  1. Overview

1.1. About Software

Liga.Tennis Software is a booking & management system for tennis venues around the world.  Liga.Tennis Software specializes in tennis only: online bookings, staff management, CRM, Pro-Shop, Analytics and more. We built this system from the ground up to deal with our own challenges. So Liga.Tennis Software is made by tennis club owners, for tennis club owners. We understand what you need.

Please read Liga.Tennis Software presentation and FAQ on this page: https://liga.tennis/software

AS A LIGA.TENNIS BUSINESS ACCOUNT YOU CAN:

  1. Manage Courts
  2. Manage Coaches
  3. Manage Customers
  4. Manage Pro-Shop
    And also:
  5. Enjoy a full range of our amazing features: tournament & league manager, timeline, ladders, built-in messenger and much more.

1.2. What makes us different?

Here are 5 great reasons which makes us stand out from the rest:

1. Liga.Tennis Software specializes in tennis only, and we like to think we thought of everything: online bookings, staff management, CRM, Pro-Shop, Analytics and more. We built this system from the ground up to deal with our own challenges. So Liga.Tennis Software is made by tennis club owners, for tennis club owners. We understand what you need!

2. Liga.Tennis Software is integrated with our free Liga.Tennis App to better engage with your clients; encourage them to play more matches, join social games, events, tournaments, and much more. Clients can see for example, who is signed up for a group activity or who just finished playing a match at your venue. This ecosystem will drive participation and revenue. It’s very simple: thanks to this app they will play more tennis at your venue.

3. You will enjoy for free a full range of our other amazing features: a tournament & league manager, timeline, ladders, built-in messenger and much more.

4. You will get new clients. If you have an open facility, not only your existing customers but anyone from Liga.Tennis app (100k users) can book your facility or programs online - which will have a prioritized view in our app. Even if you are members-only, non-members will see matches happening at your facility and could inquire with you about membership!

5. For all the features we offer, we are super affordable! We also provide all other standard features such as mobile devices adaptation, different languages, 24/7 technical support and many more.

1.3. For club owners & directors: how to keep things under control?

For tennis clubs owners and principals, Liga.Tennis Software gives great opportunities to keep things under control. Depending on your settings you can be notified:

  1. Once your admins delete any booking from the calendar.
  2. Once your admins assign new membership or modify existing membership for a client.
  3. Once your admins assign a new package for a client (with attached payment receipt - so you will see the price it was sold).
  4. Once your admins resolve past unpaid booking, which means the client paid (otherwise, they can’t remove an unpaid mark from a client and you can always see it).
  5. Your admins won’t be able to decrease a stock for Pro-Shop unless they create an order or write-off.
  6. Also you will receive a daily email summary about: number of bookings, lessons for each coach type, unpaid bookings, resolved bookings, bookings by members, pro-shop purchases, etc. So the total amount from Software should be equal to the total amount of cash in fact.

1.4. How your business can be useful for Liga.Tennis users.

Using Liga.Tennis App, anyone, including your own clients and members can:

So:

  1. Add your venue (courts), create a new Liga.Tennis Community and get ready for a change!
  2. Not only your customers but anyone from Liga.Tennis app can book your Court, Court+coach or Group activity. You decide: instantly or upon your approval.
  3. Users will be able to choose the time, indoor/outdoor court, type of coach or specific coach, add extras and so on. Like when they book their flight.
  4. Depending on your policy, users will be able to cancel or modify their booking within a set timeframe.
  5. People who join your Community will follow on timeline other players matches, posts and will follow your announcements, product promo and news. They will be engaged with your club through Liga.Tennis app.
  6. Your Liga.Tennis Community will encourage people to play more matches, join social games, events, tournaments, and much more. Clients can see for example, who is signed up for a group activity or who just finished playing a match at your venue. This ecosystem will drive participation and revenue. It’s very simple: thanks to this app they will play more tennis at your venue.

  1. Setup

  1. First of all you need to create an account on Liga.Tennis or login if you already have an account.
  2. Add your court to our database:
  • Go to  https://liga.tennis/courts/create, fill out all required fields, submit the form and then click on the button to try Liga.Tennis software on this page - https://liga.tennis/software
  • Add the necessary information to set up your tennis center software.
  • Take a look at these fields - Min and Max booking time:

You can specify minimum and maximum time for bookings - this will be the maximum amount of hours that a single client can book daily.

