Very soon, the 2013 United States Aquatic Sports Convention will begin in Anaheim, CA.  As the Coordinator of the On-Site Office (copying and computers) and the internet aspects of the convention, this email has valuable information about new things for this year’s On-Site Office, computers, copying, and internet.

a)          There will be “COMPLIMENTARY” wireless internet throughout the meeting rooms at the Hyatt Regency that you will have access to.  The network name is HYATTMeeting and the password is - usas2013.  If you forget the password, you can ask at the convention Registration or in the On-Site Office.   This password is for convention attendees only – please do not display in public areas nor share with non-convention attendees.  The network will go live on Monday, 9/9, and will stay live until the conclusion of the last meetings on Sunday, 9/15.  I encourage you to bring your PED (personal electronic device such as cell phone, laptops, i-pads, i-phones, etc.) to access the internet for your personal and professional activities.  This internet access is for HYATT REGENCY meeting rooms only – the network does not extend to the guest rooms, restrooms, hotel public areas nor other hotels in the area.

b)          Because so many PEDs are capable of connecting to the internet, the number of computers in the On-Site Office has been reduced to 20 (in the past we have had 30).  These computers will be reserved for people to generate their meeting minutes.  Office hours will be reduced because there is internet access throughout the meeting rooms in the hotel.  You are most welcome to bring your PEDs into the On-Site office to work and print your documents.  Although we are glad to assist, please do not assume we know how your PED(s) works.

c)           We have downsized the number of copiers this year because every NGB (your sport’s National Governing Body) has stated their desire to make fewer copies.   For those creating meeting minutes, write your minutes to avoid running over to an additional page (“why do 2 when 1 will do”).

d)          IMPORTANT CHANGE from PREVIOUS YEARS:  The documents you create will print off in a restricted area.  You will be able to retrieve the document from the On-Site Office staff (Mary Beth or me).  We will record your Last Name, your NGB and the quantity printed.  We are doing this to better distribute the costs of the on-site office.  When you are ready to have copies made for distribution to your sport’s attendees, the traditional method of requesting copies will be used.  I, along with your NGB, encourage you to print off convention documents at home instead of waiting until you arrive.
