Add files to Drive using new Gmail Android app

Released May 7, 2014                              Share with your users

What’s new: The Gmail Android app has been updated to support the ability to save attachments to Drive, much like users are able to do when using desktop web Gmail. This allows users to seamlessly manage and organize their documents while on the go.

  2. Tap the  menu icon.
  3. Select Save to Drive.

Notifications for Drive file ownership changes

Released May 7, 2014                              Share with your users

What’s new: For increased transparency, users will now be notified when ownership of a Drive file is  transferred to them. This will help streamline overall file management for domains and ensure ownership is clearly defined.

How it works: Users will get an email notification when ownership of a file has been granted to them.

Hangout plugin for Microsoft Outlook

Released May 19, 2014                              Share with your users

What’s new: If you’re using Microsoft Outlook® with Google Apps, you can now add, manage, and join Hangout video calls. Meeting participants who receive an invitation to an event can now join the Hangout video call with one click, making for a seamless experience.

How it works: The plugin adds two buttons in the Office Ribbon for Outlook Mail and Calendar—one for scheduled and one for unscheduled video calls.

  1. Scheduled
  • Click  Schedule a Hangout to create a new meeting populated with Hangouts video call details.
  • If you’re editing a meeting, click  Add Hangout to meeting. This adds the video call name to the location field and instructions for joining the meeting in the body.
  1. Unscheduled
  • Click  Start a new Hangout to launch a spontaneous video call. The video call opens in your default browser.
  • If you’re using a Chromebox for meetings device, enter the video call name into the text box.

Edit images directly in Google Docs

Released May 8, 2014                              Share with your users

What’s new: To save users time, in March we introduced image cropping, masking, and the option to add borders to images directly in Google Slides. We’re now bringing this feature to Google Docs!
How it works: From within a document or presentation, select an image and find the  Crop button. You can then crop, mask, and add borders to your images to make them pop.

Updated UI for Hangouts chat

Released May 12, 2014                              Share with your users

Screen Shot 2014-05-28 at 12.05.39 AM.png

What’s new: Google Hangouts chat users now see an updated UI in their conversation list in Hangouts in Gmail. To make it easier to view which of your co-workers are online, green bubbles now display on their profile pictures when they’re active on Hangouts—which means fewer conversations start with “Hey, you there?”

How it works: Status markers are shown as green bubbles and the displayed contacts are in order of most recent chats. Other features include recent conversation snippets and a new contact search button.

Cloud-based migration of email to Google Apps

Released May 29, 2014

What’s new: Google Apps for Business has millions of businesses leveraging the power of the cloud to help their employees work collaboratively and enhance productivity. Now we’re making it even easier to migrate email to Google Apps using our cloud-based data migration service.

How it works: The data migration service can be configured via the Admin console to connect to your mail server and migrate email over to Google’s Gmail servers. You no longer need to download tools like Google Apps Migration for Microsoft® Exchange and install them on local servers. In addition, you can also monitor and track your migration from anywhere by logging into your Admin console.

The data migration service currently works for email. Support for contacts and calendar migration is currently being developed.

What’s new: The Google+ app for Android has been updated to provide several new features to enhance content viewing and sharing.

How it works: A new navigation menu makes it easy to switch between your circles and communities. Tapping the new pencil icon in the bottom right allows for easy sharing, and the app’s main menu now naturally slides out of the way, allowing posts to fill the entire screen.

New Android mobile device management features

Released May 21, 2014                              Share with your users

What’s new: The Device Policy mobile app for Android has been updated to provide several new features to assist organizations with meeting the challenge of both helping employees be more productive and protecting corporate data.

How it works: The new features include inactive account wipe, support for EAP-based WiFi networks, compromised device detection, and additional reporting fields to help admins better understand the devices their employees use and to troubleshoot issues.

Identity verification for suspicious logins

Announced May 19, 2014                              Share with your users

Screen Shot 2014-05-28 at 11.06.17 AM.png

What’s new: Google is dedicated to continuously improving the security of Google accounts, so we’ve introduced a feature to keep your account safe from hijackers, even if they have your username and password.

How it works: Now when we detect a suspicious login, users will be prompted to verify their identity by entering their phone number. Users who have not set up their phone number will be prompted to do so.

Note: users can skip entering their phone number, but may be asked to add their phone number again at a later date.

Google will use that phone number to verify their identity upon the next suspicious login. When a user verifies their identity, the alert is dismissed.

The paragraph below was edited on June 12 to clarify impact to users logging in through SSO.

Note: Users with 2-Step Verification enabled will not be affected by this launch and will not see the interstitial to set up their phone number. Users logging in through SSO may see the interstitial to set up their phone number, but will not be challenged to verify their identity at this time.

Domain management of Google Drive apps

Released May 22, 2014                              Share with your users

What’s new: Last year, we launched a new and improved Google Apps Marketplace experience, allowing admins to be able to find, manage, and deploy third-party applications directly from the Google Apps Admin console.

Earlier this year, we launched the ability for admins to allow their users to install applications that integrate with Google Drive. If this setting was disabled, however, domain admins were unable to install Marketplace apps that integrate with Drive.

This new feature allows admins to disable third-party applications for Drive while allowing specific third-party apps to run by installing them via the Google Apps Marketplace.

How it works: Learn more about Marketplace apps and deploying an app to your organization.

Organizational unit-based search in Google Vault

Released May 1, 2014

What’s new: Admins can now search for data within a specific organizational unit (OU), in addition to searching the entire domain or searching by user account. Searching within an OU reduces the number of irrelevant search results that a domain-wide search can produce, and eliminates the need to specify individual accounts.

How it works: When performing a search within a matter, select Organization as your search method, and then select the OU you want to search. Accounts cannot be included in an OU-based search, but you can still optionally specify a date range and search terms.

For more information, click here.

Assign Vault privileges based on organizational unit

Released May 30, 2014                                  Admin action needed

What’s new: The Manage Exports and Manage Searches privileges in Google Vault can now be granted to a user for an entire organization, or only for specific OUs.

How it works: For example, you can assign a Vault administrator the Manage Searches privilege for your whole organization and the Manage Exports privilege for one OU. Privileges are still assigned in the Admin console by your Google Apps administrator.