Booking time step - allows you to control a time range for each booking. If you’d like to allow the user to make bookings  ‘on the half hour’ for example every 1 hour, 1 hour 30 min, 2h, 2h 30 min etc. leave this value on the default setting. (30 min). Otherwise choose 1 hour and by this you will allow users to make bookings only ‘on the hour’ 1h, 2h, 3h etc.

  • Set the opening times of your tennis center

You can leave this as default (just specify the price for your courts) or also specify your opening times. You are also able to create different time for different weekdays and specify a price depending on the time like the following example:

Please note: don’t worry at this step if you have different prices for different courts (for example indoor or outdoor). You will be able to manage all courts separately once you set up the basic information.

  1. Settings

3.1. Overview

Once you have set up the basic information you will be redirected to your booking calendar page.

The top bar is your main navigation toolbar:

The hamburger menu button will show you all available options

Today - a button for quick access to the current day.

        Date - opens calendar.

Day -  a button to switch mode of the calendar: you can choose Day, Week or Month view.

Bell - a notifications button - will show you the latest notifications about an activity of your tennis center.

Exclamation mark - shows important information which you should take care of, i.e. if you have unapproved bookings (in case, you didn’t set to instant booking mode).

3.2. Information

How to get: Click → Spaces Manage → Information

In this section you can manage the main information about your tennis center such as:

  • Title
  • Phone, address, country and location on the map
  • Description
  • Available sports and number of spaces
  • Surface, features and images

3.3. General

How to get: Click → Spaces Manage → General

In this section you can manage basic settings :

  • Currency
  • Language information
  • Timezone
  • Hours and availability

3.4. Spaces

How to get: Click → Spaces Manage → Spaces

In this section you can manage your spaces.

Courts will be automatically added after the setup step.

For example  if you chose 6 courts you will see the following list:

Of course you can edit this list anytime you want to easily add or remove  a court and allow or disable availability.

Let’s take a deeper look into what you can configure for each court:

At the top of court’s settings you will see these checkboxes

Active - if ticked the selected court is available in the calendar.

Allow online bookings - if checked you allow selected court to be booked online.

Allow users to book only coach lessons - this checkbox needs to be checked in case you have a court which is dedicated for just coach bookings (no court-only bookings are allowed). For example, your court is located at a private villa and you don’t want random guests to come there without assigned coaches.

After these checkboxes you see fields to specify more information about court such as:

  • title
  • description - visible to users in the booking process

The info button near the court's title shows a modal window with the court’s description.

  • booking message - appears to user after they choose the desired time slot in calendar

you can use this field to specify some important information to your customers before they have booked your court.
  • the court surface.
  • whether the court is indoor or outdoor.

Booking settings
You can create your own booking settings for the spaces. You can let your users be able to book the exact hour time i.e. 8.00, 9.00 etc or not.

Booking time step 一  you can also set up how many minimum hours your customer can book the spaces.

Instant booking 一 allow your user to book at any time they want

Coaches instant booking  一 If checked it will allow your customers to book the coaches without any prove from you

Hours and availability - if you’d like to specify specific prices and opening hours for the selected court.

Similar to the setup page you can manage opening times and prices for your tennis center

3.5. Booking settings

How to get: Click → Space Manage → Booking settings

3.5.1. Main booking settings

        The following options are available:

  • Allow online bookings - if checked Liga.Tennis users are able to book your court(s) online
  • Instant booking - if checked, the user's booking will be instantly approved, no action required from administrators.
  • Min and max bookings time - set minimum and maximum available time for bookings
  • Disable Half-Hour booking - If checked users are able to book only ‘on the hour’, i.e. 8.00, 9.00 etc
  • Booking time step - allows you to control a time range for each booking. If you’d like to allow the user to make bookings such as 1 hour, 1 hour 30 min, 2h, 2h 30m etc. leave this value as default (30 min), Otherwise choose 1 hour and by this you will allow the user to make bookings only 1h, 2h, 3h etc.

  • How many bookings can a user hold at any one time
  • How many days in the future can users book a court - you can specify the maximum number of days in the future users are able to make a booking. By default this value is 7 days, so users are able to book up to 7 days in the future.
  • How close to a booking can a user cancel their court - specify cancellation policy, when is the latest time  users are able to cancel their booking - i.e 24 hours before the booking.

  • Allow late booking cancellation  with a penalty - by default users can’t cancel a booking with less notice than detailed in the previous settings by themselves (only by contacting administration). However if this option is checked users can cancel their bookings with a penalty - meaning that this booking will be removed from the timetable, so another user will be able to book this time. This booking will then be marked as an unpaid booking and in the next visit the offending user should pay for this booking (unless it has been paid already), and in the user's profile in section My Bookings the user will see these penalty bookings.

