COMMITTEE ROLES

PRESIDENT

The President shall:

present medals at the Worthing events and represent Sussex County as required.

be a member of the Management Committee  

CHAIR

The Chairperson shall

act as Chair at all meetings unless delegated to another executive member.

officially represent BJA SCJC at all and any external meetings to promote BJA objectives.

maintain and develop relations with BJA and SA

vet all applications for grants, referring back to Committee for approval

deliver all Southern Area objectives

liaise with BJA staff as necessary

produce the agenda for all committee meetings

be a member of the Executive Committee.

SECRETARY

The Secretary shall

take minutes at Committee meetings and circulate to all concerned

obtain from other officers their annual reports to you in for distribution to clubs before the AGM.

 issue all documentation for the AGM to all Sussex Clubs

communicate any other material to Sussex Clubs or Southern Area where necessary.

where action is agreed upon, ensure the person responsible has either completed the task or ensure the Chairman has kept the matter on the agenda for the next meeting.

be a member of the Executive Committee.

TREASURER & EVENT COORDINATOR & PLANNER

The holder will

maintain the Sussex County Judo Clubs Bank Account with each credit and debit in date order.

present the years accounts at the end of each financial year.

download each month’s Bank statement from the Bank in date order and send them with the itemised accounts to the Auditor at the end of the financial year.

send the itemised account and the rolling year account with the Auditor’s confirmation to the Secretary in time to be sent to clubs before the AGM.

liaise with the Chair, Competitions Controller and Squads Manager to arrange suitable dates and times for County events.

make the necessary booking for each event and first aid, and settle associated invoices involved in the due time.

advise the Chair what entry fee is sufficient to cover all costs considering the likely number of entrants.

 prepare an entry form as agreed with the Chair / Competition Controller.

 ensure such entry forms are with both the county website manager and social media manager, then email all clubs on the event mailing list, with follow ups at suitable intervals as part of the campaign.

advise the Chair and Competitions Controller sand Squads Manager what cancellation penalties there are and due dates and advise venues if necessary.

Be a member of the Executive Committee as Treasurer

COUNTY SQUAD MANAGER

The Squad Manager will  

be a Dan grade and a Level 2 Coach or higher.

run training sessions for county squad players and other suitable club members.  The sessions to be divided into groups at the manager’s discretion.

run sessions at the Squad base in Ashington or at individual club sessions. The Manager will liaise with the Event Organiser for the Ashington sessions, and with individual Coaches for club-based sessions.  

enter squad players for suitable training competitions and may seek funding from the committee.

enter squad players after a selection process for the annual Inter Counties event in the format dictated by Southern Area

accompany selected players to training camps.  The Manager may seek funding from the committee for such trips  

keep suitable records of players and events attended.    

be a member of the Management Committee

COMPETITIONS CONTROLLER

The Competition Controller will

hold relevant BJA qualification. 

be responsible for the running of the event.

liaise with Chair and Secretary for administrative support.

REFEREEING COORDINATOR

The coordinator will

be confirmed by Southern Area not by election

supply suitably qualified referees at Sussex and other events

arrange training sessions for referees and table officials at the County’s training centre

liaise with the Competition Controller as required

SOUTHERN AREA REPRESENTATIVE  

The holder will

attend Southern Area meetings, and where necessary put forward views held by the County Committee where suitable.

report back to the committee on Southern Area matters of concern.

 

SOCIAL MEDIA MANAGER

The holder will

Create promotional content in the form of posters, leaflets and social media adverts for Sussex Judo competitions and squad events.

Create content and contribute to Sussex County Judo and other judo related social media pages which are open to all viewers, therefore not owning any material which may be forwarded..

Apply input and opinion from a promotional point of view on Sussex’s planning of events.

Be  supplied with key information about upcoming events along with photographs of previous events to create material for this role.

Attend meetings subject to availability

WEBSITE MANAGER

The Website Manager will

maintain and amend the website as is required.

communicate solely with the Event Coordinator and Squad Manager to update the website.

This role is outsourced. The holder is not a member of the BJA and has no contact with SCJC apart from the two officers listed above
