School Policies and Procedures

Registration and Tuition

Please see separate policy document here. Students will not be able to take any class they are not registered for, so reach out if you need assistance with this process!

Parent Partnership for Dancer Success

EBT recognizes all dancers are unique, and we partner with parents/guardians to provide the best possible dance education for each child.

Progress reports will be handed out at the end of each semester. Students can track their progress meeting the benchmarks set for their level, in addition to getting valuable feedback (and encouragement!) in other areas. Students in B6 and above will have the opportunity to request a conference with the School Director once a year. Students B5 and below will have level-wide parent meetings once a year. If parents/guardians have questions at other times, please contact us!  

If parents/guardians have concerns regarding their student’s socio-emotional needs while at the studio due to any incident, please email either the School Director or Administrative Director. If a special meeting is requested, we ask that meetings are kept cordial and respectful to ensure conversations are constructive and effective. Meetings will not exceed 20 minutes, and will include an additional staff member to take notes or participate in the meeting.

We ask that all communication with staff be through the school phone number or email addresses below, and avoid texting personal mobile numbers of EBT staff members.

Performances and Outreach Shows

Performing is an important part of a dancer’s education, and we encourage all dancers to sign up for a repertoire class. Due to the later-than-planned start date, EBT’s productions will run a little differently than normal in 2024-2025. Winter and early Spring performance opportunities will include in-studio Nutcracker presentations and outreach shows at community locations. Our Spring Show will take place on June 7 and 8 at the lovely Juanita Performing Arts Center in Kirkland. In 2025, we will resume our full-scale Nutcracker production.

Some Saturday rehearsals should be expected for outreach performances and theatre productions.

Productions will require parent/guardian volunteers and, for larger performances, production fees will be collected.

Student Expectations

Students are asked to conduct themselves in a respectful and responsible manner. Students are expected to treat all people with courtesy and kindness.   

EBT takes claims of harassment, inappropriate, offensive, or discriminatory behavior or speech very seriously. Our staff will look into claims of any harassing or offensive behavior reported at school and performance venues. If harassing or offensive behavior is discovered to be evident, the student and parents/guardians will be called in for a meeting with the School Director and the Administrative Director.

If evidence of an incident is brought to our attention and inquiries are made and claims are not able to be corroborated, the school will not take further action surrounding the claim. Emerald Ballet Theatre can only be responsible for social situations which arise within school grounds and at performance venues.

We believe in open communication with our students and therefore, periodically throughout the year, the School Director and Administrative Director will speak to students in classes to remind them to exhibit kindness and respect for others. These chats will be informal and open dialogue will be encouraged.

Injury Policy

If your student is sore after class, they are recommended to discuss this with their teacher. Their instructor can help determine if it is a technique-related discomfort (muscles being worked in new ways), or if the discomfort is related to incorrect application of technique in class. If your student is experiencing discomfort or pain for more than a week, please consult their physician.

Basic first aid items are available in the office. Staff on site will be able to provide bandaids, etc. Medication will not be given to students.

If your student is absent for a prolonged period of time due to an injury, private lessons may be available with an EBT instructor to help your student catch up. Please reach out to the School Director to inquire about these lessons.

Health and Hygiene

Lice: Unfortunately, lice happens! If your student has a confirmed case, please report it to our Administrative Director immediately. We will keep sensitive information confidential. Please remind your student not to share hair supplies with others.

Menstruation: If a student should get their period while at school and do not have personal supplies, our staff member on duty will be able to help with any supplies they may need.

Restroom use: PreBallet+ (Kindergarten+) students are required to use the restroom independently. EBT faculty and class helpers may show students where the bathroom is, but will not provide assistance. If a student will need help navigating restroom use, we ask that an adult responsible for the student stay on the premises.

If your student is exhibiting signs of illness, such as cold, flu or covid, please keep them home until they are fever-free for 24 hours and symptoms are improving.

Social Media/Mobile Phone Policy

We ask that mobile phones be put away securely during class and rehearsal time. Mobile devices are distracting and pull focus from working on technique, artistry and building a strong cohort with other students.

Staff members may temporarily confiscate mobile phones from students if usage is deemed excessive.

To protect the privacy of others, photos or video may not be taken in the dressing rooms.

Pick-up Policy

Please pick up students promptly after the end of their classes, rehearsals, and productions at designated venues. After a 15-minute grace period, families will incur a $1 per minute fee for the time staff members are required to wait with them, except in case of emergencies. Students are asked to wait in the front lobby for their ride. If there is unusually heavy traffic or circumstances beyond your control, please call the school to notify the staff on duty with an estimated time of arrival as soon as it is safe to do so.

Building Policy

Please have your student stow their street shoes in a designated cubby for their studio upon entering the building.

To protect the quality of the marley flooring, please do not walk through studios with street shoes.

For restroom access, please use the exterior door located close to the ladies dressing room. Please do not walk through studios while class is in session.

Children must be promptly picked up after classes (See “Pick-up Policy” above). Children aged 10 and older may wait independently between classes inside the building. Please supervise younger children or siblings in your charge.

Emerald Ballet Theatre is a nut-free school. Please keep this in mind when packing food for your student.

Parking Lot Etiquette

Designated parking spots for EBT span stalls from the parking lot entrance down to the end of studio D beyond the concrete divide, on both sides of the lot. Please find parking in a designated parking spot when dropping off or picking up students.

Stopping directly in front of the main entrance is extremely dangerous and disruptive to the flow of traffic. If the parking lot appears congested or full, you may park in the lot to the left as you come up the driveway or by continuing up the hill, behind the school building. There is one designated handicapped parking spot near the main entrance. To park in the designated disabled parking stall, a disabled parking placard must be present and visible.

Communication

Email is the primary avenue of communication with our families. To avoid missing important and time-sensitive information, including our newsletters, please make sure your email address is kept up-to-date on your account in the Family Portal.

Throughout the year, we will supplement school information with production-related documents such as rehearsal schedules, volunteer sign-ups and more which can be accessed through the Family Portal.

Weather/Emergency Closure Procedures

EBT will cancel classes in accordance with the Bellevue School District decisions for school closures due to weather, road conditions and other emergencies. Additionally, when the Bellevue School District decides to have a late start, EBT classes may be canceled that day. Tuition will not be refunded for these canceled classes.

EBT will communicate any weather-related cancellations or announcements through email and on social media through Instagram and Facebook. You may also check the status of Bellevue School District cancellations at www.bsd405.org or through their social media accounts.

Should inclement weather conditions or an emergency arise after school hours when ballet classes begin, classes may be canceled at the discretion of staff onsite. Parents/guardians will be notified to pick up their student and an EBT staff member will stay at the studio until all students are safely picked up. Please keep your mobile phone close so you may be contacted without delay.

Photography and Videography

Photographs and videos will be taken in class or at performance venues for publicity and fundraising purposes. If you would prefer not to have your student’s individual photos be used, please contact info@emeraldballet-theatre.org. Photographs of groups of students will be used without indicating individual names.