  • Rates & Rules - describe information about your rates and rules. This text will show for users at the booking confirmation step.

3.5.2. Coaches booking settings

Available options are:

  • Allow to book coach by type - if you’d like to allow customers to make booking only by choosing the type of coach. I.e. you have 3 coach types (Head Coach, , Regular Coach, Hitting partner) and 9 coaches (3 of each type), if this option is checked user can make a booking only by specifying coach type (i.e. a Head Coach) - this booking will be unapproved, to solve this administrator should assign one of the Head Coaches to this booking and approve it. This can be helpful if you have many coaches and are not sure when they work and you’d like to keep flexibility for customers (also customers might not know your coaches but know the type of coach with which they want a lesson).

  • Allow to book a specific coach - if checked, customers will be able to make a booking and specify the exact coach by name - system will show the availability of coach for specific time. In this case booking will be instantly approved or remaining unapproved depending on the next option “Coaches instant booking”
  • Coaches Instant booking - if checked, the administrator doesn’t need to approve any bookings. The customer directly books depending on the coach schedule. Once the coach gets approved bookings the system will send a notification to the coach. So he or she will see the newly booked upcoming lesson in their app right away.

Coach can review their lessons from the main Liga.Tennis menu in the section My Bookings

3.5.3. Process booking settings

This section is the important one. It is the one that allows users to see what they can choose when they are making a booking. Either court only, court + coaches, group classes, etc.

So, you have to create those items or products by clicking the create item and choose specific sports and the options.

        3.5.4. Notification booking settings

Here you can set the text for different kinds of notifications:

  • Price note will be seen after they make a booking online

  • Summary note seen by user on their email after a booking has been made.

  • Text for booking notification - will be seen by users in emails and messages after they successfully book a court.
  • Text for group activity notification -  message for customers once they subscribed to one of your group activities.
  • No-show email - this email will be sent to users who signed up for your group activity and they didn’t show (so administrator marked their status “no-show” for that group activity).

Once you choose No-show and save in the activity screen - this email will be sent to the relevant user.

3.6. Extras

How to get: Click → Spaces Manage → Extras

In this section you can manage extras which can be added to any bookings.

For example you can create a list like below;

Specify names, descriptions and prices and products on this list will be selectable by customers and your administrators while booking.

3.7. Classes

How to get: Click → Spaces Manage → Classes

In this section you can manage group activities at your tennis center.

For each activity you can specify necessary information, such as title, sports type, gender, coach who will handle the class, description, registration comment once the customer made a booking, youtube video, price, participants limits, etc.

Once you create your first group activity, go back to your spaces, decide when you want to have these classes, make a booking, then fill out the details that are needed. Such as :

  • Spaces which court or space
  • Date and how long the class will be
  • Show to public, make sure it is checked so your customer can see it
  • Title of the classes
  • You can choose if this class a daily one or weekly one
  • You can also put coach details such as name and type of coach who will handle the class
  • The price and payment or maybe discount will be applied

You can assign Liga.Tennis users to your activity or can assign other customers who you can add manually.

You can also put booking details, Person in charge (if any), notes, customer comment also choose extras items that you provide.

For each participant you can choose if the participant is Going or on the Waiting list and their Payment status,  you can also apply any necessary discounts.

There is something special about classes. Ideally you want every customer to register to the app. But maybe in some cases, they couldn’t, for example for kids. Of course they can’t have an account at Liga App, so the administrator has the ability to add the kids without registration.

Once you create your first group activity it will be available to schedule in the calendar

You can assign Liga.Tennis users to your activity or can assign other customers who you can add manually.

For each participant you can choose if the participant is Going or on the Waiting list and their Payment status,  you can also apply any necessary discounts.

3.8. Discounts

How to get: Click → Spaces Manage → Discounts

In this section you can manage discounts which can be applied to bookings or group activity participants. For example, some of your members might have different discounts.

Simply create a list of discounts you want to have available.

And it will be available for bookings

or group activities

3.9. Users and roles

How to get: Click → Spaces Manage → Users and roles

In this section you can manage users who have access to administrate your tennis center.

You can search for a Liga.Tennis user by name or URL, then assign and choose a role. You can  also choose what kind of notifications this user should receive.

Roles:

  • Administrator - can manage a center: create, update, delete bookings, add new clients, etc.
  • Managers - can do everything that Administrators can plus control functions: Managers receive emails when admins delete bookings, add/update memberships, add/update packages, etc.

Also Managers can add new Administrators into the system but administrators can’t do that.

