UFD Studios Employee Terms and Conditions
Welcome to UFD Studios
We are pleased to have you as part of our organization. These Terms and Conditions define the rules, responsibilities, and professional standards expected from all employees. By accepting employment at UFD Studios, you agree to comply with these policies.
1. Employment Terms
Position & Responsibilities
Your job title, role, and responsibilities are defined in your offer letter or job description.
Probation Period
During the probation period, either party may terminate employment with a one-month notice. Failure to serve the notice period requires compensation equal to one month’s salary.
Permanent Employment
After confirmation, a one-month notice period remains mandatory. Failure to serve the notice period requires compensation equal to one month’s salary.
Working Hours
Official working hours are 9:00 AM to 5:00 PM (Pakistan Time). Employees are expected to remain punctual and complete assigned tasks within defined timelines.
2. Salary and Benefits
Salary
Salaries are paid monthly as stated in the offer letter.
Salary Disbursement
Salary will be transferred within seven (7) business days after the end of each month. Any unforeseen delays will be communicated.
Deductions
All applicable taxes and lawful deductions will be applied in accordance with Pakistan labor laws.
Bonuses
Performance-based bonuses may be awarded based on company performance and individual evaluation.
3. Leave Policies
- Paid Leaves:Â 12 per year
- Sick Leaves:Â 12 per year (medical proof required)
- Public Holidays:Â As per Pakistan calendar
- Maternity/Paternity Leave:Â As per applicable laws
4. Confidentiality & Intellectual Property
- Employees must not disclose or misuse any company data, including code, assets, or documentation.
- No project or asset may be shared publicly or added to portfolios without written approval.
- All work created during employment remains the exclusive property of UFD Studios.
5. Code of Conduct
Employees must:
- Maintain professionalism and respect
- Deliver quality work on time
- Collaborate effectively with the team
Overtime may be required in deadline-sensitive situations and is considered part of professional responsibility in such cases.
6. Attendance, Productivity & Work Discipline
Late Attendance
- Up to 3 late attendances per month allowed
- After that:
- 1st instance → Warning
- Repeated → Half-day deduction
Check-in after:
- 9:30 AM → Late
- 11:00 AM → Half-day
Working Hours
- Minimum 40 hours per week required
- Failure may result in:
- Proportionate salary deduction
- Performance impact
Punctuality
Habitual lateness or poor time management will be treated as a performance issue.
7. Time Tracking & System Usage
- Employees must use approved time-tracking software
- Tracker must run on the same device being used for work
- By accepting employment, employees explicitly consent to the use of time-tracking and monitoring tools, including periodic screenshots, activity tracking, and usage monitoring during working hours.
- Monitoring will only be conducted during active working sessions and is limited to performance, productivity, and security purposes.
Violations
- 1st → Warning
- Repeated → Half-day deduction / disciplinary action
8. Productivity Monitoring
Consistently low activity levels may trigger review.
Employees must:
- Use break/clock-out when away
- Avoid leaving tracker running while idle
Misuse may result in:
- Salary impact
- Performance penalties
9. Project Delivery, Quality & Deadlines
Timely Delivery
Employees must complete assigned tasks within agreed timelines.
Failure may result in:
- Warning → Performance action → Salary impact (if repeated)
Quality Standards
Work must:
- Meet acceptable quality standards
- Be free from critical/blocking issues & bugs
Revisions
1–2 revision cycles expected. Excessive revisions may impact performance evaluation.
10. Daily Work Requirements
Employees are expected to:
- Submit daily progress release notes
- Maintain version control (e.g., GitHub)
- One daily played game
- Follow reporting structure
Failure may:
- Impact performance score
- Affect increments
11. Meetings & Communication
- Meeting attendance is mandatory
- Minor grace period allowed
- Repeated lateness impacts performance
12. Overtime & Deadline Enforcement
In critical situations, employees may be required to:
- Work overtime
- Work weekends if necessary
This applies only in deadline-sensitive scenarios.
Failure to cooperate may result in disciplinary action.
13. Leave Restrictions During Deadlines
Leave during critical project phases is discouraged.
Exceptions may be made for genuine emergencies with approval.
14. Freelancing & Conflict of Interest
Employees are strictly prohibited from:
- Freelancing
- Working for another company
- Running competing businesses
Violation
- Immediate termination
- Compensation up to 2 months’ salary
- Legal action if required
15. Data Security & Legal Consequences
Unauthorized sharing or theft of company data will result in:
- Immediate termination
- Legal action
- Liability for damages based on severity
16. Performance Reviews & Discipline
A structured disciplinary process is followed:
- Verbal Warning
- Written Warning
- Salary Impact / Penalty
- Termination (if repeated)
Severe violations may result in immediate termination.
High-performing employees will be recognized through bonuses, increments, and growth opportunities.
17. Termination of Employment
- One-month notice required for resignation
- Salary will be held until the notice period is completed and delivered work is properly checked and approved.
- If the delivered work is unsatisfactory or incomplete, then 2 months salary will be deducted upon resignation.
- Immediate termination possible in serious misconduct cases
18. Data Protection
Employee data is handled securely in compliance with applicable laws.
19. Amendments
UFD Studios reserves the right to update these Terms. Employees will be informed of major changes.
