Workday Setup and Takedown Information for Volunteers
Arrivals
- 30 minutes or more before the event start time: Event Leader arrives to open the building and starts recruiting volunteers to help set up materials for the event.
- 15 minutes before the event start time: the front desk person arrives to guide volunteers to make their name tags, sign their waivers and to log their hours.
- 10 minutes before the event start time: new volunteers arrive to check in.
- start time (usually 10 am on Saturdays): new volunteers receive the orientation.
- throughout: experienced volunteers arrive, help with setup, pick out projects, accept apprentices, ect.
Setup
The Bicycle Exchange sets up its operations at the back entrance of 3961 E. Bayshore Road.
- Carts, canopies and tables (outdoor use)
- If outdoor bike repair will take place, arrange carts, canopies and tables in the parking lot. Place a repair checklist on each table.
- The carts are best steered by holding the end of the tiller stick close to the ground. Attempting to steer with the tiller raised can apply enough torque to damage the tiller.
- We typically place one or two canopies in the bullpen area to shade our workers from the noon time sun during lunch.
- Place the largest traffic cone at end of the driveway on the San Antonio side of the building.
- Arrange small traffic cones along parking lot to ensure an adequate test ride and work area. Check with workday leader for desired location
- Completed bike collection point
- We typically line up completed bikes, after first level QA, by the corner of the rollup door.
Takedown
- Trash, recycling, and compost
- Service day is Tuesday; containers are at the edge of the parking lot. We do not put out the compost or trash containers until the night before pickup. The trash bin is kept in the building at other times; the composter is kept in the bullpen area.
- Empty all trash bins into the trash container
- Empty all mixed recycling into the recycling container
- Empty all compost into the composting container
- If the tire recycling box is full, tape it closed and arrange a new box for tire collection.
- Inspect both bathrooms and clean up any messes.
- Inspect the break room area and clean up any messes.
- Collect all traffic cones from parking lot and end of driveway
- Collect all outdoor signs and stow in front desk area
- Carts, canopies and tables (outdoor use)

- Canopies are folded up and stored in the rear entryway
- Tables are folded and stored near the roll-up door entrance
- Outside work stands - Stands are folded and placed on the rolling cart.
- The cash box is kept in the safe.
- The paperwork goes into the file cabinet under the front desk.
- Clear tools and parts from each workbench. Stow good tires and tubes on appropriate hooks. Put bad tires and tubes in the tire recycling boxes.
- Check that color-coded tools are on the correct workbench.
- Bikes: All unfinished bikes should go back into the adult or kids bike racks. Tag unfinished bikes with remaining issues.
- Close doors, bring in door wedges/stops, and lock the fence area gate
- Turn off all circuit breakers, except those that are taped over, before leaving the building.