  1. Bookings

4.1. Manage

From the side of the tennis venue, the main page for managing bookings is the calendar page.

How to get: Click → Spaces Calendar

Below is an example default (without any bookings) view of the calendar

        The navigation bar contains:
- main menu button
- button to quickly access the calendar
- calendar navigation
- toggle calendar-view mode
- notifications and important alerts
- courts navigation in case you have many courts that can’t be visible at the same time on your screen.

Offline support: In case you don't have Internet - booking calendar will be still available just in read only mode.

System automatically checks the booking calendar for updates. Meaning that if you have an open page with a booking calendar, and someone creates, updates or deletes a booking - your page will be updated automatically and no refresh needed. This check is every 60 seconds.

4.1.1. Create a booking

        To create bookings you can:

  • simply click on a timeslot in the calendar and then in the pop-up window specify the time From and To

  • another method which can be used from a desktop is to select a time range by dragging the mouse

Once you choose a time the following window appears:

The following options are available:

  • Type:
    - Customer: the standard type of booking, usually used to create bookings for customers and group activities.
    - Internal: used for any reason the administrator may want, i.e. to disable time for maintenance, or for a non-paid event etc.
  • Status - Will show approved or unapproved, this status shows in the My Bookings list for your client (Liga.Tennis user).

The red circle near the title means the current booking is unapproved. The green - it's approved.
  • Court, Date and Time of a booking
  • Show to the public - Show the booking info to all users. See example below

The left image you would see as an admin.
The right image is how your users will see this booking in the timetable.
It’s up to the administrator, normally this option is used for group activities - to make them visible in the timetable. However you can choose to make any booking visible if you wish.
  • Event - assign one of your group activities to a booking.
  • Repeat - by using this option you are able to create repeated bookings. For example if you have a group activity each Monday from 08:00 till 10:00, in this case you don’t need to create each booking individually but can instead create one repeated booking.
See the example below for creating 10 sessions.

So you can configure repeated occurrences based on your needs, choose how often to repeat (daily or weekly), choose the days between occurrences (in case of daily repeating) or weekdays (in case of weekly repeating). You can limit by a set amount of occurrences or by an end date which will produce a preview list of future bookings.
Once you create a repeated booking you will see bookings with the following icon.

Any repeated bookings have the additional option “Delete future occurrences”  when selected- so again you do not need to go day-by-day to remove bookings, and you can remove them with  just 1 click.
  • Coach type and Coach - assign a coach type or a specific coach to a booking (to create a coach go to Menu → Coaches Manage). You can assign more than 1 coach to a booking. A coach will see bookings like this in the Lessons section on My Bookings page.
Image below shows how a booking with an assigned coach shows in the timetable
  • Price - the price is automatically calculated based on court rates, coach price and chosen extras. But you have the ability to also change it manually.
  • Payment - the following options are available:
    -
    None: default value
    -
Paid: choose this option and save the booking once you receive payment from a customer
    -
Unpaid: choose and save booking if the user didn’t pay for a booking and you want to mark this booking as a debt. Also if you choose this option one more button appears “Save and hide”

Use this button if you want to mark this booking as unpaid and you’d like to make this time-slot available for new bookings.
Once you marked booking as unpaid and saved it - this client will be marked in CRM as unpaid client (so your administrators won’t miss it when he(she) comes next time):
  • Apply discount - if checked list of previously added discount appears

choose the appropriate discount and price will be recalculated automatically
  • Holder - the following options are available:
    -
Casual user - if you want to make a simple booking and don’t want to enter any user (client) details
    -
Add client - if you want to add a new customer
The following fields appear when this options is selected

    -
    Choose an existing customer.
Please note: once a user makes an online booking - they are registered to your list of customers in CRM.
You can search by name, phone or email to find existing customers.
  • Disable modifying by user - if this option is checked this booking is disabled for the user to modify, you can use this option for your own purposes. For example you have some specific agreement with a customer and don’t want to allow the user to reschedule or adjust this booking.
  • Booking title (optional) - A simple text field which appears in the timetable
  • Notes (optional) - a bigger text field for more specific details.
Here is an example of booking with Title and Notes
  • Customer's comment -  can be filled out by the user during the online booking process. For example: I would like to reserve a Babolat racket to rent.
  • Extras - choose appropriate previously created Extras for the booking.

