Vendor Application & Contract 2015

September 26th & 27th, 10am-7pm

Please return this contract no later than September 1, 2015 so that we may add your information to our website and arrange the placement of your booth.

PLEASE READ BEFORE YOU APPLY:

The majority of the the fairgrounds we use for our event is PAVED. There are a LIMITED number of non-paved areas that can be used for vendor setup.

If you use a popup canopy or any light structure you WILL be placed on pavement.

You are responsible for finding a way to properly weigh down your tent to protect against wind.

If you use a structure that MUST be anchored to the ground please specify on your application so that we can make the necessary arrangements for your booth placement in due time.

If your booth needs water and/or electricity you WILL NOT be able stake your structure into the ground. The water and electrical hookups are on PAVEMENT. YOU are responsible for finding ways to anchor your structure if you need water and/or electricity.

Vendor Rules & Guidelines 2015

Contract Deadline: Please fill out this contract and return it no later than September 1, 2015 so that we may arrange placement of your booth and list your shop on the website in due time. This contract must be accompanied by a check or money order (NO CASH) for payment of fees. Once the contract and payment have been received, a signed copy of your contract and a receipt as proof of payment will be mailed to you.

 If your application is rejected for any reason, your payment will promptly be mailed back to you.

Rules: All vendors must abide by the following Rules and Policies of Texarkana Renaissance Faire and the Four States Fair Grounds. The Rules and Policies are incorporated herein and become part of this contract between Vendor and Faire. This contract is terminable at will by Texarkana Renaissance Faire. Anyone caught in violation of these rules will be escorted from the Faire site immediately without compensation or refund of fees.

        

IMPORTANT! Vendors with tents/canopies that need electricity and/or water will NOT be able to stake a tent/canopy into the ground. The ground in this particular area is paved. You are responsible for finding an alternative way to anchor your tent/canopy.

Insurance: The vendor shall, at its own expense, provide and maintain in force during the term of this use to the Leased Space, general liability insurance covering the vendor, its employees, agents or representatives. The insurance shall be carried by a company authorized to transact business in the state where the event is conducted approved by the Four States Fair Ground and the Texarkana Renaissance Faire, General liability is required in the amount of $1,000,000, property damage and no less than $1,000,000 for one person and $1,000,000 for one accident for personal injury. The Four States Fair must be named as an “additional insured” on the certificate. The Vendor shall furnish the Fair with certificates of such insurance prior to use of the Leased space by the Vendor for any reason.

Vendor Contract 2015

Special Provisions for food vendors and merchants: If the vendor is to sell, give, dispense or otherwise make available to the public any food or beverage or any other matter for ingestion by living creature, whether human or otherwise, the vendor hereby undertakes and agrees to indemnify any hold the Texarkana Renaissance Faire, the Four States Fair Grounds and it’s employee or agents of said establishments harmless from any and all claims, demands, costs and expenses, including reasonable attorney fees for the defense of such claims or demands, by the general public, employees or representative of the Vendors or other on account of or occasioned by the Vendor’s distribution of the aforesaid food, beverage or other ingestible matter. Any permits or certificates required by the local health department or other governmental agency for the distribution of such materials shall be furnished to the Faire at the Vendor’s expense, prior to the time any such material are distributed.

The undersigned agrees to indemnify the Texarkana Renaissance Faire, the Four States Fair Grounds and its owners, managers, and staff; and hold aforementioned parties harmless from any liability whatsoever from any claim to injury including, but not limited to, bodily injury, property damage, fire, theft, explosion, or any loss sustained by the undersigned or any of the undersigned's group while contracted with the Faire. It is agreed that the above contractor (herein referred to as Vendor, Merchant or Booth Operator) is an independent contractor and as such is responsible for any and all taxes, including workmen's compensation. For the purposes of this contract, all references to the Faire refer specifically to Texarkana Renaissance Faire.

On a separate piece of paper, please describe the theme of your booth. Include a detailed description of products, services or games and if you CAN OR CANNOT BE PLACED ON PAVEMENT. Please include (or email) photos of yourself in period clothing, your merchandise and your booth.
