HUSD Staff: Chromebook FAQ
- How do we respond to parents/guardians who refuse to allow their child to have a district-issued Chromebook?
- Parents have the right to refuse a Chromebook for their student. However, they need to understand the consequences of that choice, and the school needs documentation of their refusal. The district’s Technology Waiver Form meets these needs. Ask the parent/guardian to complete and sign the form. If a parent refuses to sign, complete the form as completely as possible and write “Parent refused to sign.” Copies of all Technology Waiver Forms should be kept on file at the school.
- What is the process for replacing lost, damaged or defective Chromebooks?
- Check in the damaged/defective Chromebook(s) using the Destiny Asset Manager. *Please note that checking in a Chromebook automatically sets its status to “available.”
- Choose to edit the item by clicking on the “Edit Item” icon/button
- For the Status dropdown box, set to “Available.” Even though you may be sending the chromebook to IT for repair, setting the status to “out for repair” will not allow you to transfer the asset.
- Change the Condition to “Unusable” or “Damaged.” A chromebook that is unusable is a chromebook that does not have any physical damage but has something technically wrong. A chromebook that is damaged is a chromebook that has some type of physical damage and the user has been issued a fine.
- Record any fines for damage/loss in Destiny and PowerSchool following the same school procedures as damaged/lost textbooks. Please refer to the pricelist on the IT Helpdesk website. The URL is: https://support.hesperiausd.org/support/solutions/articles/1000173760-chromebook-parts-price-list-
- If there is damage found, please notify the appropriate person or department at your school site so that a billing letter can be sent to the student’s parents/guardians.
- Add any Notes in Destiny regarding the status/damage/technical issue that the chromebook has encountered. Notes can also include an IT help desk ticket number if needed to reference additional details on the chromebook issue/damage.
- Use Destiny Asset Manager to Transfer Assets of the damaged device to HesperiaUSD/Business Services. At this time, only the CLS has access rights to transfer assets. Note: The transfer asset function will not work if the “status” of the asset is set to anything other than “available.”
- How do I Transfer Assets within Destiny:
- Choose the “Catalog” tab
- Choose “ Transfer assets” in the right side menu
- Choose the “Upload” tab
- In the “To” drop-down box choose “Hesperia USD / Business Services”
- In the “Create a Barcode List” box scan the chromebook(s) for serial number(s)
- Click the “Add” button to add each chromebook serial number to the list
- Click the “Transfer” button
- Check out a replacement Chromebook to the student through Asset Manager. If you have checked your Destiny chromebook inventory and you do not have any chromebooks available, please submit an I.T help desk ticket.
However, the IT department will check your current Destiny chromebook inventory and if there are 3 or more chromebooks available, a replacement chromebook will not be sent. The replacement must come from the site’s inventory.
- Have the CLS assess the chromebook for a possible fast fix. If the issue needs to be escalated to the IT department then an IT Help desk ticket will need to be created. Please make sure to include the serial number within the ticket.
- Please send damaged/unusable/escalated problem chromebook(s) to the IT Department via district mail. Please ship properly packaged. For example: bubble wrap, padding, boxes, etc.
- How do we discipline students who abuse their internet privileges or otherwise violate the Acceptable Use Policy?
- Access to technology is fast becoming an educational right rather than a privilege. For example, the Federal Office of Civil Rights (OCR) now includes equal access to technology as a criteria for investigating allegations of discrimination. Before withholding technology from students who have abused their right to use it, care must be taken to ensure that the students have full access to the same knowledge and learning opportunities through traditional (paper/pencil) methods.
- Whenever possible, punish the offense rather than the means by which the offense occurred. We do not generally discipline a student who has written threatening, sexually explicit, or other inappropriate content in a note by depriving him/her the use of paper and pencil. As a general rule, we should not discipline a student who does the same thing in an email by withdrawing email access.
- Are there any additional steps that should be taken if a Chromebook has been stolen?
- Students who claim their Chromebook has been stolen should see an administrator and complete an incident report form. Students should not be charged a fine for property that has been stolen. If an investigation results in a determination that the Chromebook was stolen, any fines attached to the Chromebook’s loss should be waived in Destiny and PowerSchool.