4.1.2. Remove a booking

Click on the arrow (context menu button) in a booking block in the calendar

Then click Delete - confirm and bookings will be removed, in case removing the booking conflicts with your cancellation policy, you will see the following message

  • Save and hide - means that the selected bookings will be hidden from the calendar and the booking holder (your customer) will see these bookings in the unpaid bookings list (in the My Bookings section).
  • Cancel at no fee - just remove booking, if there is no booking holder or in line with cancellation policy you don’t want to  charge the customer at this time but you want to keep this information for future use. For example, your customer got in an accident and you decided to “forgive” him for this booking.
  • Just delete - delete booking with no further actions.

Please note for each option (Save and hide, Cancel at no fee, Just delete), administrators will have to explain (add reasons) and this will be received by Managers via email. So Managers and Supervisors will see all removed bookings.

4.1.3. Modify bookings

Double click on a booking or open the context menu and choose Edit

4.2. Types

The system has the following types of bookings:

  • Customer:
    - holder without contact info
    - registered customer
    - group activity
  • Internal
  • Time block - used to block some time during a coaches work day.

4.3. Notifications

The system sends notifications to administrators via email, internal Liga.Tennis notifications and pushes (if administrator has installed Liga.Tennis application). To setup administrators take a look in the Users and roles section

Unread notifications will show the appropriate badge (bell) in the main toolbar.

4.4. Alerts

Important alerts you can see in the main toolbar (exclamation mark)

If you see this usually there will be a list of unapproved bookings which you should take care of as soon as possible.

  1. Coaches

5.1. Settings

How to get: Click → Coaches Manage → Settings

5.1.1. Types

Before creating individual coaches it is better to create types of coaches. At least create one type (i.e. Regular). The individual coach’s prices depend on what type you register them as, so you can have many coaches of the same type and if you need to change price, you just need to update the price of that type.

5.1.2. General

This section will allow your customer to see the coach information during booking

5.2. Manage

How to get: Click → Coaches Manage → Coaches

5.2.1. Coach Main

To create a coach click on the top button Add coach, and then following window appears:

Fill out all required information, if a coach has a profile on Liga.Tennis (which is highly recommended) you can register their user profile as a coach

Don’t forget to choose the spaces and type of sports these coaches are available for. It is possible for some coaches to coach in more than one sports type. If they are, you should check 2 types of sports.

Once you create a coach, in this case the coach will receive notifications about lessons and will have access to a list of their lessons.

Then the next step is to create a schedule for them.

There are the following buttons on the coach’s row:

        Use Calendar button

In this pop up window click on a date when coach works

To remove work day just click on an appropriate green day, so by clicking on a date you can toggle the work day.

5.2.2 Coach  Description

You can give any description about the coach, so once a customer booked them, it will appear on their booking.

5.3. Calendar

How to get: Click → Coaches Calendar

Similar to the main calendar with bookings, instead of having the courts in columns, on this page columns are related to each coach.

Below is an example (with no active bookings)

Use the toggle near coach name to toggle work day on or off.

In the same way as the main calendar you can create a booking by clicking on a time or selecting a time range. If you need to block (i.e remove availability for a) range of time, choose the time range and in bookings window choose ‘Block time’

As a result you will get something like the image below

Selected time won’t be able to be booked by administrators or clients.

Please note that some tennis clubs allow their coaches more freedom to arrange their own schedule by themselves. For example, coaches can block their time as long as they are Administrators in this Software system.

  1. Customers

6.1. Online booking process

Please note that below we are showing how to book from the desktop web version but you can do it from mobile devices and our App for iOS and Android.
Each facility has an individual page on Liga.Tennis. On this page, under the title if online booking is activated users see the following button:

After click on the ‘Book online’ button this window appears

Your customer can choose what type of sports he or she wants to choose. Then the  window might contain up to 3 buttons:

  • Court only - for users to book just the court
  • Court + coach - for users to book a lesson with a coach. This button appears only if you have already created coaches.
  • Group activity - a separate page with activities on which users can register to. This button appears only if you have group activities set up.

6.1.1. Book court only

When user click on this button

the next step is to choose a date

After choosing a date the timetable shows up, please choose a time the user needs to click (or tap) on the required time cell:

After choosing a start time user needs to select the end of the booking, available time shows with light green color (the amount of time available depends on the Max booking time setting, read this section for more details).

After this step, once the user selects end time, system shows the booking confirmation step:

On this step users can review all the booking information, choose extras if needed, add a comment (this will show as Customer’s comment in the Edit bookings modal window on the admin side), and accept your Rules and rates (see here for more details).

After clicking Accept rules and click on the Confirm booking button user gets one of two response messages:

  • if you allow instant bookings - user gets message that court has been successfully booked
