out at the parent meeting. The orders have to be in by the 29th. Delivery is september 8th at 530 picked up that evening. Rec looking at Rita’s the fundraising cards are totally sold out. If we wanted to do Rita’s it would have to be a social. Bowling night for possibly october. Car Wash for August. Rev’s game for our cheerleaders and they can perform August 21st.
• Football Liaison- (Erica C.) - no updates Next meeting should be August 13th
• Community Outreach- (Tara) - Rock Painting had 15 - 20 girls that came out to paint

 Competition:

• Tryout Info - Information sent out August 1st with Dance to prepare for tryout. If you do get placed you will rec an email. Titanium 8- 11 both days august 7th returners, august 14th new girls
• Mandatory Choreography Dates (9/11 & 9/18 @ Leaders Heights) Mats need moved, will need help!
• Mandatory Parent Meeting (8/15 during practice) - will practice
• Competition Registration Costs - Meeting in April about competition registration and looking at how we can cut cost and allow parents to fundraise for

$250 for bows, uniforms etc

$75 was mandatory fundraiser and then get a free warm up

Looking at varsity for warm ups with name and DT Elite Quote $103 for jacket and pants- will not go with Omni Cheer. Should we raise the cost for mandatory fundraiser so that we can profit.

Registration is 250 including bow $75 to mandatory cheer fundraiser

Anything over 75 will go to registration for comp cost only not to exceed 250

Warm ups you will be set as cash buy on parent no fundraiser

Purchase one pair of Nike socks per girl for each girl

Malina - Drone pictures girls spell something out in the field and possibly sell them looking for pricing.

Possibly see if Mike could take homecoming photo and we could pay for the graduates a photo

Amber -4, 11, 18th of feb for comp these are only tentative dates

Steff - Head coaches after we know the divide can we tell them how they are cheering for

Midgets will cheer for a varsity midge, ponies will cheer for varsity pony and jv midget

Rinks-  JV Midget, JV Ponies, Varsity Rink,  Smurfs cheer for JV rink, JV Rink, JV Ponies

we will be added to the Football team snap added for all coaches and Exec.

Plug in for the music

Two large speakers will be purchased for the teams to use for sideline
