We have a generic folder to store Position Management Form in Paperless HR Perceptive Content, this way it is paperless, and we are able to search by position number to find the form if needed. Position Management Forms are separated from Individual personnel files. You won't see them in your drawer of official personnel files.
If there is an incumbent/empl associated with the PM (i.e. Reports to change for "Paul Bunyon"), you could put the PM# and the incumbent's last name in the email subject line.
When the PM Form is tied to/related to an empl, Jie Gooder and Katie Roche break those up alphabetically (A-K, L-Z) like we do other docs.
When there is no associated empl, Jie Gooder and Katie Roche share entry of those.
You can include multiple actions on one PAF as long as they are within the time frame that PeopleSoft allows us to enter.
Actions that can be entered within 90 days of the eff date:
Hire, Rehire, Recall, Return from Short Work Break, and Pay Rate Change
All other Actions cannot be entered more than 30 days ahead of the effective date.
As for this example, we are not able to enter 08/30/2018 Termination/End of Appointment row until we are within 30 days of the effective date. We would have to hold that PAF in our “intake queue" until we could enter the termination row and that makes our intake queue fill up quickly.
Yes, for student and Temp Casual (0001,0007), you can scan multiple people’s documents in one scanned PDF, and email it to us at HRMSforms@d.umn.edu.
It would help Katie and I split our entry by A-K (Katie), L-Z (Jie), could you please separate them by two piles, One scan for Katie, One scan for Jie, subject line can be: for example:
Albin to Hoof
Leman to Young
For employees, please send one email per employee. However, you can combined multiple documents for this employee in one scanned PDF (for example, Hire PAF, HRIF, transcript, resume, etc),and email it to us at HRMSforms@d.umn.edu.
