How to Tackle Questions with a Project Manager’s Mindset

NOTE: Remember the sequence in finding the root cause of the problem when selecting the answer:

  • Remember A.R.T.U. > Assess → Review → Take Action → Update Documents
  • Processes, plans, and documentation support value delivery, but success is defined by outcomes.
  • Do not take action right away unless there is a safety, legal, or ethical concern. Review before taking actions. Exception: If an approved plan, response, or governance decision exists, execute it rather than re-analyzing.

  Assess/Analyze by first identifying the underlying root cause of the issue. This step includes data collection, problem analysis, and identifying root causes, such as evaluating the situation with the team and reviewing the management plan.

  Review the project management plan and related documents (such as scope, budget, schedule, etc.) to understand how they are being implemented, monitored, and regulated.

3.

  Take action by following a sequential approach. Prioritize preventive actions over reactive ones. Eg. Engage relevant stakeholders to proactively develop a solution or activate a risk response plan.

4.

  Update the appropriate project documents to capture decisions, actions, and outcomes, ensuring proper governance, traceability, and ongoing project control.

Prioritizing Actions

Prioritize tasks or actions in a given project management scenario – may ask for the 'BEST' or 'FIRST'.
