DESCRIPTION

The Business Assistant will play a critical role in onboarding and supporting institutional and business subscribers at The Fashion and Race Database (FRD), powered by Artis Solomon. FRD is the first and only platform of its kind that provides dedicated research, editorial and programming to advocate diversity in fashion culture and explore the longstanding impact of race and misrepresentation in fashion. Specifically, the Business Assistant will be expected to respond to inbound subscription requests and manage FRD’s existing institutional and business subscription accounts. Working in tandem with the Founder/CEO and IT/Customer Support team, the Business Assistant will contribute to the scaling of a groundbreaking academic and media platform in the fashion industry, serving individuals, universities, museums and businesses across the globe.

DUTIES & RESPONSIBILITIES

  • Receive and respond to inbound institutional and business subscription inquiries in a prompt manner, supplying them with FRD’s information package
  • Liaise with the Founder/CEO and IT/Customer Support team if/when applicable for inbound inquiries
  • Manage the acquisition and onboarding of new subscribers through our CRM platform
  • Support the Founder/CEO with supplier onboarding and light bookkeeping tasks throughout the acquisition and onboarding process
  • Support the IT/Customer Support team with new subscriber handoff during the onboarding process
  • Manage customer experience, post-onboarding as needed (e.g. answering general questions, supporting requests for renewals, etc.)
  • Ensure that our CRM is updated and reconciled on a weekly basis, as it relates to outstanding tasks and subscriber-based projects
  • Support the Founder/CEO with miscellaneous, related tasks such as emailing special offers to our subscribers, soliciting outbound offers on occasion, updating internal business files and assets, and liaising with our bookkeeping team

SKILLS & COMPETENCIES

  • Office management, administrative or program assistant experience is preferred
  • Proficient in Google Workplace applications (Gmail, Docs, Sheets, Forms, Chat/Spaces, Meet, Calendar)
  • Proficient knowledge with project and task management platforms – specifically, creating, assigning and scheduling tasks, as well as sub-tasks
  • A familiarity with CRMs, with an ability to learn and manage Insightly (this will be your “homebase”)
  • Strong time management skills with a considerate, proactive approach
  • Strong team player skills, with an ability to work in tandem
  • Strong written and communication skills with a consideration of professionalism and tone – this role has a major emphasis on business correspondence
  • Skills in correspondence layout (or email design) is desired (e.g. applying appropriate greetings, spacing out copy to be reader-friendly and digestible, thoughtfully adding bold, italicized or linked text and referring to attachments)
  • A familiarity with communicating with academic/cultural institutions, fashion companies and international audiences is desired
  • Sufficient skills with editing and occasionally creating assets using Canva (e.g. price sheet updates, brochure updates, special offer signage, etc.)
  • A general interest in, and compassionate approach towards supporting the arts and advocacy; a respect for working for a woman-owned and minority-based organization

LOCATION AND TECHNICAL REQUIREMENTS

  • This is a remote position
  • Technical requirements include a computer with reliable internet connection; a mobile device can accomplish some tasks, but a laptop or desktop computer is necessary
  • Time tracking is required with an end-of-week summary (supported by an app/software)

HOURS, COMPENSATION & WORK AGREEMENT

  • This role will begin with a 3-week probationary period to ensure mutual fit; contracts operate and renew on a quarterly basis, and we hope that this evolves into a full-time position.
  • A review and signature of the Artis Solomon Data Protection and Non-Disclosure Agreement is required
  • Hours and compensation for this part-time role: $45/hour for a maximum of 20-25 hours a month (roughly 5-5.5 hours a week); no weekend work (Saturday/Sunday) and no requirement to work past 6:00 pm EDT
