Pre-PA Society 2026-2027 Election Packet

Welcome to the Election Packet for PPAS officers running for the 2026-2027 academic year. Please review this packet so you are best prepared for the Officer application process. We appreciate your dedication to our society and look forward to reviewing applications.

Requirements for Officer Positions are as follows:

  • Must be a paid member (Filled out 2025-2026 Membership form and paid dues)
  • Must have obtained at least 18 points by the time of Officer Application submission
  • Submitted Officer Application form
  • Will be present at our final General Meeting to give Candidate Speech

Requirements for Chair Positions are as follows:

  • Must be a paid member (Filled out 2025-2026 Membership form and paid dues)
  • Must have obtained at least 15 points by the time of Officer Application submission
  • Submitted Officer Application form

Elections will take place in person. In order to be placed on the ballot, those running will need to fill out and submit the Officer application form no later than Sunday, April 5th at 11:59 pm. 

For officer positions: Candidates will also need to prepare a maximum 2-minute long speech explaining why they would be the best person for the position they are running for. Speeches will be given at our last General Meeting on Monday, April 6th at 7 pm. Candidates will be scored based on the following criteria: participation/commitment within the organization, officer application, speech, and ballot results.

For chair positions: Candidates will be invited to a virtual interview to be further assessed for their respective roles. Candidates will be scored based on the following criteria: participation/commitment within the organization, officer application, and virtual interview.


The duties and responsibilities of the elected officers are as follows:

President:

  • Oversees all activities of the organization
  • Communicates with the organization advisor (currently Mr. Doyen Rainey) on a regular basis
  • Generates ideas and initiates activities that serve the needs and best interests of members
  • Presides at all meetings of the organization
  • When appropriate, delegates responsibilities to officers and members to facilitate the involvement of all interested students
  • Handles any issues that may arise throughout the year
  • Requires of each officer a full performance of his/her duties
  • Performs all other duties as the organization may require or his/her charge may imply
  • Ensures the retention and engagement of all members
  • Reviews and updates the bylaws as needed each year to submit for registration renewals
  • Delegate PPAS event responsibilities including but not limited to: Banquet, Mentor-Mentee, etc.

Vice President:

  • Assumes duties of President as needed
  • Submits room reservation requests and notifies officers of room confirmation
  • Coordinates and organizes a master calendar of organization events along with Secretary
  • Coordinating room reservations for every meeting and event via EMS (if unable to do so, contact organization advisor to secure a room through him/her)
  • Coordinates parking passes for all meeting or event visitors/guests
  • Works with the Event Coordinator to ensure service events as desired by the group are in conjunction with the organization’s outlook; works alongside the Event Coordinator
  • Works with Social Chair to oversee Mentor-Mentee Program and/or Internship Program
  • Potentially manage Banquet Committee held at the end of the year
  • Ensures the retention and engagement of all members

Public Relations:

  • Keeps all social media/organization sites (Instagram, LinkTree, etc.) up to date
  • Creates flyers for monthly meetings/events and ensures proper distribution across campus by recruiting volunteers
  • Creates and handles all social media event pages throughout the year
  • Other social media/public relations related duties, as need arises
  • Ensures the retention and engagement of all members

Secretary:

  • Maintains member roster
  • Maintains member point system sheet and updates regularly
  • Creates and distributes monthly Newsletter to keep members informed regarding post-meeting updates, future events, etc.
  • Maintains Physician Assistant contact list/Contacts people for events/Works closely with the VP
  • Files and preserves all important correspondence
  • Ensures upkeep and organization of Google Drive
  • Other administrative duties, as need arises
  • Ensures the retention and engagement of all members

Treasurer:

  • Ensures that all mandatory Student Organization Funding (SOF) Meetings are attended by a representative from PPAS
  • Completes fiscal reports each semester (including all expenditures, all fundraisers, and any way we obtain/spend money, etc.)
  • Works closely with Vice President and Event Coordinator to ensure all forms are submitted for reimbursement
  • Submits Operating Funds for events requiring such funds by 2 weeks prior (14 business days)
  • Organizes and keeps account statements
  • Purchasing thank you gifts/cards for all guest speakers brought into meetings/events
  • Make sure all statements are reconciled at the end of each period. Maintains communication with PPAS president regarding these statements
  • Ensures safekeeping of cash box
  • Collects all receipts for purchases and submitting reimbursements to UTD
  • Responsible for delivering reimbursements to appropriate parties
  • Maintains record and ensures collection of member dues and shirt payments are received/picked up
  • Available to meet with University Representatives in the case of an audit
  • Notifies all officers at each meeting the status and amount in our account
  • Other financial related duties, as needs arise
  • Coordinates all aspects of fundraising in conjunction with Event Coordinator and Fundraising Chair
  • Ensures the retention and engagement of all members
  • Checks SOC office mailbox
  • Purchases materials for all PPAS events

Event Coordinator:

  • Assists the VP in getting details for events together
  • Talks to PR in making sure events get broadcasted appropriately
  • Relays points and event attendance to the Secretary to mark down the points
  • Other event related duties, as need arises
  • Ensures the retention and engagement of all members
  • Coordinates with chair cohort to plan and execute events
  • Submits room reservation requests and notifies officers of room confirmation if necessary
  • Coordinating room reservations for events planned by officer via EMS (if unable to do so, contact organization advisor to secure a room through him/her)
  • Ensures proper preparation of end-of-year banquet
  • Coordinates all off-campus events including but not limited to: service events (i.e. Hot Chocolate Run), campus tours, etc.
  • Coordinates all events with outside organizations (i.e. Red Cross Blood Drive)

The duties and responsibilities of the nominated chair positions are as follows:

Academic Chairs:

  • Organize study nights and GRE nights
  • Develop GRE practice questions for meetings and Instagram posts
  • Arrange any academic-related events or workshops
  • Work with the Vice President to reserve rooms for academic events
  • Help the Event Coordinator develop and organize events outside the scope of an academic chair as needed
  • Potentially manage the CASPA Workshop held at the end of the year
  • Ensure the retention and engagement of all members

Social Chair:

  • Help manage the Mentor-Mentee program and/or Internship program with the Vice President throughout the year
  • Plan and execute engaging social events for Pre-PA Society members, including mixers, outings, and networking sessions.
  •  Utilize various platforms and channels to promote events and encourage participation among society members.
  • Build and maintain relationships with local businesses, organizations, and healthcare professionals to enhance the overall networking experience for our members.
  • Stay informed about relevant trends and opportunities in the healthcare field to tailor events that align with the interests and needs of aspiring Physician Assistants.

Fundraising Chair:

  • Work in conjunction with the Treasurer to organize fundraising events
  • Develop new ideas for fundraisers with the Treasurer
  • Come up with fundraising events throughout the academic year  
  • Help the Event Coordinator develop and organize events outside the scope of the fundraising chair as needed
  • Ensures the retention and engagement of all members
